PowerPoint
Definition
• Sometimes abbreviated as PP, PPT,
• PowerPoint is a presentation program developed
by Microsoft that creates a slide show of
important information, charts, and images for a
presentation

Rules
1. Minimize the number of slides

• To maintain a clear message and to keep your

audience attentive and interested, keep the
number of slides in your presentation to a
minimum.

07/28/2023 4
2. Choose an audience-friendly font size

 The audience must be able to read your slides

from a distance.
 Generally speaking, a font size smaller than 30
might be too difficult for the audience to see.

07/28/2023 5
3. Keep your slide text simple

• If you want your audience to listen to you or

your information, instead of reading the
screen Use bullets or short sentences, and try
to keep each item to one line.

07/28/2023 6
4. Use visuals to help express your message

• Pictures, charts, graphs, photographs and SmartArt

graphics provide visual cues for your audience to
remember.
• Add meaningful art to complement the text and
messaging on your slides.
• Avoid including too many visual aids on your slide.

07/28/2023 7
5. Make charts and graphs labels
understandable

• Use only enough text to make

label elements in a chart or graph
 comprehensible.

07/28/2023 8
6. Apply subtle consistent slide
backgrounds

• Choose an appealing, consistent template or

theme that is not too eye-catching.
• You don't want the background or design to
detract from your message.

07/28/2023 9
• The background color can be changed when
you want to provide a contrast between the
background color and text color.
• The built-in themes in PowerPoint set the
contrast between a light background with dark
colored text or dark background with light
colored text.
07/28/2023 10
7. Check the spelling and grammar

• To earn and maintain the respect of your

audience, always
check the spelling and grammar in your prese
ntation
.

to people who are not where you are,

07/28/2023 12
Remember too
one of the most important things to remember is
that:-
• PowerPoint is a tool made to support your story.
• it’s wise to avoid putting the entire text on the
screen.
• Putting entire text in your slide makes your
audience will prefer listening to, and not reading
the things you plan to say.

07/28/2023 13
Keep it short and to the point
• Try to reduce the text, shorten your bullet
points, and keep them short and clear.

07/28/2023 14
Choose the appropriate font
• Choosing the wrong font can easily make your
text unreadable to your audience.
• Keep your organization format
• Sans serif fonts like Verdana,Calibri and Helvetica
are all safe choices. These fonts are quite popular
and available on all computers.

07/28/2023 15
Enhance readability with the proper font size
• For headers, the minimum is around 20pt, while
for the body you can have a minimum of 18pt.
• With these sizes, you can be assured your text
will be legible in every situation.

07/28/2023 16
Choose your appropriate contrast
• It’s a good idea to either place a border or cast a
shadow around the text to ensure that it’s
readable.
• It’s natural to use dark text on a light background, and
vice versa.

07/28/2023 17
Use coloring wisely
• it’s good to use vibrant colors in a presentation for
a primary school.
• if you prepare your presentation for business professionals to
deliver it in a formal setting, you’ll need to define your colors
according to your target audience.

07/28/2023 18
Select relevant, adequate visuals

• To make your PowerPoint presentations

effective, don’t use low-quality visual aid.
• Make sure you select good quality images that
support your message.

07/28/2023 19
Use mock-ups instead of screenshots and diagrams

• To turn the slides into a good PowerPoint presentation, it’s a

good idea to combine the diagram, scheme, or screenshot with
an image, such as an image of an iPad, laptop, digital projector,
or computer.

07/28/2023 20
Present data visually as much as possible

Whenever your presentation contains a lot of data, it

might be easier to communicate this data by using
visual formats instead of just using text.

07/28/2023 21
Simplify your tables as much as possible

• Tables are usually crammed with information and numbers. This

causes a slide to look crowded and chaotic.
• Delete unnecessary outlines, colors, and borders. Again, “keep
it simple” and “less is more” are key phrases to keep in mind
when designing tables.

07/28/2023 22
Rely on Presenter View in PowerPoint

• Presenter View can help you greatly when

delivering your presentation to viewers.

• With this functionality, you don’t have to keep

everything in your head or question your own
presentation skills.

07/28/2023 23
Provide an outline of the presentation

•It’s good form to include at least

these three types of slides:
•Welcome slide.
•Menu slide. (e.g., to refer to a
particular idea during a Q&A session).
•Summary slide. This will summarize
the ideas you’ve presented
07/28/2023 24
Additionally
 use hyperlinks to show related information.
 If possible, you can use any more features to
make your slides more engaging.

07/28/2023 25
Only photo can talk
What are you see in the slide screen?
