•Accessing and Understanding the new Dashboard for Mentors.

•In-depth knowledge of the reports that are available on dashboard.

•To recognize the pathway to different stages for conducting any mentor meeting.

•Utilizing the dashboard for analysing mentor’s performance related to mentor meeting.

•Categorizing the mentees based on their academic performance.

• Creating better interface and policies to facilitate the mentors for smooth conduct of
monthly meetings.
ALLOCATION OF MENTEE
• The mentees will be assigned to the mentors by the Department of Academic Enhancement. Each
mentor will have a set of students of two categories as mentioned below:

Responsibilities of Mentors

• Timely conduct Mentor meetings every month.

• Scheduling and closing all meetings within time lines.

• Meetings will be conducted through New mentoring Dashboard for which video is already shared.

• Each school is having their own Academic Counselor.

• If you have any issues using dashboard or any policy related confusion, contact your school academic

counselor.

• If you face any issue or you come across any alarming information related to your mentee immediately

report to us.
• While conducting meetings with your mentee, you have to be very particular about three things:
(a) Parents contact details must be updated if not make call to parents and get it updated
in the interface for further communication.
(b) Make sure that LPU touch is installed in all parents mobile
(c ) Parents email id must be correctly mentioned in the interface

• While making call to the parents, invite them to come and meet you once.

• It is your duty to make call to the parents during monthly mentor meeting and give them the
following information related to their ward:
(a) CGPA
(b) Attendance
(c) Timely raise alarm to the parents for their wards tentative detention (if any).

UMS Navigation>>Division of Student Relationship>>Mentoring Resource Management


• Scroll to Division of Student Relationship under UMS Navigation.

• Select Mentoring Resource Management System under drop down of Division of Student Relationship
• On selecting Mentoring Resource Management System, another drop down will come.

• Select Mentor Dashboard.


MENTOR DASHBOARD
Dashboard for monthly meetings Dashboard for Appointment based meetings
• Figure written against Monthly shows sum of all the monthly meetings (all three categories) till date.

• When you click on Monthly , another window will open showing all the monthly meetings till date.
• Under Monthly, it will reflect details of all the appointments including Pending as well as Conducted meetings.

Type of meeting: Freshmen/<5 CGPA


• To check pending meetings, click PENDING MEETING.

• On clicking pending meeting, another window will open.


• This window will reflect the initiating details of the pending meetings.

• To schedule the meeting, click SCHEDULE.


• After clicking on SCHEDULE MEETING, a new window will open. Fill all the details and click Schedule Meeting.
• Fill the requisite details in order to proceed further for scheduling meeting.
• Once all the details are filled, click Schedule Meeting. After this, student will receive a message in his/her UMS
regarding schedule of mentor meeting mentioning Date and Time specified by Mentor.
• After filling all the details and pressing Schedule Meeting, a pop-up will appear giving message of successful
Scheduling of meeting.
• After scheduling meeting, it is time to conduct the meeting on scheduled date and time. Total of scheduled meetings
is shown on essential dashboard. On clicking, SCHEDULED MEETING, a new pop-up will open giving details of the
scheduled meetings.
• This page shows the details of all the students whose meeting is scheduled but, pending to be conducted.
• On specified date and time, click on CONDUCT button adjoining to the name of student for the specific meeting.
• On clicking CONDUCT on previous page, a new page will open showing details of the student.
• Select the specific Date, and Time.
• Then select the status of attendance from the drop down menu under Attendance Status tab.

is not available in the
campus.
• Attendance Status tab has following drop down options:

• Present
• Absent
• Call not connected
• Language Barrier
• Left
• Not in Campus
• Term Off
• Training/Dissertation
• On marking a student Present, it will ask for • On marking a student Absent, it will ask for
Meeting Id which was sent to student on successful Remarks. Here, you need to fill the details for
Scheduling of Meeting. marking Absent.

In case, student has misplaced the


meeting Id, same can be regenerated
by clicking this tab.
• On selecting Call not connected, it will ask for • On selecting Language Barrier, it will ask for
Reason such as Wrong Number, International Reason namely: LB with Student, LB with Parents, or
Number, or Out of Network Coverage Area. LB with both.
• On selecting Not in Campus, it will ask for • On selecting Training, it will show Reasons like:
Reason such as Medical urgency, Financial Issue, Training, Dissertation, Duty Leave, or
Family/Personal Issue etc. OJT.
• Select CALLING HISTORY for checking the details of previous calls.
• Call History will show the details: Type of calling, Called by, Date and time of calling, Issue briefed by complainant, and
Remarks given by concerned authority.
• In case of Unavailability of student, meeting can be Rescheduled. To do so, click on Reschedule tab.
• Fill the following details, and then press Reschedule Meeting.

• Date of Meeting (new)

• Meeting Time (new)

• Mobile Number
• After filling all the required details, press Reschedule Meeting.
• On successful rescheduling of meeting, a pop-up will appear confirming the rescheduling.
• For cross verifying the details of sophomore, press Personal Details.
• On clicking Personal Details, following details of the pupil will be visible on your screen.
• Whenever a student request for appointment, it reflects under PENDING MEETING for approval.

• On clicking pending meeting, another window will open.


• This window will reflect the initiating details of the pending appointment based meeting.

• To schedule the meeting, click SCHEDULE.


• After clicking on SCHEDULE MEETING, a new window will open. Fill all the details and click APPROVE

for scheduling meeting.


• After scheduling meeting, it is time to conduct the meeting on scheduled date and time.
Total of scheduled meetings is shown on essential dashboard. On clicking, SCHEDULED MEETING,
a new pop-up will open giving details of the scheduled meetings.
• This page shows the details of all the students whose meeting is scheduled but, pending to be conducted.
• On specified date and time, click on CONDUCT button adjoining to the name of student for the specific meeting.
Attendance Status tab for Appointment based meetings has following drop down options:

•Absent
•Present
• Three types of reports are available on your dashboard: Meeting Reports, Appointment Reports, and Student
Search.

Select the Year

Select the Month

Fill the requisite details for getting the detail.

Click Student Search
• On selecting Student Search, given page will open. Click Get All Meeting tab available in
front of student name.
• On selecting Get All Meeting tab available in front of student name, a new window with following
details of the meetings will open. One can check the agenda and elucidation of a specific meeting by
clicking View Response tab.
• Following window with all the details of Agenda and other information of the meeting will
open on clicking View Response Tab.
