CHAPTER I

Introduction
Over time, libraries have experienced a shift from being spaces devoted to storing and
organizing physical, informational materials to becoming spaces that encourage collaborative learning
environments, often termed “learning commons.” Now that so many library holdings are accessible
digitally, academic libraries have the opportunity to make use of their physical space in new and
innovative ways. Instead of simply storing information materials, the library space can and should evolve
to meet current academic needs by transforming into an environment that encourages collaborative
work. Because collaborative work spaces are limited, it is essential that they are made available to as
many students as possible. In particular, implementing a system to manage study rooms can prevent the
hoarding tendencies exhibited by students within first-come, first serve system.

This paper considers the value of implementing a room reservation effort as a part of the larger
drive toward creating viable collaborative work spaces and discusses how to effectively manage a room
reservation system. This paper present the pilot study of the effectiveness of appointment slots as a
room reservation system in a library setting at Nueva Ecija University of Science and Technology (NEUST)
Sto. Domingo off Campus. In last semester of the whole month of January study, staff and our librarian
tracked usage trends among different group of user types and evaluated the efficiency of their selected
time and date of room reservation. Through this evaluation staff and our librarian determined that early
room reservation of the date in time is technically equipped to provide a free but very basic room
reservation system for academic libraries but that it requires considerably more upkeep and
management by staff and librarian than more costly or open source options.

According to Shira Atkinson and Kristen Lee that the necessity of a room reservation system
was underscored by modern trends in library design, which are increasingly emphasizing, collaborative
work spaces to enable constructive interaction among students and between students and librarians
and de-emphasizing outdated models of libraries as a stagnant knowledge repositories. To facilitate
increased collaboration and active knowledge creation, libraries are turning to the idea of a learning
commons. The concept of an information or learning commons emerged alongside the introduction of
the internet and the changes it introduced for learning and researching. It refers to a shared space that
provides students opportunity to work collaboratively and engage with noncore library functions.
Whereas classic or core library functions refer to reference services, ordering books, subscribing to
databases, and circulation, new trends in education emphasize cooperative learning and group learning.
In other words, library spaces are evolving into active study and learning, meeting spaces that are
designed for a variety of activities that “may or may.

OBJECTIVE OF THE STUDY

The Objectives of the study is to evaluate the reservation system of library discussion room in Nueva
Ecija University of Science and Technology (NUEST) Sto. Domingo of campus

1. Enhancing Efficiency: Evaluate how the reservation system makes it easier for user and library
staff to reserve discussion rooms, saving time and effort.
2. Resource Optimization: Investigate how well the reservation system manages library resources,
ensuring optimal utilization of discussion rooms and minimizing conflicts or double bookings.
3. User Experience Enhancement: Assess the system’s impact on user satisfaction by examining
ease of use, accessibility, and overall experience in reserving library discussion rooms.
SCOPE AND DELIMITATION

This case study focuses on the reservation system for library discussion rooms. It will examine the
specific aspects and functionalities covered by the system, including the features and processes involved
in reserving library discussion rooms, managing reservations, ensuring a smooth and efficient booking
experience for library users.

DEFINITION OF TERMS

1. Reservation System: A system that allows users to book and secure a specific time slot for using
a library discussion room.
2. Library: A place where books, documents, and other materials are kept for reading, studying, or
reference.
3. Discussion Room: A designated space within a library where groups of people can gather to
engage in conversation, collaboration, or study sessions.
4. Time Slot: A specific period of time during which the library discussion room is reserved for use.
5. User: An individual who has access to the reservation system and can book a discussion room
their personal group use.
6. Booking: The process of reserving a discussion room for a specific time slot through the
reservation system.
7. Confirmation: The notification or acknowledgement provided to the user once their reservation
for the discussion room has been successfully made.
8. Cancellation: The process of voiding a previously made reservation for the discussion room,
freeing up the time slot for other users.
9. Availability: The status of the discussion room indicating whether it is currently open for
reservation or already booked for a specific time slot.
10. Overdue: The status of a reservation that has not been checked in or utilized by the user at the
scheduled time, potentially resulting in penalties or restrictions for future reservations.
CHAPTER III

RESEARCH DESIGN

This study aimed to develop an automated reservation system using C++ programming
language. An experimental research design was employed to implement the study. A qualitative
approach using interviews was used to gather data about user perceptions and experience of using
automated system. The interview questions were open ended to allow participants to share their overall
experience and any challenges they faced while using the system.

Overall, the combination of an experimental and qualitative approach provided a


comprehensive understanding of the effects of using the automated reservation system, both in terms
of performance and user.

RESEARCH LOCALE

The study is conducted inside the Nueva Ecija University of Science and Technology
(NEUST) Sto. Domingo off campus. Located at barangay Malaya in the municipality of sto.domingo
province of nueva ecija
DATA GATHERING PROCEDURE

The researchers will use dual method, through interview and observation. On the first part, the
researchers will interview the target respondents to gather insights on the process and procedure on
using discussion rooms. The interview questions is based on approved instrument to be used. On the
last part, the researchers will have an observation to witness how often and how frequent the students
utilize the discussion rooms. Observation includes documentation on user utilization, noting steps on
reservation process and identifying weaknesses or inefficiencies on the existing process. To proceed in
data gathering, the researchers will send first a permission letter to conduct study in (head office) before
collecting data. Once approved, researchers may now administer the interview and observation on
selected respondents. The interview will be administered at the respondents most convenient time,
following the set of questions in the instrument used.
