PART 1: DOCUMENT CHECKING
SPELL CHECK, GRAMMAR, AND THESAURUS
DOCUMENT CHECKING
 Proper spelling and grammar is very important in
school and in business.
 The professionalism you place into a document is a
direct reflection of how people see your expertise.
 Spell check underlines words in red it thinks are
misspelled.
 Grammar check underlines words or phrases in green
where it identifies a possible problem.
 NOTE: The checker spots actual misspelled words or
problem phrases, but also picks up unusual or slang
words and phrases, as well as many names.
HOW TO CHECK YOUR DOCUMENT

1. Click REVIEW tab

2. Select “Check Document”


EDITOR WINDOW
 When the document checker is
activated, any words that are
underlined in red or green will
be highlighted with suggestions
for spelling or grammar
corrections.
 In addition, Word will also
spot areas that aren’t exactly
mistakes, but where you may
want to polish your document!

 When the “spelling” option is
selected a secondary window
appears highlighting each word. Click a suggestion to
change a highlighted word
 Suggestions are offered, and
several options are available for
any identified errors.

 You can right-click a


highlighted word or
grammar error with
your mouse and a list
of suggestions and
choices will appear.
 Correcting errors as
you go is especially
helpful for longer
documents…
SPELL CHECK ISSUES

 Most spell checks automatically use


either American or British spellings.
 This means, depending which you’re
using, your spell checker may pick
up Canadian words as errors like:
colour, favourite and labelled.
SETTING LANGUAGE
 “Review Tab” → Language → Set Proofing
Language → scroll to find English (Canada)
THESAURUS
 Lists different words of the same meaning.
 Check context to make sure the word works
 Highlight word → Review Tab →
Thesaurus → select a word
PART 2: SEARCHING
FIND AND REPLACE OPTIONS
FIND AND REPLACE
 Find can search for specific words, symbols,
phrases, or even spaces in your document.
 Replace searches and then changes your search
results to a new phrase you select.
 Home Tab → Find or Replace
FIND AND REPLACE
• Type what you are looking for in “Find what:”.
• Then enter what you would like it replaced with in the
“Replace with:” line.

ACCESSING HEADERS/FOOTERS
 Insert Tab → Header, Footer, or Page Number
HOW TO EDIT
To edit the header, double click in the top of the editing
space of your document…

To edit the footer, double click in the bottom of the editing


space of your document…
HEADER AND FOOTER TOOLBAR

 Once you’ve selected the header and footer here…


 You can then insert “Auto Text” such as page numbers or
date and time and format them to your liking.
PAGE NUMBER AUTO TEXT

You can add a


page number at
the top or bottom,
as well as set up
the margins.

 Or you can also


customize your
pages more by
clicking “format
page numbers”

 By selecting “date
and time” you can
set a date or time in
your header/footer
as well as customize
the format…

feature in the review ribbon.

the bottom left of your screen.
