1. Business Requirements
1.1. Background
Currently, some schools, especially those in the Mekong Delta, continue to utilize student
management software that is overly manual and rudimentary. This is mainly implemented
by school administrators, particularly in terms of student attendance. While this approach
may guarantee attendance quality with a small number of students, it falls short when
dealing with a large student population, resulting in compromised attendance quality and
excessive time consumption.

According to their research, certain schools have adopted QR code attendance systems to
minimize the time spent on attendance tracking. However, this method proves ineffective
in ensuring the accurate presence of a student. Students who do not participate can still
mark their attendance using QR codes shared by their friends.

1.2. Business Opportunity


Currently, numerous schools require automated student activity management systems to
effectively monitor attendance, ensuring that students are present and actively
participating in classes or events they have registered for. The system should
automatically record event participation upon successful attendance, and it must also
regulate the entry and exit counts for classes or events. This ensures that students who
enroll successfully are actively engaged and prevents situations where students may
register but do not actively participate.
1.3. Business Objectives
BO-01: Reduce personnel costs by 30% within 4 months when the system is put into use.
BO-02: Strictly control 95% the number of participants.
BO-03: Save 20 minutes of time for taking attendance for teachers and key managers of
the activity.

1.4. Success Metrics


SM-1: Employees and students access at least 6 times a week within 4 months after the
first deployment of the system in 2024.
SM-2: The average rating in the management system satisfaction survey was 4 out of 5
points after the first implementation.

1.5. Vision Statement


For teachers, and event managers who want to control the number of participants and
check time for attendance and want to use an automatic management system for
attendance.
The Internet-based management system, to take attendance, for example in a classroom,
will know the number of students participating or the number of students entering and
leaving that classroom. In an activity or event, you will also know the number of students
participating, and calculating points for students will also be easier and faster than doing
it manually.

1.6. Business Risks


RI-01: Highly competitive with management systems on the market today, especially
regarding automatic attendance.
RI-02: Difficult to apply for managers and students when using the system because they
are used to manual tasks.
RI-03: It takes time for them to approach and use it.
RI-04: When the system is deployed, certain management positions will be replaced,
allowing employees to compete with each other.

1.7. Business Assumptions and Dependencies


AS-1: The system has a suitable user interface and is close to the old interface so that
staff, teachers and students can easily get used to using it.
AS-2: The camera is ready 30 minutes before the event starts so you can check
attendance at the start of the class or event.
DE-1: If the university has other systems involved, this system should be able to
communicate with those systems.

2. Scope and Limitations

2.3. Scope of Subsequent Releases


We will temporarily suspend the function of checking student attendance when the
accuracy of facial attendance with masks is not high. We will leave them for the next
release.
2.4. Limitations and Exclusions
LI-1. The system only checks scores automatically when students attend classes or events
within the school.

3.3. Deployment Considerations


The web server software will need to be upgraded to the latest version. Not only will it
run on web platforms, but we will develop an app that can run on platforms such as IOS
and Android…Any corresponding infrastructure changes must be made at the time of the
second release. In addition, attendance can be taken at all event venues, not just within
the school.
