Short Functional Text
• An application letter is a formal letter written
to apply for a job. It is an important step
towards someone’s employment status.
• It generally contains personal information and
includes reasons for applying the position.

The Date
The month should be fully written and the
year should be written with all four digits, e.g.
October 12, 2018.
The number of the date is pronounced as an
ordinal number, though the endings st, nd, rd,
th, are often omitted in writing e.g. August
12th, 2018.
Employer’s address/ Inside address
• Employer’s name (Use complete title)
• Job title
• Company’s name
• Company’s address
• (don’t abbreviate)
In a business or formal letter, you should write the address of the recipient
after your own address. Include the recipient’s name, company, address and
postal code. Add the job title if appropriate. The inside address is always on
the left margin
and it also appears the same on the envelope.

The Greeting/ Salutation
• Dear
A letter normally begins with “Dear” and always includes the
person’s last name. If you don’t know the name of your recipient,
just write Dear Madam/Sir or Dear Sales Manager or Dear Human
Resource Director.
The Greeting in business letter ends in a colon
(the U.S. style) or a comma (the U.K. style).
Examples:
Dear Mr. Smith: (the U.S. style)
Dear Mrs. Smith, (the U.K. style)
Opening paragraph
• Explain the basic reason for the application
letter.
• Which job are you applying for?
• When and where did you see the
advertisement advertised?
• If it is not advertised, state the how you got
the information about the vacant position.
Examples of opening paragraph
• I am writing to apply for the post of ….
• I wish to apply for the position of ….
• I would like to apply for the vacant ….
• I am writing to you in response to the vacant
position ….
• Etc.
Body of letter (main paragraph)
• Demonstrate confidently that your
background (education), skills, experience are
suitable with the desired job requirements.
• Mention specific qualifications which make
you a good fit for the employee’s needs.
• Mention how your personal skills enhance and
support your technical abilities and state you
would highly regard an opportunity to work
for the company.
Closing paragraph
• State your availability for an interview or test
and include your contact number or e-mail.
The complimentary Close:
It is a short, polite closing. It ends with a comma.

Yours faithfully, or Faithfully yours,
Yours truly, or Truly yours,
Respectfully,

Signature:
You should put your signature below the complimentary close and
above your full name.
Example:

Parts of the application letter
1. Your address are writing to. Use complete title and address, don’t
abbreviate.
2. Always make an effort to write directly to the person in charge of hiring.
3. Opening paragraph – use this paragraph to specify which job you are
applying for, or, if you are writing to inquire whether a job position is
open, question the availability of an opening.
4. Middle paragraph / body – this section should be used to highlight your
work experience which most closely matches the desired job
requirements presented in the job opening advertisement. Do not simply
restate what is contained in your resume, but give strong reasons why
you are suited to the position.
5. Closing paragraph – use the closing paragraph to ensure action on the
part of the reader. One possibility is to ask for an interview appointment
time. Make it easy for the personnel department to contact you by
providing your telephone number and email address.
6. Always sign the application letter. (“encl: enclosure indicates that you are
enclosing your resume)

• Begin the letter with the reason you want the job
• Summarize the strength/ qualifications/ experiences
• Include the most relevant aspect of your career
• Explain that you can contribute to the company
• Write “I look forward to hearing from you at your earliest
convenience” at the bottom of the letter before closing &
signature
• End by using “Sincerely yours” or “Yours truly”
• Sign & write your name underneath”
