EXECUTIVE SUMMARY

The project “Study and Analysis of power BI Tool” proves its importance in the current scenario of
people and company to be more data driven. As the market-leading choice for modern business
intelligence, power BI analytics platform makes it easier for people to explore and manage data, and
faster to discover and share insights that can change businesses and the world. Everything we do is
driven by this mission to help people see and understand data, which is why our products are designed
to put the user first— whether they’re an analyst, data scientist, student, teacher, executive, or business
user. From connection through collaboration, power BI is the most powerful, secure, and flexible end-
to-end analytics platform. The great thing about power BI is that it doesn’t require any technical or any
kind of programming skills to operate. The tool has garnered interest among the people from all sectors
such as business, researchers, different industries, etc.

People have a hard time getting much useful information from raw data until they perform some sort of
data analysis on the numbers. In the past, it was fairly common to simply do some magic and produce
numbers that summarized the data and call the job complete. Today, executives expect their staff to go
well beyond simply producing reports that summarize data numerically. People want insightful graphical
representations that make it easier to understand the results of the data analysis.

The market is growing rapidly and it is difficult keeping up with all data growing market and is
struggling to grow his business because unclear objective and goal of the company. The amount of data
is huge. For example, considering that one store generates 20 sales per day, for 250 stores that's 500
sales per day and over 15,000 sales per month. However, each sale is divided into multiple sales
items/lines, one per item. For example, your device, accessories, pricing plan and insurance are
considered separately. We had to make sure that the aggregation was smooth and didn't even take a long
time.

The project work objectively focuses on:

Following are the conclusions made for the project work: Power BI is a very useful tool loaded with
user-friendly features and functionalities which helps us extract valuable information from raw data and
analyze it using visualizations.

INTRODUCTION

Power BI is a Data Visualization and Business Intelligence tool that converts data from different data
sources to interactive dashboards and BI reports. It aims to provide interactive visualizations and
business intelligence capabilities to create their own reports and dashboards for the end users. Our data
may be in an Excel spreadsheet, or a collection of a cloud based. Pbix file which is designed for to use
with Power BI desktop.

Microsoft Power BI is used to find insights within an organization's data. Power BI can help connect
disparate data sets, transform and clean the data into a data model and create charts or graphs to provide
visuals of the data. All of this can be shared with other Power BI users within the organization.

Power BI was initially released in 2014, operating system: Microsoft windows. Power BI suite provides
multiple software, connector, and services - Power BI desktop, Power BI service based on Saas, and
mobile Power BI apps available for different platforms. These set of services are used by business users
to consume data and build BI reports. Power BI desktop app is used to create reports, while Power BI
Services (Software as a Service - SaaS) is used to publish the reports, and Power BI mobile app is used
to view the reports and dashboards. Power BI Desktop is available in both 32-bit and 64-bit versions.

Apart from the variety of apps, connectors, and services offered by Power BI, there are three
basic elements integrated into Power BI

 Power BI Desktop (a desktop version)


 Power BI Service (an online SaaS service)

OBJECTIVE AND SCOPE OF THIS PROJECT

In this project we are using Power BI as a BI tool to analyze the sales data. This project aims to visualize
sales data effectively to identify trends, analyze revenue distribution, and gain insights into product
performance.

Objectives:
1. Preparation of detail report of BI tool (power BI).
2. Analyze and interpret visualization types in Power BI
3. Functional level study of Power BI.

Scope of Work:
Companies around the world endeavor to make data-driven decisions and gain competitive advantage.
However, the overly complex and outdated tools of the past are now making users restless and frustrated.
We will see how Tableau enables you to have a conversation with your data leading to powerful analysis
and quicker insight for easier real-time decision making.

Limitation of Project:
1. As project duration was limited up to 2 months only.
2. Time duration for the project was 8 weeks, which is very less to understand the
whole system.
3. The company does not allow the outsider to have any study/research work in
company. Therefore, a getting projects work in company itself is very difficult.
The study was limited only to Tableau software.

Reason for selecting Topic and Organization:

Summer project is an integral part of any MBA degree which gives an exposure to the student to gain
knowledge about the corporate and practical world. Evolve solution provided me the platform to work
on my area of interest with them and with their guidance, I tried firm my grip on Visualization tools.

Evolve solution is a startup company in this field, and I believe there is a lot of things to learn as a beginner it also
provides live projects to work on so I choose this company for my internship. Almost all companies rely on data
visualization tools and data related study to take important decision of an organization.

