INTRODUCTION
1.1 Background
Education system forms the backbone of every nation. And hence it
is important to provide a strong educational foundation to the young
generation to ensure the development of open-minded students
securing the future for everyone. Advanced computer technology
available today can play a crucial role in streamlining education-
related processes to promote solidarity among students, teachers,
parents and the school staff.
In today's digital age, educational institutions play a crucial role in children’s
development. Efficient management of these institutions is essential to ensure the
quality of education, student safety and also equal involvement of parents and
teachers in the children’s growth and development.
School Management System(SMS) consists of tasks such as
registering students, attendance record keeping to control
absentees, producing report cards, producing official transcript,
preparing timetable and producing different reports for teachers and
parents. Automation is the utilization of technology to replace
human with a machine that can perform more quickly and more
efficient. By automating SMS documents that took up many large
storage rooms can be stored on few disks.
However, the school system in the schools of Tanzania is not
automated and the head teachers generate transcripts and reports
manually and the school administrators use their experienced
knowledge of miss and hit approaches to prepare timetables.
Specifically St George pre and nursery school don’t have access to
any school management system due to cost of implementation,
existence of system problems and even lack of knowledge about the
existence of such systems and thus effects like inefficiency in report
making, manually preparation of school documents, cost in
conducting activities manually, delay in providing results due to
manually calculating and recording data and lack of secured track of
data and information about students and teachers occur
Therefore , we are implementing a less costfull school
managements system facilitating all the major and basic
functionalities of a school administration to the students and
parents. Our school management system will consist of Students,
Parents Teachers and Administrator
The school will be able to printout results , take attendance, record
information for the students. Parents will be able to easily view their
children's results and performance , and be in control of easy
payment of fees and other bills but also view the whole academic
year calendar and being informed for any changes, these are some
of the ask that will be handled by our school management system
This school management system will bring in about the new era of
task perfomance in schools in Tanzania
1.2 Statement of the Problem
Lack of an Advanced school management system important data like student
attendance, progress reports, and medical records may not be consistently tracked,
leading to inaccuracies and difficulties in maintaining comprehensive records. And
with the school being a pre and nursery school parents will be very concerned if they
cant easily track their children's performance and progress.
Efficient communication between teachers, parents, and administration can suffer,
resulting in misunderstandings and delays in conveying important information like
school opening dates and holiday dates, examination weeks , parents and teachers
meetings .
Without a proper system, monitoring student progress and generating accurate reports
can be difficult, affecting the ability to provide personalized learning and support due
to the manual recording of data and reports .
Tracking fees, payments, and budgeting manually can lead to errors, financial
mismanagement, and missed opportunities for financial aid or funding. Errors can be
made an cause and effect on budgets and finances but also its more secured if all the
transactions are easily monitored and recorded for reference
Without an organized system, administrators and teachers might spend excessive time
on manual tasks, such as record-keeping and scheduling, reducing the time they can
dedicate to educational activities and improving the students performances.
1.3 Project Objective
The general and specific objectives of the project are described
below:

The general objective of the project is to automate the School
Management System in Tanzania

In order to attain the general objective, the following list of specific
objectives is set;
i. To develop a school registration system,
ii. To facilitate attendance record keeping and student
performance ,
iii. To facilitate student results report generation,
iv. To allow teachers, parents and school community to easily
communicate and track students and school perfomance
v. To produce a a school academic year calendar and timetable
vi. Securing sensible and confidential data and information regarding the students
and teachers in a digital format for future reference
