Dear Mr/Mrs
Regarding our decision on whether to buy HegGah Supplies for the centralized purchasing
system, discussed in the meeting yesterday. We have decided to make the purchase with the
approval from vital head officers including the CEO, the Finance Director, the Marketing
Director, and the Production Director.
The reason our company agreed to sign this purchasing contract is that HegGah has a
reputation for being a loyal supplier for a long period. Furthermore, they also have a good
record for supplying materials of the best quality. Additionally, their manufacturing
productivity could not keep up with our demand due to financial difficulties. Thus, our
purchase would provide them with funds serving for expansion.
This purchase was evaluated to benefit both sides, which is a win-win situation. For our
company, we would be able to avoid having to seek new suppliers and to have more control
over the supplies, which in turn would help us to save a great amount of time and money. For
HegGah, they would have the financial aid needed for further expansion, in the prospect of
higher revenue.
It has been considered that there would be probable workflow disruption in the initial phase.
However, we assure you that our current orders will not be affected on account of sufficient
remaining supplies. Besides, there would be no redundancies because some new work
positions are needed.
Considering these updates, a next-month video meeting about the number of new staff is
required to organize a mentoring program for them. We should ascertain that they become
familiar with our vision and goals. I would be most grateful if you would share this
information with your staff.
