Day #2 NOTES

Project Schedule Management:

Simplified Explanation with Case Study Examples

Project Schedule Management encompasses the procedures necessary to ensure timely

project completion. The key phases involved include planning, defining activities, sequencing
them, estimating durations, developing the schedule, and controlling it.

Plan Schedule Management

This phase involves establishing policies and documentation for managing the project
schedule. It guides the entire scheduling process, ensuring consistency with project
objectives.

Define Activities

In this stage, project tasks are identified and documented. This detailed breakdown helps in
organizing the project workload into manageable sections.

Sequence Activities

Here, the order of tasks is determined. Understanding the relationship between activities helps
in optimizing the workflow and ensuring efficient project execution.

Estimate Activity Durations

Estimation of time required to complete each task using available resources. This is crucial for
setting realistic deadlines and allocating resources effectively.

Develop Schedule

Analysing activity sequences and resource allocations to create a comprehensive project

schedule. This schedule serves as the backbone for project execution and monitoring.

Control Schedule

Ongoing monitoring of project progress against the set schedule. Adjustments and updates are
made to keep the project on track in response to any deviations or changes in scope.

Case Study Example

Scenario: A software development company is tasked with upgrading an enterprise resource

planning (ERP) system for a large retail corporation. The project involves multiple departments
and stakeholders with varying needs.

Day #2 NOTES

Application of Project Schedule Management:

1. Plan Schedule Management: The project team established a detailed schedule

management plan that included milestones, dependencies, and resource allocation
strategies.

2. Define Activities: Tasks such as system analysis, code development, module testing,
and user training were defined.

3. Sequence Activities: Logical relationships between activities were established using

methods like the Precedence Diagramming Method (PDM), ensuring a smooth
transition between phases.

4. Estimate Activity Durations: Duration estimates were made based on team capacity
and historical performance data, setting realistic timelines for each phase of the
upgrade.

5. Develop Schedule: A comprehensive schedule was developed, integrating all

activities, their sequences, and durations. Resource levelling was applied to address
potential bottlenecks.

6. Control Schedule: Throughout the project, the schedule was monitored using tools
like Gantt charts and project management software. Regular status meetings and
updates ensured that any discrepancies were addressed promptly, keeping the project
on track.

This practical application of Project Schedule Management ensured that the ERP upgrade
was completed on time, within budget, and met all stakeholder requirements, demonstrating
effective project management and coordination.
