Export Terms & Documentation


When preparing to ship a product overseas, Exporter needs to be fully aware
of all the relevant requirements pertaining to export logistics which need to be addressed
and relate to things such as packing, labeling, documentation, and insurance . As the
product will be transported by external shippers to overseas customers, the company
must follow all the appropriate shipping requirements and regulations to ensure that the
product is
Documented correctly to meet local legal requirements as well as those that are relevant
in the target country. `
Insured against any damage, loss, pilfering, and/or any possible delays that may arise
during the period that the product is in transit.
Packed in an appropriate manner, so that it arrives at its destination in a good condition.

Labeled correctly to ensure that the product is handled properly and arrive on time and
at its desired destination.

Certificate of Origin :
This certificate issued by the local chamber of commerce that the
goods, which are being exported, are actually manufactured in a
specific country mentioned therein. It is sent by exporter to the importer
and is useful for the clearance of the goods from the customs authority
of the importing country
Commercial Invoice :
An invoice is very important as it contains the names of the exporter,
importer, and the consignee, and the description of goods. It has to be
signed by the exporter. Other documents are prepared by deriving
information from the invoice. It is required to be presented before the
different authorities for different purpose .

Insurance Certificate :
This document , obtained from the freight forwarder , is used to
assure the consignee that the insurance will cover the loss or damage
to the cargo during transit ( Marine/ Air Insurance )
Bill Of Loading:
A detailed list of a shipment of goods in the form of a receipt given by
the carrier to the person consigning the goods.
A document signed by a carrier (a transporter of goods) or the
carrier's representative and issued to a consignor (the shipper of
goods) that evidences the receipt of goods for shipment to a specified
designation and person.

Packing List :
Packing List gives the packing details of goods in a prescribed
format. It is a very useful document for customs at the time of
examination and for warehouse keeper of the buyer to maintain a
record of inventory and to effect delivery .
Certificate of Inspection :
Certificate of inspection is required by some importers and countries
in order to get the specifications of the goods shipped attested . The
attestation is usually performed b
y a government agency or by independent testing organizations.

Bonded Warehouse :
A bonded warehouse is a building or other secured area in which
dutiable goods may be stored, manipulated, or undergo manufacturing
operations without payment of duty.[1] It may be managed by the state or by private enterprise. In
the latter case a customs bond must be posted with the government. This system exists in all developed countries of the
world.

Certificate of manufacture
A statement (often notarized) in which a producer of goods certifies that manufacture has been completed and that the
goods are now at the disposal of the buyer.

Duty :
A tax imposed on imports by the Customs authority of a country.
Duties are generally based on the value of the goods (ad valorem
duties), some other factor such as weight or quantity (specific duties),
or a combination of value and other factors (compound duties).
Pro-forma invoice
An invoice provided by a supplier prior to the shipment of goods,
informing the buyer of the kinds and quantities of goods to be sent,
their value, and other details (weight, size, etc.)
