Daily Use of Perforce for Managing Versions and Tracking Changes

All projects should be completed using Perforce for version management and change tracking. The process detailed below uses the P4VPerforce Visualclient. Note: When you're submitting any file back to Perforce, add a description of what you just did. Be specific about the changes you made, what page numbers they were on, etc. However, if you made major changes throughout the document, you can be a little more generalfor example, "fixed errors in text styling throughout document."

Whenever you are going to work on a course, you should do the following:
A. Document file e-mailed to you (or provided on disk, etc.):
1. Document file doesn't exist in Perforce:

a. Before you make any changes to the file, first add it to Perforce (using "Mark for Add" then "Submit") in the appropriate folder inside of //depot/lcec/content_source/, asking one of the managers the name and location of the folder if you're not sure. b. Right click the file and select "Check Out." c. Right click the file once more and select "Open," or "Open With" and "Choose Application." d. For a Word doc, make sure Track Changes is on. e. Make any changes necessary. f. Save and close the file. g. Submit the file back to Perforce, adding a description of what you just did. h. If you need to update the course text online using the Word doc, do the following: 1. Check the file out again. 2. Accept all changes and delete all comments. 3. Submit the file back to Perforce, adding a description of what you just did. 4. Update the course online using the clean version of the file. i. When you've finished working, provide the file's Perforce location to the person who sent you the file and whoever is next in the process.
2. Document file exists in Perforce already:

a. In the left pane of Perforce, select the file that's already there. b. If the status icon for that file doesn't seem correct, hit the F5 key on your keyboard to refresh the directory. c. Right click on the file and select "Get Latest Revision." If that option is not available, the file is already up-to-date.
