Job Opening: Personal Assistant to Head of Mission at the

Danish Embassy in Bogota, Colombia


The Danish Embassy in Bogota is currently seeking to employ a Personal Assistant
to the Head of Mission. The new member of the team would also have to assist in a
number of horizontal tasks. Ideally, we are looking for a candidate with at least 2
years of experience in a similar position.

Required skills and Qualifications:

• Bachelor´s Degree or Master Degree in relevant field.


• Fully fluent in Spanish and English (C1), including ability to draft flawless texts
in both languages.
• With capacity to handle many different tasks and proven ability to work
independently and under pressure;
• With flexibility to work outside normal working hours, when needed.
• Excellent communication and networking skills;
• Strong interpersonal skills, including the ability to be professional, courteous
and deal directly with key players at a senior level both inside and outside the
Embassy;
• Well-developed organizational skills;
• Solid IT skills (MS Office, etc);
• Ideally with experience in the fields of protocol and event organization;
• Prior work experience in an Embassy/ in the international field would be an
advantage;

Duties and Responsibilities:

The Personal Assistant (PA) will work closely with the Head of Mission organizing
the schedule, planning business trips and smaller events etc. The tasks require close
coordination with various teams in the Embassy and ongoing contacts with many
external partners. The PA will also support the Deputy Head of Mission (from August
2024) with similar responsibilities.

Specific tasks:

• Management of Schedule for the HOM and DHOM


• Organizing meetings and events
• Coordinate transport arrangements
• Maintaining relationships with counterparts at other Embassies, Danish
Government and other relevant organizations;
• Managing correspondence on behalf of HOM and DHOM;
• Being in charge of travel arrangements: booking flights, transport and
accommodation on behalf of HOM and DHOM;
• Ensuring that HOM and DHOM have valid visas, documentation for
overseas visits, etc.
• Arranging video and telephone conferences;
• Taking minutes at HOM and DHOM meetings when needed;
• Registering expenses and preparing necessary reports regarding travel
settlements for HOM and DHOM;
• General office management including logging the Head of Mission’s travel,
leave/holidays, monthly activities; data management, updating contact
lists.
• Undertake any ad-hoc duties to help meet the Embassy objectives.

flexibility to also be able to support outside of normal working hours, when
needed.
