=> Above are the jobs that the company recruits and I have interned as a production planning
officer within 4 weeks at AOCC Vietnam Co., Ltd.

2. Job description

With the trust of my boss and colleagues in the office, I have been assigned the following tasks:
- When interning in the production planning department, the first job I was assigned was to
translate English spec sheets and emails for US orders.
- Next, I was assigned to support data collection and entry. Specifically, I was asked to collect
information about customer orders, raw materials to buy, and production steps to perform. Then,
I use production planning software to enter data into the system. This job helps me become
familiar with the types of information that need to be collected and entered into production plans.
At the same time, I also learned how to use production planning software. After becoming
familiar with data collection and input, I was assigned the task of supporting production
planning. Specifically, I was asked to assist the production department heads in making
production plans for each product. This job helps me better understand the production process of
each product. At the same time, I also learned how to plan production to ensure it meets
customer needs and optimize production costs.
- Then, together with my colleagues in the office, I welcomed customers from Hungary. I had
access to new knowledge and communicated in English with the visiting delegation.
- Not only that, I was given an order, sample product specifications, production notice, material
import order and production operation order.
- The task of photocopying and printing documents: is essential for the business operations of
any company. Documents are abundant and serve as crucial records, similar to goods. Therefore,
the act of photocopying documents is important to preserve and easily retrieve them when
necessary. In departments such as export and import, after completing the online customs
declaration registration, it is necessary to print out the registered form and make copies for
storage and submission with the documents. Hence, I have been assigned the responsibility of
photocopying and printing various documents, which is the initial exposure to simple office
tasks.
22
- My next task is to arrange documents according to the correct set of documents and orders and
then store the documents in the room's customer information cabinet.
- I was also assigned to prepare work reports, compare the order quantity on the order with the
actual quantity delivered from the supplier, create a parameter table for the new product code,
and track the movement of the package.
- Support in meetings, conferences and negotiations with foreign partners by interpreting.
- Assist in the development and implementation of working procedures and international
standards.
- Prepare and manage documents for English-speaking employees and customers.
- Ensure that all production-related documents and information are up-to-date, accurate, and
understandable.

3. What should I do to improve quality of working? / your suggestions

In my personal opinion, I find that 4 weeks is a period that is neither long nor short, but not long
enough to get used to and adapt well to the working environment at the company. I hope the
internship period can be extended for a few more weeks. This job brings me great benefits.
I interned as a production planning employee at the company for a month and my opinion of the
internship location was positive. The working environment at the company is professional and
full of positive energy. I have had the opportunity to work with an excellent and creative team.
During my internship, I participated in many important activities. I learned how to manage
documents, handle emails, and prepare documents and reports. I also participate in planning and
creating individual spec sheets for each order in my department. These activities helped me
develop my organization, time management and teamwork skills.
Colleagues and managers at the company are supportive and dedicated. They created
opportunities for me to learn and grow. I was given a variety of tasks and given clear instructions
to ensure I understood my responsibilities. In addition, I also have the opportunity to discuss and
receive constructive feedback from colleagues and managers, which helps me improve my skills
and performance.
Another benefit of this internship is the opportunity to gain exposure to different departments
within the company. I can communicate with departments such as accounting, human resources,
and marketing. This helps me better understand how departments work and how they interact
with each other to achieve overall company goals.

23
Even though the internship only lasted a month, I learned valuable lessons. I had the opportunity
to observe and participate in the administrative activities of a professional company. This
experience gave me insights into the practical aspects of administrative work and enhanced my
understanding of how organizations work.

My last wish is to have more internships like this. The benefit of doing an internship is obviously
to gain a lot of new experience in the working environment at the company so that when you go
to work officially after graduating, you will not be surprised. In addition, doing internships like
this helps us understand ourselves better, develop and improve knowledge and life skills, and
adapt well to new situations. I have gone from being a student who has never encountered any
difficult problems to now being exposed to and dealing with problems I have never encountered
before. This is a time that allows you to make mistakes, and to test what you believe is right.
Mistakes are hard to avoid, but I was brave, took them seriously, and learned every day. From
there, through the internship, I have a clearer view of my strengths, weaknesses, and interests.
And the most important thing about doing an internship is to hone your communication skills.

processes and activities, such as managing records, written communication, utilizing office tools

26
solving skills. By working alongside their peers, interns gain practical experience in navigating
group dynamics and achieving shared objectives.
Applying academic knowledge: Production internships enable students to apply the knowledge
and skills they have acquired in school to a real work environment. This helps them understand
how to apply theory to practice and build confidence in the administrative field.
Regarding financial support, the provision varies across companies. While some organizations
offer stipends or allowances to assist interns in covering their expenses during the internship
period, it is worth noting that the company in question also provides support amount of
5,000,000 VND for each intern. This financial assistance can alleviate some of the financial
burdens associated with the internship, allowing interns to focus more fully on their professional
growth and development.
In conclusion, interning as a production planning intern presents a multitude of advantages. From

teamwork abilities, and applying academic knowledge, the internship experience offers a solid
foundation for future success in the administrative field. The availability of financial support,
such as stipends or allowances, further contributes to a rewarding and enriching internship
experience.
 Disadvantages
When working as a production planning intern for a month at a business, I encountered some
difficulties as follows:
First, adapting to the work environment has proven to be a significant adjustment. The
transition from an academic environment to a professional work environment includes adapting
to the work culture, understanding the complexities of different work processes and establishing
relationships with colleagues and supervisor. Just as I was starting to feel more comfortable in
this environment, the internship ended, making it difficult to fully adapt and grow in a short
period of time.
Nature of work: Internships often involve becoming familiar with new tasks and responsibilities.
This may include learning and applying new knowledge, working with new technologies or
tools, and participating in specific projects or tasks. It requires you to quickly learn and apply
new skills to get the job done.
Building relationships within the organization also proved challenging due to limited internship
time. Establishing meaningful relationships with colleagues and supervisors requires time and
effort, and the short duration of internships makes it difficult to form deep relationships.
Additionally, the varying roles and experience levels of individuals within the organization add
to the complexity of relationship building.
27
Time management is another obstacle during internships. Juggling multiple tasks and projects
simultaneously requires effective time management and prioritization skills. Balancing
competing deadlines and ensuring timely completion of tasks requires careful planning and
organization.
Furthermore, as an English student, using and developing your English skills in a professional
environment poses its own challenges. Even though I have an English background, working in a
real-life environment makes me have difficulty with specialized terms and jargon as well as the
need for effective communication. Understanding and effectively using these language skills in
professional contexts requires continuous improvement and adaptation. In addition to English, I
can also communicate in Chinese. Even though I have many difficulties in listening and
understanding, I can still try to absorb it.
Overall, internships provide valuable learning experiences and opportunities for personal and
professional growth. While challenges may exist, they can be overcome through continuous
learning, adaptability, effective communication, and seeking guidance from supervisors and
colleagues.
