PLAN THE EVENT

• Venue : Decide the on the basis of availability, size, layout and suitability,
transport and parking, services available, technical support, cost ; etc.
• Theme : Decide the theme of the event according to the function.
• Type : Whether the event is corporate or private ?
• Pax : Approximate number of people that will be coming.
ORGANISING THE EVENT

• Identifying and establishing teams : Identify the right people and on the basis of
their skills establish different teams for different requirements
• Zoning : Make different zones for different activites for eg, bar area, food zone,
gaming zone ; etc.
• Decide catering : Decide whether the caterers will be onsite or offsite.
• Interiors : Decide the interiors on the basis of them and principles.
• Space management : Divide and utilize the space efficiently as per requirements.
FINAL PREPARATION

• Invitation : An invitation card is a card mailed out to guests when you want to invite friends
to a special event .
• Inspections : Do a proper site inspection and examine the venue in person beforehand to
avoid any hindrance.
• Signage : Use proper signage for helping the people to navigate to different areas.
• Lighting : Decide the type of lighting according to the theme.
• Workforce briefing : Brief the workforce about the sequence of activities beforehand and
how will they coordinate with each other for the same.
DURING THE EVENT

• Supervision : Supervise the event to make sure that everything is being carried out as
per the plan.
• Coordination : Make sure that the even coordinator and teams coordinate with each
other.
• Cooperation : It is very important to maintain cooperation amongst one another for a
successful event.
• Communication : Communication should be there to avoid any confusion or hindrance.
AFTER THE EVENT

• Feedback : Evaluate the event and take feedback for the same from the event
organisers.
• Restoringsite : Arrange storage or disposal of all signage,props and equipments.
Complete incomplete payments & make sure no accidents or thefts occur during the
restoration.
• Debriefing : Debrief the whole team by telling about how the event was carried out,
about the improvements required and also by thanking everyone for their efforts and
cooperation.
