Gmail
Gmail Account
• You need Google credentials to log in to a Gmail account. If you already have a Google account,
you don't need another one. Click the menu in the top right corner of the Google.com website
and click on Gmail to open the email client. If you don't already have a Google account or aren't
sure if you have one, go to Google.com and click Sign In in the top right corner. If you have a
Google account, Google asks if you want to use it for your Gmail. If so, click it and proceed. If not,
click Add account and follow the screen prompts. You may have several Google accounts, but you
can only have one Gmail account.
• If Google doesn't find any existing accounts for you, you'll see the Google sign-in screen.

Advantages of Gmail
• When you sign up for the first time, you will have access to a long list of Google services, not just email.
The most commonly used of those services include:
• Google Drive: Where you can create spreadsheets, documents, and even slideshow presentations using
a free library of cloud-based office applications. You also get lots of space to store all of your files.
• Google Maps: A web and mobile-based app to help you find directions and navigate with traffic,
satellite views, user photos of places and more. You can even use Google Maps for interesting things
like finding parking or exploring the solar system.
• YouTube: Now that Google bought YouTube, your Google account gives you access to all 
free features that are available on YouTube.
• Google Calendar: A cloud-based calendar system that lets you organize your day in a very intuitive,
easy-to-use graphical interface, both on the web and on your phone.
• Google Keep: Think sticky notes for your computer and your phone. It’s a great alternative to Evernote.
• Google Contacts: Sync all of your contacts across your email, all Google services, and your phone.
• This is just a small subset of the cloud services you get access to when you first sign up for your brand
new Google account. If this sounds like something you’d like to be a part of, then let’s get started with
creating your very first Google Account!
Gmail
To make a new account
• Click Create account at the bottom of the screen.
• Enter your name and username in the fields provided. You can use letters, periods and numerals
in your username. Google ignores capitalization. If your username choice is already in use, try
again until you get a username that no one else already has.
• Enter a password and re-enter it in the fields provided. Your password must be at least eight
characters long.
• Enter your birth-date and gender in the fields provided.
• Enter your account recovery information, which may be a cell phone number or an alternate
email address.
• Agree to Google's privacy information, and you have a new Gmail account.
• Return to the Google.com webpage, and click Gmail at the top of the screen.
• Review the introductory information on several pages and then click Go to Gmail on the screen.
Enter your new sign in credentials and password if prompted to do so.

• Go to gmail.com and hit the Create an account button.

• Unread email are bold. To open an email, click it.
• By default, replies to email are grouped into conversations. Keeping all email together
in a thread makes it easier to keep track of them and saves space in your inbox.
• If you prefer to separate your existing email from future email, you can turn off
conversation view.
• Turn off conversation view:
• In the top right, click Settings > Settings.
• In the General tab, scroll to Conversation View and select Conversation view off.
• At the bottom, click
• Tip: To get more space for your email, you can close the left panel by clicking Menu
Replying to an email
Reply to email
• To reply to a single email or the last email in a thread, click
• To reply to an email within a thread, click Reply
• To forward a single email or the last email in a thread, click
• To forward an email within a thread, click More > Forward.
• To see previous email in a thread, click Show trimmed content
• To forward an entire conversation, at the top, click More > Forward all.
• To use a Smart Reply, at the bottom of the email, click a suggested reply. You can then edit the
email before sending it.
• Tip: You might see existing email at the top of your inbox with a suggestion to reply or follow up.
To hide these suggestions, click Settings > Settings, go to Nudges and uncheck the boxes
Replying to an email
Change recipients
• Add and remove recipients
• From an open email, click a recipient’s address.
• To add more recipients, type their email addresses.
• To remove recipients, next to their email address, click Remove .
• Change an email subject:
• Next to Type of response , click the Down arrow > Edit subject.
• Type a new subject.
Attachments in gmail
• Save and print attachments
• When someone sends you an attachment, such as a photo or document, you see a preview of the
attachment in the email.
• See a full-screen view and print: Click the attachment to open a full-screen view. To print, click
Print .
• Download an image or save it to Drive: Point to the preview and click Download or Save to Drive .
Offline emails
Email without an internet connection
For Chrome Browser only
• Use Gmail offline to read, respond to, and search your Gmail messages when you aren't connected to
the internet. Any email you write, archive, label, or delete while you're offline will be sent or moved
when you’re back online.
• When you enable Gmail offline on a device, your messages sync with the browser's storage on the
computer you're using. Enable Gmail offline on each device for which you want offline access.
• Enable Gmail offline:
• In the top right, click Settings > Settings.
• Go to the Offline tab and check the Enable offline mail box.
• (Optional) Next to Sync settings, choose how many days of email you want to store offline.
• Next to Security, choose whether to keep or remove offline data on your device.
• If you don’t see this option, it might be set by your G Suite administrator.
• Click Save Changes.
• Note: If you don't see the Offline option, it might not be enabled for your organization. See your G
Suite admin.
Creating labels in gmail
Switch to labels from folders
• In other email programs, you might have stored email in folders. In Gmail, you use labels to
categorize your email. Labels are like folders, but with a twist—you can apply several labels to an
email, then later find the email by clicking any of its labels from the left panel.
• You can also:
• Open a label in the left sidebar to see all email with that label.
• Nest labels within labels.
• Search for all email with a label.
• Set up your inbox as you prefer:
• See labels on email in your inbox to quickly identify different types of email.
• Auto-archive email to route it away from your inbox, as you did with rules and folders.
