• Allocation occurs immediately, regardless of any allocation date.
Moreover, customers can build a simple extension to programmatically allocate
checklists or update task status using REST APIs available for Checklists. For details
on REST services for Checklists, refer to the REST API for Oracle Cloud HCM guide in
the Oracle Help Center.

The Export button on the Checklist Template setup page has been provided as a way
for customers to quickly export that checklist template to either review offline in
Excel, or attach to the SR for Support and Development to review, etc.
Similarly, the Import button on the Checklist Template setup page, which is hidden
by default and enabled using a profile option, is also intended for a one-off Import of
a Checklist Template. For example, from Customer Connect sharing initiative, etc.
That Export or Import is not intended as an import or export solution when
migrating your configuration across different environments. For that use case,
please use the FSM feature built for explicit requirement of moving setup across
environments.

It is not possible for Checklist/Onboarding/Journey pages to determine if an

application task or an external task has been successfully completed. Therefore,
such tasks can't be automatically marked as Complete.
However, if you are using Checklists and Onboarding pages, the Complete
button on the task details page will be enabled only when the task has been
viewed at least once for the task types listed above. If you are using Journeys
pages, the Complete button on the task details page will currently be enabled
without any restriction.
For these task types, clicking Complete is synonymous with finishing the task:

For the Native e-Signature task type, the Complete button on the task details

Appendix 4 – High-Level Approaches for Custom I-9 Integration with Oracle
Cloud HCM Journeys

At a high-level there are two approaches for completing the I-9 process:
1) Simpler, manual approach
Configure a checklist task of type 'External URL' for the worker, that goes to the I-9 vendor of choice. The worker would then
key in all the required I-9 information on the vendor portal to complete Section-1 of the I-9 form.
Configure a checklist task of type 'External URL' for the manager or HR, that goes to the I-9 vendor of choice. The manager
or HR would then key in all the required I-9 information on the vendor portal to complete Section-2 of the I-9 form.

2) Sophisticated, automated approach using REST APIs

When a checklist is allocated to a worker, use Oracle's REST API to send the required data from Cloud HCM to the I-9 vendor
of choice, in advance of the worker navigation to the vendor portal to complete section-1.
Configure a checklist task of type 'External URL' for the worker, that navigates the worker to the portal of the I-9 vendor of
choice. The worker can review the information already sent to the vendor via the REST API in the above step. The worker can
then enter any additional information to complete Section-1 of the I-9 form.
Configure a checklist task of type 'External URL' for the manager or HR, that navigates the manager or HR to the portal of
the I-9 vendor of choice. The manager or HR would review all the information and enter any additional information to
complete Section-2 of the I-9 form.
Use Oracle's REST APIs to update data in Cloud HCM application based on the updates in the vendor application.
Information about Oracle's REST APIs can be found here - https://docs.oracle.com/en/cloud/saas/human-
resources/22d/farws/index.html

Appendix 5 – Considerations when Importing a Checklist Template xml

You need to consider these points when you import a checklist template xml:
1. In case you import a checklist of the category "Enterprise Onboarding", the step checklists (checklists of the
category Enterprise Onboarding Step) must be first imported in the destination environment with the same names
as in the XML file.
2. In case you import a checklist that has an eligibility profile associated to it, the eligibility profiles must be available
in the destination environment with the exact same names before importing.
3. In case you import a checklist that has tasks of the type Electronic Signature - Native, you need to configure the
document to be signed in the destination environment with the exact same names and residing in the same path as
in the XML file.
4. In case you import a checklist that has tasks of the type Electronic Signature - DocuSign, you need to configure
the DocuSign integration in the destination environment with the exact same names as in the XML file.
5. In case you import a checklist that has tasks of the type Questionnaire, you need to configure the questionnaires
with the exact same codes in the destination environment.
6. In case you import a checklist that has tasks of the type Document, the documents associated to that task won’t be
imported into the destination environment and you will need to attach the document again to that task in the
destination environment.
7. In case you import a checklist that has tasks of the type Report, you need to configure the report in the destination
environment with the same names and residing in the same path as in the XML file.
8. In case you import a checklist that has tasks of the type I-9 configuration, then the I-9 codes need to be configured
in the destination environment with the same names as in the XML file.
9. In case you import a checklist that has tasks of the type Configurable Form, you need to configure the Descriptive
Flexfield (DFF) Context in the destination environment with the same names as in the XML file. You can then create
the segments for the context after importing.

Appendix 6 – Notifications to Pending Workers and Terminated Workers
All email notifications from HCM Cloud are sent to the user account email address. User account email address is populated
from the email address specified as Work in the person record.
Typically, pending workers don't have a corporate email address. Preboarding email notifications are sent only to the email
address specified in the user account. So, for pending workers to receive email notifications on their Home email, you can
enable either one or both of the below profile options.
