VIBGYOR Parent App – User Manual

Welcome to the VIBGYOR Parent App! This app has been designed to make your school interactions
seamless and simple. With this, you can:

- Track your child’s attendance


- View bus live tracking and trip updates
- Manage authorized bearers for safe pick-up/drop
- Stay updated with circulars, notices, and class updates
- Access everything in one dashboard

This manual provides step-by-step guidance to help parents log in, explore key features, and
make the best use of the app for a seamless school-parent communication experience.

1. Parent Login

Instructions

1. Step 1: Open the VIBGYOR Schools App:


o Download and install the Hubble Orion from the Google Play Store (for
Android) or Apple App Store (for iOS).
o Tap the app icon on your phone to open it.
2. Step 2: Enter Your Credentials:
o On the login screen, enter your registered email ID in the Email field.
o Enter your password in the Password field.
Note: These credentials are shared by the school at the time of admission
via on boarding email or SMS. Or you can contact front desk for receiving
the credentials.
3. Step 3: Tap on ‘Sign in’:
o Press the red Sign in button to securely log in to your parent account.
4. Step 4: Forgot Password Option:
o Tap on Forgot Password if you can’t recall your password.
o A reset link will be sent to your registered email to create a new one.
5. Step 5: Need Help?
o If you face any issues during login, raise a Service Request or call the
support helpline: +91 600 3000 700

2. Dashboard

Dashboard Layout Overview – Parent View

This section explains the dashboard interface that parents interact with after logging into
the VIBGYOR Parent App. The dashboard serves as a central hub providing access to their
child’s academic, transport, and communication updates in real-time.

Dashboard Sections Explained

UI Component Details & Functionality


 Displays the initials of the logged-in parent.
Parent Initials’ Icon  Clicking it opens a dropdown containing Logout
functionality to end the session securely.
 Located next to the parent initials at the top right corner,
Notification Icon this notification icon displays all notifications sent from the
school to parents.
Help Desk Centre Icon  Allows parents to connect with the VIBGYOR Help Desk via
phone call
Profile Greeting Located directly under the header strip.
Section • Displays a personalized greeting, such as: "Hello, (Parents

Name)".
• Helps confirm the account currently logged in.
Positioned next to the greeting.
Child Selector • Lists all children linked to the parent’s account.
Dropdown • Selecting a child will instantly update all dashboard tiles with
that child’s info — no page reloads required.

This widget shows the selected child’s transport status. Live bus
Tracker - Transport location is available during trips between home and school to
help parents track their safety
Service Request This widget will allow parents to raise and track the PSR (Parent
Service Request)
Academic Progress- Allows parents to view their child's day-wise attendance for each
Student Attendance month

Bearer Management: Enables adding/editing/removing trusted


Parent Service-Bearer individuals (e.g., uncle, nanny) for school pickup/drop access.

Instructions
Step 1: Open Track Bus Screen

Log in to the VIBGYOR Parent App.


From the Dashboard, tap on Tracker > Transport.
You will be redirected to the Track Bus screen.
The default view is the Today’s Trip tab, showing all pick-up and drop trips
scheduled for the current day for the selected child.

Step 2: Use the “Today’s Trip” Tab

View all Today’s Trip and Completed Trips for the selected child.
Two trip types will be listed:
Pick-up Trip: Stop to School
Drop Trip: School to Stop
Tap the Completed Trips tab to view already finished trips.

Step 3: Review Trip Cards

Each trip is shown as a card containing:

 Bus Number (e.g., MH47–PK–9386)


 Route Number (e.g., Route No.: PI01)
 Start and End Locations:
o Pick-up: Stop → School
o Drop: School → Stop
 Trip Type Label (Pick-up or Drop)
 Option to track live bus journey (In map view and in linear view)

3. Transport – Live Journey Tracking

Instructions
Step 1: Tap on the “Track” button

From the Today’s Trip tab, locate the trip card for your child’s current journey.
Tap the Track button on the right side of the card.
User will be able to view
Scheduled time (schedule time set by the school)
Stops (Stop Name)
Estimated time (estimated arrival time based on the google maps)
Once the bus has crossed the stop, it will be shown as ticked off.