 Importance of Data in Organizations

Over the years, as organizations have seen an increase in the amount of data available, it has become
more and more important to analyze it to get insights and, this way, help the decision-making process.

In this project we are using Power BI as a BI tool to analyze the sales data. This project aims to visualize
sales data effectively to identify trends, analyze revenue distribution, and gain insights into product
performance.

SALES ANALYSIS IN POWER BI

 What is sales analysis:

Sales analysis is reviewing your sales data to identify trends and patterns. Sales data can help you make
better decisions about your product, pricing, promotions, inventory, customer needs other aspects of
your business. Sales analysis can be as simple as reviewing your sales figures regularly.

 Benefits of sales analysis:


It enables enterprises to turn their sales data into actionable insights, allowing them to make informed
decisions, improve sales performance, and meet their sales goals. Businesses may achieve a competitive
advantage in today's data-driven world by harnessing the capabilities of Power BI.

Power BI allows you to use simple drag and drop gestures to create create interactive reports that let you
analyze the key metrics for your team. Here are some of the things you can do:

 Revenue: Find your best-case scenario.


 Factored revenue: Develop a more realistic projection, based on opportunity stage.
 Opportunity count: Compare across the sales team.
 Geography: Which regions are strongest and weakest?
 Funnel: Where in the pipeline are your opportunities?
 Channel effectiveness: Compare direct and indirect sales performance.
 Opportunity revenue trend: Which direction is revenue headed?

HOW TO USE POWER BI?

Data import
In this exercise, we import data from Excel to Power BI desktop. Please, follow the

screenshots From the top menu choose “Get Data” -> Excel

Open the file: Sample Dataset Cars.xlsx

Choose “Cars” worksheet (you will see the preview of the worksheet) and click “Load”.

To see your data imported choose the icon on the left side of the screen.

Data preparation
Setting data types
Data preparation is the act of manipulating (or pre-
processing) raw data into a form that can readily and
accurately be analyzed.

On the right side of the screen there is a data structure of the


table “Cars”. Some of the data fields are marked with the
symbol S. This means that the field is treated as number
(other fields can be text or date).

We need to change the type of some fields that should be numbers, these are:

 Year_resale_value
 Curb_weight
 Engine_size
 Fuel_capacity
 Length
 Price_in_thousands
 Sales_in_thousands
 Width

To change the type of the fields, click the icon of


three dots, and choose “Edit query”

This will switch to the edit mode, where you


can change the types of the fields.

Choose the ribbon “Transform”, where you


can find the options of changing field type.

Adding calculated columns


In our example of sales analysis of cars there is no column with sales value (which could be
useful in reports and visualization). But we can easily add the new column it by multiplying
the price and the number of cars sold.
To do this click “New Column” on the “Modeling” ribbon and type in the formula bar:

Prompts will be shown while typing


Change the default
name Column on Sales so you can just start writing and

The new column with calculated value should appear as the last one in the dataset.

Visualizing data in charts and tables

Now our task is to get some knowledge from the dataset.

Switch to the Report view.

Here we can make new tables and charts.

Natural language queries

In Power BI we can ask (not very sophisticated) queries in natural language. It is useful
featurethat saves time.

To try this feature, click on “Ask a Question”

Our aim is to get sales value achieved by each of the

manufacturers.So just type: sales value by manufacturer and see

the results!

Changing the layout and format

You can sort the data on the chart by sales value or manufacturer.

Try to add a pie chart to your report. Use the right side of the screen (drag&drop the fields)

element of your report (font size, color,
etc.) by clicking on painting tool

Adding tables and charts

We can compose our report on many pages. To add another page click on the yellow + at the bottom
of the screen. You can name your new page.

As the name suggests, Relationship in Power BI is used to define the connections or the
relation between two or more tables. The relationship is used when we want to perform an
analysis basedon multiple tables. Relationship helps us to display the data and correct
information between multiple tables. It is used to calculate the accurate results also.

As you can see the relationship between our two tables was automatically recognized by PowerBI. The
relationship is one to many.

 Data Collection - Data Collection is the process of gathering and measuring information on
targeted variables in an established system, which then enables one to answer relevant questions
and evaluate outcomes.

 Data Storage – Power BI uses two primary repositories for storing and managing data: Data that
is uploaded from users is sent to excel sheet.

