Writing an

effective

Email
Part 1: "6 C's "Writing technique

Clarity
Make sure what you write is clear and
understandable to the end user.

I use simple words in my emails if I


know that the receiver is not a fluent
speaker.

Main goal is for other people to


understand your message, you are
not writing a book

Conciseness

The letter should be concise,


meaning it should be as short as
possible, right to the point, but still
deliver the main message.

People, especially higher


management, do not have time to
read filler sentences.

Coherence
Make sure to have:
1. Sentence structure. This means all words
within a sentence should be used to
correctly and make the sentence
meaningful. Do not write sentences that
are too long.
2. Paragraph structure. This means all
sentences within a paragraph should have
a good flow. Make sure your email has the
following:
Introduction
Body
Main point
Details
Conclusion

Correctness
Your text must be gramatically correct
and not have any typos.

If you rite an emeil with alotof typos, the


recipient might not teik u siriusly.

If your English is not good, you can use specific


resources that can help, like:
Grammarly - software that checks your
language
MS Word - Microsoft's own spell checker
ChatGPT - write the prompt "Please improve
the language in the below text:" or
"Please make the below text more formal:"

Courtesy

Be polite.

Even if the other person is not.

But do not overdo the politeness.

Writing "Please" 5 times in an email is


not good either.

Context

Make sure you stay within the


context.

Do not jump from one topic to


another.

If you need to write to one person on


two separate topics, it is better to
write two different emails. Especially
if there are other people in CC
