The story so far


To run his business day in, day out, Craig has to buy supplies, pay for
equipment, and buy fuel for his truck. Money that goes out of his
business needs to be recorded in QuickBooks Online, just like the
money coming in from customers.
Let’s see how we can help him do this.

How can QuickBooks Online help?


Keeping control of expenses is vital for any business. Craig needs to
make sure he knows exactly what he’s spending, not just to make sure
he doesn’t go into the red but also to maintain an effective flow of
cash so that he can buy what he needs to do the next job.
The Expenses Center in QuickBooks Online makes recording Craig’s
business expenditure easy and presents him with everything he
needs to know about his business expenses.

Expenses Center basics


The Expenses Center is a one-stop shop for recording and making
decisions about spending.
Craig can use the Expenses Center to find:

 All expense transactions he’s made, in the Expenses tab


 A list of vendors he pays, in the Vendors tab

The Expenses tab


This tab gives you a list of all recent purchase transactions. The
expenses can be filtered and sorted by status, date range, payee, and
category via the Filter option. You can select any entry to see more
detail.

Just like the Sales Center, you can look under the Action column on
the right to see what QuickBooks anticipates as the next action for a
particular transaction. It may suggest that you send a Purchase Order
or pay a bill.
You can either select the next suggested action or select the down
arrow next to the action link to perform other actions.
You can change which columns to see by selecting the
Grid Gear icon. This includes options such as attachments, memo,
due date, and so on. You can also change the number of rows visible
from 50 to 150 to 300. The next time you open the Expenses Center,
QuickBooks Online will remember your preference.

 The Vendors tab


Just like the Sales Center, the Vendors tab in the Expenses
Center features a dynamic Money Bar.
The Money Bar shows everything that’s most relevant: Unbilled
Activity, Unpaid Activity, and Recently Paid Activity. What’s more, it’s
interactive. Just select a section to see more detail.
Selecting a section of the Money Bar filters the list of vendors below.
Select a vendor name to get to the vendor detail page. Here, you can
see purchase transactions associated with the vendor.
The Action link allows you to immediately create a bill or take another
action, such as making a payment. Select the link to perform the
suggested action or select the down arrow next to the link to create a
bill, create an expense, write a check, create a purchase order, or
make the vendor on that row inactive.
As with the Expenses tab, selecting the Grid Gear icon allows you to
change the columns that are shown.