 Data Cleaning - Once the data is stored into power BI it is important to clean and transform data
before you build any visualizations or reporting. This is essential step in building quality
visualization. Cleaning and transforming data enables to build visualizations from sound and
clean data. If it is not done diligently visualization will not behave as we except

 Data Analysis-Data analysis is a process of inspecting, cleaning, transforming and modelling


data with the goal discovering useful information, informing conclusions and supporting decision
making

 Visualization- In this process we convert manually data into visualization is to visually display
collected data by using various charts, graphs or other visualization types

How to do visualization in Power BI project?

There are two ways to generate visualization in Power BI. First, add items to Report Canvas from the
right side pane. Another way you can do this is by dragging the fields from the right sidebar to the value
axis under Visualization. By default, Power BI selects the table type visualization. To each axis, you can
add as many fields as necessary. You can also click and drag your visualization to rearrange it on the
reporting panel. You can easily toggle between various charts and visualizations from the Visualization
window. Your specified fields are transformed to the new visual format as accurately as possible.

Let us now understand how one can perform data visualization in Power BI

1. The first thing you need is data. Power BI can connect several data sources- Excel, Web, etc. The
options from which data can be imported into the Power BI desktop are all visible once you click
the Get Data icon. You can view the data in the Fields pane once it has been loaded.

2. After loading the sample data into the Power BI desktop, you can modify it with the help of
Query Editor. Regardless of the data source, query editors are helpful for editing datasets. In the
query editor, you can perform changes like renaming a dataset and removing one or more
columns, among other things.

3. In Power BI, removing columns from the dataset or modifying the data types in the columns is
relatively easy. You can remove columns by simply choosing the Remove Columns option after
selecting the desired column. Likewise, the query editor makes it simple to perform a wide range
of actions like removing and adding rows, transposing, pivoting, and splitting.

4. Once the dataset is complete and has undergone all necessary modifications, you can move on to
creating the dashboard. Both bubble and shape maps are available for map visualizations in
Power BI. To plot measure values, Power BI offers several combination chart types. Suppose
you want to display overall sales and revenue on the same chart. The ideal option for this type of
scenario is combination charts.

5. You can change the colors in the charts in BI dashboards. There is a color selection option when
you choose any visualization

6. Additionally, the application has an analytics feature that allows you to draw lines for data
visualization according to your preferences. Power BI also has the option to add various shapes,
texts, and images when visualizing data

In this Report I have taken 12 Insight. There is name and some details below,

1) Text Box: In this Section I wrote title of Report. (Text Box)

2) Gross Sales amount by customer type: In this insight I have taken Customer Type like Gold, Silver,
platinum. (Chart Name Used: Donut Chart)

3) Total Sales:- Total sales of 3 years. 4) Total Transaction: In this Field I have observed 61 Thousand
transaction done by Customer in 3 years. 5) Unique Customer 633 customers are unique customers.
(Chart Name Used: Card)

6) Unique Customers by Country:- In this insight I observed maximum number of customers bye
country.(Chart Name Used:- Clustered Bar chart)

7) Sales bye year: In this insight Maximum sales by years. Maximum sales in year 2018.(Chart Name

8) Sales by Budget Segment:- In this insight I observed that bikes are most sale bye other

9) Top 5 product:- Maximum Sales by product in this insight. Top 5 product in whole list. There is a

10) Monthly Sales:- In this insight, we will see which months have the most sales. (Chart Name Used:
column bar chart)

So that, Microsoft Power Bi Tool is so useful for company to take a good decision about that product
sales.

This is a basic simple Report or dashboard of Sales of Product.

In above dashboard we have three cards displaying the total unit sold, total profit and total revenue. They
provide direct information to user. The next visualization tool used is stacked column chart which is
useful to make a very quick comparison between two or more sets of measures. Here we used this chart
to create combine visual of profit, revenue, and sales by month which gives us the idea about the profit,
revenue, and sales variation by month. In month of October the company has increased its profit, revenue,
and sales as compared to other months. To know the profit of particular country pie chart comes into
picture. It is used to illustrate the contribution of different values to a total. It gives the clear view about
the country wise profit of company.

The next visual used here is Line Chart. It gives plan to understand the profit by month. It is used to
show the information changes over time. It tells company head that in October Company is valued and
the line goes on decreasing from October to March. By one click on the any visual it gives the all
information that dashboard contains.