Note: On clicking Track, the user can see the Linear View.

Step 2: Tap on the “Live” button

You will be redirected to the Live Journey screen that shows the real-time location
of the bus.
User will be able follow the path through which the bus is travelling from one stop
to another.

Note: On clicking the Live button, the user can see the Map View.

Step 3: Review the student profile summary


• The popup displays your child’s:
– Profile photo
– Full name (e.g., Aishwarya Dukhande)
– Enrolment number (e.g., EN14286471534)
– Attendance status (e.g., Absent)

Step 4: Verify bearer details (Link to bearer listing)


• Confirm the bearer’s name (e.g., Kiran Kumar).
• Check the relation with the student (e.g., Nanny).

Step 5: Journey completion


• Once the journey is completed, the trip will start populating under “completed trips”
section
4. Transport - Raise Intimation/ Notify

Step 1: Tap on the “Notify” button

 From the Track Bus screen, tap the notify icon located at the top-right corner of the
screen.
 You will be navigated to the Raise Intimation screen.

Step 2: Select the trip type

 Choose one of the following radio button options:


o Pick – if the child will be absent for the morning pick-up.
o Drop – if the child will be absent for the drop trip.
o Both – if the child will not use transport at all for the selected day.
 This is a mandatory step.

Step 3: Select the date

 Tap on the calendar icon or Select Date field.


 Choose the date for which the absentee notification is being raised.
 Only current or future dates can be selected (past dates are disabled).
 By default, today’s date will be selected.
 This is a mandatory step.

Step 4: Enter the “Note” for absenteeism (If the Student want to be absent)

 Tap on the Reason text box.


 Type the reason (e.g., “Child not well” or “Will be dropped by car”).
 Maximum character limit is 200 characters.
 This field is mandatory.

Step 5: Submit or cancel the intimation

 Tap Submit to validate the inputs and send the absentee intimation to the school.
 Tap Cancel to discard the entry and return to the previous screen without saving.

5. Student Attendance:

Instructions
Step 1: Log in to the VIBGYOR Parent App

 Enter your registered email ID and password.


 Tap Sign in to access the Dashboard.

Step 2: Locate the “Academics Progress” (Student Attendance) card on the Dashboard

 On the Dashboard screen, find and tap the “Academic Progress” (Student Profile)
card.

Step 3: Access the “Student Attendance”

 Tapping the card will redirect you to the Student Attendance screen of the
selected child.
 The student’s day-wise attendance for each month is displayed here.

Step 4: View student details on the Student Attendance screen

 At the top of the Student Profile screen, review the child’s basic information,
including:

o Student Name (e.g., Devyansh Sharma)
o Enrolment Number (e.g., EN10122501428)
o School Name
o Board, Shift, Grade, Division, House, and Stream

Step 5: Locate the calendar under the “Select Date” section

 Scroll down to find the monthly calendar view just below the student details.
 The calendar shows the current month by default.

Step 6: Select a date on the calendar

 Tap on any past or current date to view the attendance summary for that day.
 The selected date will be highlighted with a solid blue circle (e.g., 14 for July 14).
 Use the left (◀ ) and right (▶ ) arrows to switch between months if needed.
 Note: Future dates are disabled (greyed out) and cannot be selected.

Step 7: View the attendance summary tiles

 After selecting a date, review the three colored boxes that appear below the
calendar:
o Blue Tile – Total Days: Total working days until the selected date.
o Green Tile – Present Days: Number of days the child was present.
o Red Tile – Absent Days: Number of days the child was absent.

Step 8: Repeat for different dates (if needed)

 Tap any other past date to instantly refresh the attendance metrics.
 All tiles update dynamically with the latest data for the selected date.

6. Parent Service – Bearer Management

Instructions
Step 1: Log in to the Hubble Orion App

 Open the Hubble Orion mobile application.


 Enter your registered email ID and password, then tap Sign In.

Step 2: Land on the Dashboard screen

 After a successful login, you will be redirected to the Dashboard screen.


 Ensure that you are logged in with a verified parent account linked to at least one
child.

Step 3: Locate the “Bearer Management” widget

 In the Parent Services section, find and tap the Bearer Management widget.

