STEP 1: PREWRITING
“THINK”
 Decide on a topic to write about.
 Consider who will read or listen to your
written work.
 Brainstorm ideas about the subject.
 List places where you can research
information.
 Do your research.
Understanding the Audience
&Context
 You are challenged to write about highly technical
subjects but in a way that a beginner/non-
specialist can understand it.

 Educational qualification of the audience.


 Ask yourself following questions:
 1. Do you have multiple readers?
 Who is your reader?
 What are your reader’s need in relation to your
subject?
 What are their attitudes about the subject?
 Have they already seen/read other such content?
Gathering Information
 Style of writing

 Type of document

 Based on the audience, relevant information on


the subject is to be gathered.
Selecting the Medium
 Select an appropriate medium for communicating
your technical content to the targeted audience.
 Email
 Voice mail
 Videoconferencing
 Telephone Calls
 Face-to face meetings
 Written reports/proposals
Organization of the Content
 Toorganize information effectively, you need to
determine the most relevant way to structure your
ideas.
Methods of Development:
 Choose the appropriate method that best suits
your readers’ subject, needs, and your purpose.
 For Example:
 Ifyou are writing instructions for assembling
laboratory equipment's , use sequential method of
development to present the steps of the process in
the order that readers can understand and perform
them.
Example 2
 Ifyou are writing about the history of an
organization, use the chronological method of
development (from beginning to present).
Outlining
 A well-developed outline ensures that your
document is complete and logically organized.

 Outlining breaks large or complex subjects into


manageable parts.

 It also enables you to emphasize key points by


placing them in position of greater importance.
STEP 2: DRAFTING ‘WRITE’
• Put the information you researched into
your own words.
• Write sentences and paragraphs even if
they are not perfect.
• Read what you have written and judge if
it says what you mean.
• Show it to others and ask for
suggestions.
Draft
 The prepared outline will help you to expand it
into paragraphs and it will lead towards
preparation of rough draft.

 Introduction of the technical document should


serve as a frame into which readers can fit the
detailed information that follows.
STEP 3: REVISING
“MAKE IT BETTER”
• Read what you have written again.
• Think about what others said about it.
• Rearrange words or sentences.
• Take out or add parts.
• Replace overused or unclear words.
• Read your writing aloud to be sure it flows
smoothly.
STEP 4: PROOFREADING
“MAKE IT CORRECT”(Editing)

Correct spelling, capitalization, and


punctuation.
Change words that are not used
correctly.
Have someone check your work.
Recopy it correctly and neatly.
STEP 5: PUBLISHING
“SHARE THE FINISHED
•PRODUCT”
Read your writing aloud to a group.