CONCLUSION

Power BI helps you make better and faster decisions, resulting in higher customer satisfaction in today's
industry. Each organization has its own individual data. Power BI can perform different functions
depending on the purpose, making data more effective and efficient. Power BI can be used in the medical
industry to analyze data from a large number of patients. It helps extract useful information from data
from huge database collections. In the future, the scope of data analysis will expand and organizations
will adapt it on a large scale to ensure sustainable development.
Power BI is an absolute approach to making business intelligence and data analysis more
understandable. Organizations can easily select records with minimal time and effort. Power BI meets
the non-manual requirements to meet your data analysis needs.

 According to the report a company can focus on top most selling products and work efficiently on it.
 Highest sales in markets like United States of America, Canada etc.
 Largest quantity sold in markets like United States of America, Canada etc
 Most sales occurred in March, followed by September and December.

The sales manager of this company faces many challenges: The market is growing rapidly and the sales
manager is having difficulty keeping up with sales in this growing market and is struggling to grow his
business because overall sales are declining.

All we need is a simple data visualization tool that he can access on a daily basis. Such tools and
technologies allow you to make data-driven decisions that help increase your company's revenue. In this
project, we support the company in creating a sales dashboard using Power BI.

There were too many files and processes to run and many files were dependent on each other. Every day
we process over 30 different file types (XLSX or CSV) and generate over 60 tables by combining and
processing all files. Apart from this, the data collected was in monthly format, i.e., that means we need
to update and save the following data and files. Companies were required to retain historical data for
retention, compliance and analytics purposes.

The input format and data structure tended to change every month – even the computation that we
did was changing every other month. So, the approach of this project is how I have made a data analysis
pipeline –
1. Uploaded the data to my SQL
2. Analyzed the data in SQL Query
3. Connect the data to Power BI and make the necessary changes in power Query
4. Done the visualization

Sales Data Analysis provides an understanding of the product that your customers are buying and help
you dissect why they are behaving in a certain way. You can analyze this behavior and lead the further
process. Many global, industry-leading brand are now using their sales data in inventive ways to make
better business decision, but any company can take advantages of insights and reporting tools to achieve
data-driven sales success. This project is the outcome of a descriptive research on past, present, and
future of sales industry and the application of business analytics in shaping appropriate marketing
strategies with data sources, DAX query language through dashboard in Power BI. The project aims to
show on how we can use the Power BI with sales analysis data using SQL query for data cleaning and

I have created dashboard to know the trends and business performance and also to know which product
sales most, which product sales most in particular regions and market performance. The project
represents the large dataset into visualization form that help to take business decision.

 THE CHALLENGE IN SALES ANALYSIS

A sales analysis report shows the trends that occur in a company's sales volume over time. In its
most basic form, a sales analysis report shows whether sales are increasing or declining. At any
time during the fiscal year, sales managers may analyzethe trends in the report to determine the best
course of action. Managers often use sales analysis reports to identify market opportunities and
areas where they could increase volume.

has least/most sales or profit.

 ADVANTAGES OF POWER BI

1) Affordability:
One of the biggest benefits of utilizing Power BI for data analysis and visualization is that it is quite

reports and dashboards. If you wish to leverage more Power BI services and publish your reports to the

2) Custom Visualizations:
Custom visualizations, or visualizations created by developers for a specific purpose, are available in
Power BI. Microsoft Marketplace has custom visuals available. You can utilize Power BI custom visuals
in your reports and dashboards in addition to the standard set of visualizations. KPIs, maps, charts, graphs,
R script visuals, and other bespoke visualizations are among the options.

3) Excel Integration:
You can also use Power BI to upload and see your data in Excel format. You may export data from a
Power BI report or dashboard to Excel by selecting, filtering, and slicing it. The same data can then be
viewed in tabular form in an Excel spreadsheet by opening Excel. In other words, the Excel connectivity
feature in Power BI allows users to see and deal with the raw data behind a Power BI representation.

well.

Users frequently complain about Power BI’s cluttered and unwieldy user interface. It’s in the sense that
there are numerous symbols of options that obscure the dashboard or report view. The majority of
consumers desire the user interface or report canvas had fewer icons and options.

The maximum amount of data that Power BI can absorb at one time is about 2 GB. If you want to import
and use even more data, you’ll need to upgrade from the free edition to the paid version of Power BI.
Users have also reported that when processing millions of rows and columns of data, Power BI takes a
little longer than usual or even hangs.

4) Complex to Understand and Master:


If you just want to import data and create reports, Power BI is usually the easiest BI application to use.
However, Power BI is a complete package with numerous interconnected capabilities. When you need to
use Power BI Desktop for more than just creating reports, you’ll need to learn and master a variety of
different technologies, including Gateways, Power BI Report Server, and Power BI Services.
