A. Preamble
In the interest of simplifying procedures for providing canteen services and solving several
operational problems at our project sites, it has been decided to modify the existing system of running
canteen facilities at sites. This document details the new policy for canteen arrangements at sites.
‘The major focus of this new policy is to decentralize the management of site canteens and to empower
the employees availing the canteen facilities at site by making them responsible. It is envisaged that
this will lead to more satisfied canteen users who have better control on controlling their own menus
and catering to the diverse regional food habits of the employees at site.
B. Site Canteen Management Committee
1. Every project site will form a site canteen management committee and all canteen facilities will
be operated and managed only by this committee.
2, The members of this canteen committee will consist of employees who use the canteen facilities.
3. The members of the canteen committee may be rotated as per the decision of the project site team.
4. This canteen committee can decide whether and how they will run canteens for the employees
and workers,
5. This committee will oversee and monitor all aspects of the running of the canteen(s) like
‘manpower costs, gas expenses, grocery expenses, etc. and will maintain proper records for
accounting for their own appreciation,
C. Food Allowances for Employees
1. Atall Project Execution Sites — Every MEIL employee will be given Rs. 2000/- per month as food
allowance along with salary.
2. For all HO employees, a deduction of Rs. 40/- per meal will be made for meals availed at HO
Canteen. The deduction for Senior Management will be Rs. 80/- per meal.
3. For site employees visiting HO canteen for work purposes, meals will be provided free of charge.
4, At all manufacturing units in Hyderabad where food is supplied from HO — Rs. 40/- will be
deducted per lunch or dinner. For breakfast, Rs. 20/- will be deducted.
5. For RO Employees (wherever food is provided), Rs. 40/- per meal will be deducted and for Senior
Management deduction will be Rs. 80/- per meal.
D. Guest Meals
1. Any guest meals to be accounted and paid separately to the canteen account after approval from
Project Management or RO Head, respectively.
E. Minimum Number of Employees
1. Minimum number of employees is 50 for the organization to provide canteen infrastructure.

2, Where there are fewer than 50 employees, they will get food allowance, but the organization will
not provide any canteen infrastructure unless there is existing canteen infrastructure.
F. Canteen Infrastructure
1. The expenditure towards the establishment of the canteen will be handled by the HO Canteen
Team as per the Standard guidelines for the canteen infrastructure and a complete list of
equipment will be handed over to the Site Canteen Committee. /Aviachment ~ Annexure A—

2. Rents, electricity and water charges will be bome from the HO.
3. Operational expenses like groceries and other cooking materials, salaries of cooks and canteen
helpers, payments towards cooking gas, cleaning material, ete. will be handled by the canteen
committee.
G. Management Review of this Policy
1. Management will review this policy on a half yearly basis.
H. Effective Date
1. This policy will go into effect on 01-APRIL-2024.
