Serial Uniqueness… Explained
What is a Serial Uniqueness Error?

A serial uniqueness error is when a serial number is showing in


more than one location at the same time

What causes Serial Uniqueness Error?

When stock records are not cleared down through the stock
cycle correctly. i.e. a DEIN is not entered correctly or an RMA
is not closed down before the part is shipped back out

How do we correct a Serial Uniqueness Error?

By removing the old record of where the serial number used to be

Before you change anything on the system, make sure that the
6 engineer is giving you the correct details
Stock Cycle
It is important to understand the Stock Cycle when dealing with
Serial Uniqueness Errors

Parts

All non-serialised parts, normally indicated on parts usage by the


part line code PU

Products (also shown as Model ID)

All serialised parts , normally indicated on parts usage by the
INST, DEIN, LOAN & BIFS part line codes

Parts & Products
When a new part number is set up on the system, we have to specify
whether the Part (non-serialised) will also be a Product (serialised)

If this is not done the system will assume that it is a non-serialised


part and will not allow any installs or deinstalls to be carried out.

You will see this error when trying to install the serialised item if the
part to product is not configured correctly

If the part is a product, all you need to do is activate the ‘Part
Becomes Product’ feature from screen 018

Ensure that the “Part Becomes Prod” flag is ticked

Once the check box has been ticked, you have to specify the Model
ID that the part should point to

You will see that you have the Part ID showing but no Model ID,

set up on the system by TST Team

To continue, you must have the same part number in both fields

You should now be able to install the product on Parts Usage

Place ID Errors

A Place ID error will occur when the serial number is still showing at
another customer’s site

This error shows that S/N 8911CL925848, Model ID
102330332 is showing at Place ID 186969 (Danisco)

Place ID Errors
What causes this?

The serial number that you want to install or de-install is still


registered at a different Place ID from a previous call or if the
customer has moved the unit themselves to another address

User logs a call at ACME


S/N JKL123 Customer then London for S/N JKL123
Installed at sent S/N JKL123 & eng removes it from
ACME Belfast to another branch site
on OUT

ACME ACME OUT still thinks that the
Belfast London product is installed at Acme
Belfast and shows a Serial
Uniqueness Error when
trying to do a DISP ONLY

Correcting Place ID Errors
How do we correct this error?
To correct this type of error, all you need to do is move the
product from the current Place ID to the Place ID on your call

From the error message, make a note of the following information:

Place ID

Serial Number

Model ID/Part Number

Then make a note of the Place ID in screen 003


…and go to Screen 040

This will search for this serial number at all Place ID’s

Remove the Place ID from the ‘Owned By’ & ‘Located At’ fields

Product’ list and you can DEIN the product as normal

Ineligible to Become a Part…
When attempting a De-Install, you may see this message:

This indicates that Part to Product was not set up prior to the
Serial ID record being created.

To fix this error, go to screen 040

Ineligible to Become a Part…
In order to complete a DEIN, both the Model ID and Part ID fields
must be populated

Simply copy the


Model ID number
into the Part ID field

from the ‘Change Product’ list again to ‘reset’ the record

Understanding ‘In-Transit’
When a part is shipped out, Stores have 2 shipping options:

Ship the part directly into the desired location


Ship the part ‘in-transit’ so the receiving location has to receive
the part in Screen 014

All RMA’s also have to be received into Dtrash/Workshop using
Screen 014

‘Part In-Transit’ Errors
An ‘In-Transit’ error indicates that the product exists elsewhere
either on an RMA or on it’s way to another stock location.

To establish exactly where the problem lies, you first need to


access screen CTN089.

‘In-Transit’, go to screen 226

Firstly, try clearing the Ship ID, this will normally clear 90% of errors

Make a note of the Ship ID and go to screen 009

By deleting the Ship ID, you will move the Serial ID back to the
location where it was shipped from

e.g.

RMA raised Part ‘In- Ship ID

This could be either GOOD or BAD stock

You then need to move the stock back to a Car Stock Location

You have to make it show in a Usable location

If you need to DEINSTALL the serial number from a site, you need
to first INSTALL it
(NOTE: this may leave 2 x INST codes – This is normal practice)

Car Stock Errors

If a Serial Number is showing in another car stock location, it could


be due to 2 problems:

The part has not been moved correctly from bad stock
(refer to previous section on using screen 093)

The previous RMA for this serial number has not been completed
correctly

In order to bypass this error, you need to remove the record
showing in this car stock location

Make a note of the Car Stock Location, Part ID & Serial ID

You remove a record from a Car Stock Location, you need to go to
screen 092

You should only delete stock


from an engineer’s car location
if the error has appeared when
trying to create a RMA.

If you are attempting to INSTALL


a product, you must refer the

GOOD-OUT - Deletes stock showing as Usable


GOOD-IN - Adds Usable Stock
BAD-IN - Adds Unusable Stock
BAD-OUT - Deletes stock showing as Unusable
GOOD-BAD - Makes Usable Stock Unusable
BAD-GOOD - Makes Unusable Stock Usable

GOOD = USABLE BAD = UNUSABLE

serial uniqueness error, you should be removing bad stock from the
car stock location (BAD-OUT)
