Understanding Files and Folders
Management
 A computer program consists of a collection of files which can be
divided into two types:
1) Program files or instruction files: these files are written by the programmers
or the developer of the software. Computer users are not interested in these
files.
2) Data Files or Users Files: these files are written or constructed by
the user such as letter, graphs …etc.
 Program files will be arranged automatically when the software
is first installed on the computer.
 Data files or user files must be organized by the user to make
sure that he can access the files efficiently when needed.

Icons can be classifies as the following
• Folder Icons
• File icons
• Shortcut icons

Folder Icons ”directories”: store files and
other folders. They are used to organize files
on computer. The folders themselves take up
virtually no space on the hard drive

• File icons: a collection of data stored in one unit, identified by a
filename. They can be documents, programs, libraries, and other
compilations of data.

• File name consists of two part name and extension

• Shortcut icons: a link that points to a program on the
computer. Shortcuts allow users to create links to their
programs in any folder, Start bar, Taskbar, Desktop or
other locations on
• their computer.

Create Folder in windows 10
 To create Folder
1) Right-click in any blank area on the desktop and select
New, and then select Folder.
 RT-Click (on desktop) New Folder

Selecting Files and Folders

• Before you move, copy or delete files and folders, they must be selected .
• Selecting Single object: To select a single object, click on it once.
• Selecting Multiple object:
• To select a consecutive group of files or folders, click the first item, press and hold down the Shift key, and
then click the last item.
• To select multiple files or folders that are near each other, drag the mouse pointer to create a selection
around the outside of all the items that you want to include.
• To select non-consecutive files or folders, press and hold down the Ctrl key, and then click each item that
you want to select.
• To select all of the files or folders in a window, on the toolbar, click Organize, and then click Select all. If you
want to exclude one or more items from your selection, press and hold down the Ctrl key, and then click the
items.

Opening an existing file or folder
To open a file, double-click it. The file will usually open in the
program that you used to create or change it.

Copy Folder in windows

1) Right-click on the Folder and select Copy.
 RT-Click (on the folder) Copy
2) Right-click in any blank area in desired location and select Paste.
Tips: Another way to copy
and paste files is to use
the keyboard shortcuts
Ctrl+C / (Copy) and
Ctrl+V (Paste). .
Tips:You can also press
and hold the right-mouse
button and then drag the
file to the new location.
When you release the
mouse button, click Copy

Cut Folder in windows
10  To Cut Folder
1) Right-click on the Folder and select Cut.
 RT-Click (on the folder) Cut
2) Right-click in any blank area in desired location and select Paste.
Tips: To move the selected items, drag
them to the destination folder. To
copy the items, hold down the Ctrl
key while you drag.
Another way to copy and paste files is to
use the keyboard shortcuts Ctrl+X
(Cut) and Ctrl+V (Paste).

Rename Folder in windows
10  To Rename Folder
1) Right-click on the Folder and select Rename.
 RT-Click (on the folder) Rename change the folder
name
Tips: Right-click the file or folder you want
to rename, click Rename, type a name,
and then press Enter.
• You can also select the file, then
press F2, type a name, and then press
Enter.
• File names can be up to 255
characters. You can use spaces and
underscores in names, but you can’t
use the following characters: @ * : < >
| ? “ \ or /. Remember the best way to
keep your files organized is with a
consistent naming convention.

Delete Folder in windows 10
 To Delete Folder
1) Right-click on the Folder and select Delete.
 RT-Click (on the folder) Delete
 After you deleted the folder, you can find it in the Recycle Bin.
Tips:• press right click on the item and then click delete.
Or press Del buttons on the keyboard.
• The easiest way to delete on the desktop by drag and
drop it to recycle Bin.
delete a file or folder stored in the Recycle Bin until the
Recycle Bin is emptied.
If you delete a file or folder from a network folder or
from a USB flash drive, it might be permanently
deleted rather than being stored in the Recycle Bin.
If a file cant be deleted, it might be in use by a program
that's currently running. Try closing the program or
restarting your computer to fix the problem. For

1) Right-click on the Recycle Bin and select Open.
 RT-Click (on the Recycle Bin ) Open
2) Right-click on the deleted Folder in the Recycle Bin and select
Delete.

permanently.

Tips

Tips: When you’ve deleted enough files to exceed this 10%, the oldest files in the Recycle Bin are
automatically and permanently deleted from your hard disk.

Permanently Delete
• you need to delete the files from the Recycle Bin.
• You can delete individual files from the Recycle Bin or empty the entire Recycle Bin at once.
• Open the Recycle Bin by double-clicking the Recycle Bin on the desktop.
• To permanently delete one file, 1-click it, 2-press Delete, and then 3-click Yes.
• To delete all of the files, on the toolbar, click Empty the Recycle Bin, and then click Yes.
• You can empty the Recycle Bin without opening it by right-clicking the Recycle Bin and then
clicking Empty Recycle Bin.
• You can permanently delete a file by clicking the file and then pressing Shift + Delete.

Tips
• Drag and drop (use pointing device to drag a file or folder to a different
location)
• If you drag and drop a file or folder to a different drive, Windows copies it
• If you drag and drop a file or folder to the same drive, Windows moves it

Folder Options
 You can change the way files and folders function and how
items are displayed on your computer by using Folder Options
1. Double Click on “this pc”.
2. On the opened This PC window, click the View menu from the top.
3. From the displayed commands and controls in the View ribbon, click the Options button.

files  How to display hidden files and folders?
1. Open Folder Options.

window, Click View tab,

Show file extensions
Bydefault Windows hides file name extensions, but
you can choose to make them visible.
1. Open Folder Options.
2. Inthe Folder Options
window, Click View tab,
and clear the ” Hide
extensions for known
file types” check box.

Type of Files
 A file name ends with 3 characters that are called the
extension. These three characters are separated from the
file name by period ( ● ).

 You will do all your work through a rectangular area called Window,

there are some basic idioms you need to be familiar with:

From the Navigation pane, you can view your computer's file and folder
structure and access files and folders.
Navigation In the Navigation pane is the Quick access area; from the Quick

pane access area, you can quickly and easily navigate to folders you use regularly.
To add ("pin") a folder to the Quick access area, right-click on the folder
name and then select Pin to Quick access from the drop-down menu.
Enables you to go to folders you've already opened. If you go to a different

2 folder, you can choose the Back button to

Enables you to perform layout, formatting, and sharing tasks, as well as how 
File Explorer displays your files and folders. 
Tasks available to you might differ depending on what folder you select

Enables you to go to a different folder in the same Explorer window. (For more

Titles of each of the columns displayed in the file and folder list. You can choose
which columns you want to display by adding a column heading or

to sort your files and folders by that column (e.g., date modified).
Allows you to search for subfolders, documents, images, programs, Web pages, and

Enables you to quickly preview an item, such as a photo, without having to open that
Preview/Detail item. To open the Preview pane (it isn't open by default), click on the View menu at

s pane the top of File Explorer, then click on the Preview pane button located at the left-hand
side of the Ribbon in the Navigation pane area. 
Displays information about a selected folder and its contents, such as the total
number of items in the folder, the number of items selected and total file size.

Contains buttons that enable you to quickly switch between thumbnail and detail
views for the items displayed in the current folder.