Step 4: View the Bearer Listing screen

 The system redirects you to the Bearer Listing screen, where you can view all
authorized bearers linked to the selected student.
 Logged in parent will be the default bearer.

Step 5: Review details of each bearer

For each bearer card, the following details are shown:


o Bearer Name
o Photograph (Profile Image)
o Phone Number
o Start Date and End Date (validity of authorization)

Step 6: Identify default bearer (Parent Name):

Your own name (as a parent) will appear as a default bearer.


 This entry:
o Cannot be edited or deleted
o Is automatically created by the system.

Step 7: Check bearer limit


• The system allows a maximum of 5 bearers per student.
• If this limit is reached:
o You will see an alert message
o The “Add New Bearer” button will be disabled until you delete an existing bearer.

7. View QR:

Instructions
Step 1: Tap on the “View QR” button

 On the Bearer Listing screen, tap the “View QR” button.

Step 5: Land on the “Child Pickup” screen

 User will be navigated directly to the “Child Pickup” screen.

Step 7: View your QR Code

 If a valid mapping exists:


o Your QR Code will be displayed on screen.
o Present your QR code at the school gate for child pick-up.
o Presenting QR code will be mandatory for child pick-up. Otherwise, school
staff will not handover the child to the bearer.
o Click on ‘View Students’ to see the list of students assigned to you. You are
the authorized bearer for these children and are permitted to pick up only
those students.

8. Add Bearer

Instructions
Step 1: Tap on “Add New Bearer”

 On the Bearer Listing screen, tap the “Add New Bearer” button.

Step 2: Enter the bearer’s details in the form

 Upload Photo – Capture or upload a clear profile picture.


 Full Name – Type the bearer’s name.
 Relationship – Select the relationship from the dropdown.
 Phone Number – Enter the mobile number.
 Start Date – Select the start date from the date picker.
 End Date – Select the end date from the date picker.

Step 5: Tap “Submit”

 After completing all details, tap the Submit button to save the new bearer.
 A popup will appear with the success message.

Step 6: View Bearer in Listing


• The newly added bearer will appear on the Bearer Listing screen.
• Share the login credentials (generated by the system) with the bearer for app access.

6. Edit Bearer:

Instructions
Step 1: Navigate to Bearer Listing
• From the Dashboard, go to:
Parent Services → Bearer Management → Bearer Listing

Step 3: Select the bearer to edit

 On the Bearer Listing screen, locate the bearer you wish to update.
 Tap the three-dot menu (⋮) on the bearer’s card.
 Select the “Edit” option from the menu.

Step 4: Update the bearer’s information

 On the Edit Bearer screen, review and update any of the following fields as
needed:
o Full Name

o Relationship
o Phone Number
o Upload or capture a new photo (optional)

Step 5: Tap on “Submit”

 After making changes, scroll to the bottom and tap the “Submit” button.

Step 6: View confirmation and updated details

 A message will appear: “Bearer edited successfully.”


 You will be redirected back to the Bearer Listing screen where the updated details
will be visible.

10. Delete Bearer

Instructions
Step 1: Tap on “3 dotted menu - (⋮)”

 On the Bearer Listing screen, against each bearer card, there is a 3 dotted menu
option. tap the “3 dotted” menu.

Step 2: Open the delete menu for a bearer


• Locate the bearer you wish to delete.
• Tap the three-dot menu (⋮) on the top-right corner of the bearer’s card.
• Select Delete from the menu options.
• Bearer will disappear from the listing screen.

12. Communication – Class Updates

Instructions
 Step 1: Open Communications
• From the left navigation, click Communications (use this for any class updates).
• You will land on the Class Updates screen.

 Step 2: Review updates list


• The screen displays all communications relevant to your class.
• Each item shows:
o Sent From
o Sent Date & Time
o Subject / Regarding (summary of the communication)
o Attachment indicator (if files are included)

 Step 3: Open a communication
• Click a row/card to view full details of the communication.

 Step 4: Download attachments (if available)


• If attachments are present, click the Download option next to the file name to
save it locally.

 Notes
• Attachments may include circulars, notices, timetables, or other class
documents.
• Date and time reflect when the communication was sent by the school/class.
