Board of Directors Manual

This document provides information on the progress of school and extracurricular


events in room No. 1 scheduled by the MATGENIE DRIVER PROFESSIONAL
TRAINING CENTER (CFPC). Under the supervision of the head of the school
center and under the gaze of all the learners in room no. 1, the document explicitly
presents the positions of responsibility resulting from the proclamation of a vote
organized and made public in ROOM n°1 and in the CFPC. The positions and
responsibilities in this document can be used as a starting point to deploy all the
programs planned by the educational facilitator of the training center, as part of all
school and extracurricular activities. Its structure can be reorganized by
management in order to clearly define the responsibilities of the members of the
board of directors or to broaden its scope of action as far as possible.

1. Board Members

The council of room no. 1 under the supervision of the general management
of the MATGENIE CFPC establishment is made up of 9 members elected on
December 19, 2023 by all the learners in the room. Each of these members
listed below has a well-defined position and responsibilities.
- PRESIDENT

- MANAGER
- TREASURER
- SECRETARY
- THE CENSORS
- THE CAPTAINS

2. Positions, roles and responsibilities of the board of directors (policy


development)
2.1 Description of the position of PRESIDENT

PRESIDENT

Authority/responsibility:

Flag bearer of the classroom, the president is in an honorary capacity; The


oldest in the room, he plays the role of moderator due to his maturity by
bringing his experience to the youngest for the smooth running of the
classroom.

Specific functions and responsibilities of a PRESIDENT

Involved in the operating protocol and deployment of different activities


assigned by management
: - He chairs the meetings of the board of directors
- He represents learners in all extracurricular events

2.2 DELEGATE position description

DELEGATE
Authority/responsibility:
The administrative management of services between the school and the
learners is ensured by the delegate. He works in conjunction with the
administrative council of the classroom under the supervision of the general
management of the CFPC.

Specific functions and responsibilities of a DELEGATE

The delegate is required by his responsibility to:


• Ensure that classes are held normally while ensuring the well-being of
teachers in the classroom
• To resolve any difficulties that a learner may encounter on an administrative
level.
• Represent the board of directors to management

2.3 MANAGER job description

MANAGER

Authority/responsibility:

Conductor and responsible for planning all internal activities undertaken by


the venue, he may be contacted by management for any other collaboration
which only falls within his function.

Specific functions and responsibilities of a manager:

- Work in partnership with all of these collaborators who are members of the
board of directors or with the educational facilitator to plan the organization
of school or extracurricular activities in the classroom or establishment.
- Schedule the various meetings and work of the executive committee with
the general secretary
- Evaluate the progress of the work of the executive committee, and in the
event of a failure, contact the censor

2.4 Job description of a TREASURER

Authority/responsibility:

As a member of the board of directors, the treasurer holds a position of trust


for the classroom and is responsible for financial matters. The treasurer is also
responsible and accountable to the members. The Treasurer interprets
financial information from the classroom to the Board of Trustees, brings
financial matters to the Board for review, chairs the Finance
Committee as appropriate, facilitates the development of policies and
budget, and directs the monitoring of revenues and budgeted
expenses.

2.5 Job description of a GENERAL SECRETARY


Authority/responsibility:
The Secretary General is responsible for the development of the work
and provides general advice and guidance on all activities Upon

specific authorization
of the Board of Directors, through a resolution adopted at a valid
meeting, The Secretary General is responsible for the minutes of
board meetings and executive sessions. Specific functions and
responsibilities of a general secretary:
- The general secretary maintains the council's files and ensures
effective management of the organization's files.
- Manage minutes of board meetings and management sessions. -
Ensures that minutes are distributed to members shortly after each
meeting
- in many jurisdictions the corporate secretary must sign legal
documents in accordance with local statutes
2.6 Job description of a CENSOR Job :
CENSOR (CLASS HEAD)
Authority/responsibility: Responsible for maintaining and preserving
order and a good atmosphere within the room, Specific functions and
responsibilities of a censor:
2.7 Job description of a CAPTAIN
CAPTAIN
Authority/responsibility: Responsible for the execution of various
sporting activities Specific functions and responsibilities of a general
secretary:
- He ensures the normal running of sports activities in the classroom
- based on the teacher's program
- Based on the EPS teacher's program, he replaces him in the event
of unavailability in order to allow the continuity of the course of the
lessons
- Made suggestions on the development and improvement of the
regulations for sports activities to the teacher and the committee
