Subject: Requesting Necessary Mechanical Documents for project closeout

We haven't completed project closeout or officially commissioned the New CBE-HQ Building
project yet for a variety of reasons, even though we're getting close to the finish line. We
respectfully request that your office offer the following documents, as the new Headquarters is
now going through the project closeout process. As a prerequisite for the project's closing, these
documents are crucial.
1. The updated snag list that makes it visible what assignments have been completed but are
still pending
2. The lifts' and HVAC systems' final, approved operation and maintenance manuals (including
those for the fire department, furnace, VRF, SPF, and other documents that were not attached)
3. Test and Commissioning Report for Mechanical Systems Final
List of mechanical components and equipment together with their BOQ should be kept on file.
All installed electrical equipment and components are included in this document, along with
their model, mark, serial number, and other pertinent information.
We further request a clear understanding of the contractual obligations pertaining to the
mechanical equipment, supplies for spare parts, and required training for the operation and
maintenance manual.
