1. Introduction
Project System is one of the key modules of SAP to execute Project Orders. It helps you to manage the project
life cycle starting from structuring to planning, execution, until the project completion. Project system is closely
integrated with other SAP modules like logistics, material management, Sales and Distribution, Plant
Maintenance, and Production planning module. Project System does not have organization structure, it derives
the same from MM, FICO and other modules.

1.1 Purpose

The document in discussion describes all the Key Data Structures (KDS) for Project System, necessary for
enabling the business processes defined under the Process Definition Document for Project System and making
them operational with requisite controls and business rules.

This document will serve as reference document for system settings and configuration in Realization Stage.

The document lists out the KDS which are required to be defined or to be adopted from standard SAP process
prescribed for use in processes in the Project System module. The list however excludes those SAP standard
KDS that are not identified for specific use but may not be deleted from production client for technical or
pragmatic reasons.

1.2 Intended Audience

This document is intended for internal project distribution. It is to be used to communicate to all team
members the value list of Key Data Structures for Project Systems. It is the responsibility of all project team
members to read the document and seek clarification from Team Leaders or Project Management if they have
any queries.

2. KDS – Project Systems

Project System enables organizations to manage all SAP projects- large and small-scale projects efficiently.
Before a project is initiated, it is required that project goal is clearly defined and the activities be structured.
The integration between SAP Project System PS with other modules allows you to design, plan, and execute
the projects as part of your normal project procedure. Hence, Project System module has the constant data
access to all the departments involved in the project.
Project System (PS) module is a module which cuts across all the verticals and has integration with all the
modules just like Finance. Finance is also closely integrated with PS

Project System is not going to work stand alone. It will co exist, integrate and flow along with the other
modules.
PS, being a highly integrated module utilizes KDS of other modules like MM, SD, FICO.

Yet, it has few important KDS as follows:

2.1 Project Type

The project type governs the nature of the project and is an identification of the different types of projects a
company undertakes.

It is used as an important filter in all PS reporting.

Depending upon Home lane's requirement, we have finalized the below :

2.2 Project Code

Project Code signifies a unique identification to each project. Each type of project will have a project code in the
system which can be standardized using the “Project Coding Mask”

Project Coding mask can be a combination of:

0- Numerical Character

XX- Alphanumeric Character

Special Characters (-/;) to separate for better identification.

FOR HOMELANE PROJECT ID WILL BE SAME AS THE ROSTER CUSTOMER ID.

2.3 WBS Owners/Person Responsible/Project Manager

In SAP Project System, you can define the person responsible for WBS. To define a responsible person,
you need to enter person responsible Id and descriptive name of the person responsible for managing
the WBS.

Each WBS is assigned to a responsible person. This person will be mainly the WBS Owner from each
concerned department. The person responsible for WBS is also an authorization object in SAP PS. This
matter will be used to separate access to WBS along specific parameters.

2.4 Standard Project Structure Template

Various clients use a standard Project structure template which acts as a base structure for all their projects.

For Home lane We will freeze below structures for Pro and Lite which can be modified at later stage if required.

2.5 User Status

Project definition & WBS elements contain statuses. On one hand statuses document the status of a project
definition or WBS elements and therefore serve as information or selection criterion for evaluations. On the
other hand, statuses define which business transaction is currently possible for the respective project
definition or WBS element. In general, a status either allows a business transaction or allows the transaction
but generate a warning or prohibit the transaction.

There are statuses which we can configure as per the requirement of Client as User Status and restrict/allow
certain transactions.

INIT – Initial
WIP – Work in Progress
DLP – Delivered
QAP- QA Pending

2.6 Budget Tolerance Limit

Budget Profile created needs to be set up for Tolerance Limit which will signify the percentage of budget spent
for the SAP system to generate a Warning or Error

For Home lane, 100% will be set for Warning.

There will be budget supplement, transfer method to increase the budget whenever required.
