Part Time Job Fair August 26, 2013

9:00 am to 4:00 pm Kansas Union 4th Floor Lobby


Overview There were 34 total employers who registered for the job fair, 11 on-campus (not including the UCC) and 23off-campus. One off-campus employer was a no show and one on-campus employer cancelled the Friday before the fail. A total of 32 organizations were represented at the fair. Based on the handouts given away, 1,250 students attended the fair, up from 1,100 last year. In addition, the UCC had a check-in/information table where we distributed maps, student job information and other UCC information. Income and Expenses Off-campus employers were charged $75.00 for a table, with a total of $1,770 invoiced. On-campus departments do not pay a fee to attend the event. There was $1,545.00 paid and $225 still due at the time of the event. After the day of the fair, all but three organizations had paid. Expenses for the job fair included food, parking and a small number of photocopies. A coke grant was requested and we received 19 cases of free product for the event. The water was gone by noon and the rest of the soda was completely consumed by 2:00 pm. We ordered 70 box lunches at $8.75 per lunch for a total of $655.38 with the catering service fee. Employers were given parking vouchers this year to pay for their parking. The vouchers paid for the exact amount of time, which is billed at $1.50 per hour, and 23 were handed out at the fair. The total amount billed for parking expenses was $244.25. Total income $1,770.00 Total expenses $ 899.25 Profit $ 870.75 Publicity and Promotion Job fair invitations were emailed to all budget and personnel related staff at the university during the first week of June. Off-campus employers were emailed invitations at the same time. The list included last years participants, plus employers who had advertised a position on the PT Job site during 2012-2013. A second email was sent to both on and off-campus employers the first week July. A final invite was sent during the first week of August. Registrations were completed in KU Career Connections and payments were also completed online by the off-campus employers.

A Part-Time and Summer Jobs handout advertising the student job fair was distributed during June at New Student Orientation information fairs. Fliers were also distributed to Residents Assistants at the Housing Resource Fair, and other events. Two e-mails were sent to all KU students. Event Set Up Employers received folders containing a Welcome/General Information sheet, list of participants, information on who to contact at UCC, Mark Your Calendar list of events, UCC bookmark brochure and information on internet connections. Catering donated coupons for the employers giving them 50% off purchases at the Pulse, which were also included in the folders. The box lunches were distributed to the employers at their tables by DEI volunteers and staff at 11:30 am. Employers were very pleased to have food again this year. Employer Evaluations Employers attending the fair were given an evaluation form as part of their packets to complete at the conclusion of the fair and return to the UCC table or through the mail. We received several evaluations at the end of the fair. An email follow up was sent the day after the fair to encourage more employers to respond. We received 8 employer evaluations with the following comments: Employers reported speaking to a range of 50-300 students during the fair. Multiple employers reported receiving a number of applications or interested students that would be a good fit in their organization. One employer stated that they would like to see the fair be a week earlier. A few employers had comments on the organization of the tables. One employer had issues with how tight the spacing was. Another employer would like to see an On-Campus section. And one employer wished to have more room for students to be able to fill out applications. One employer expressed dissatisfaction with other employers leaving early. One employer would like to have information about work-study programs. Suggestions for next year: Have the Kansas Work Study Student Coordinator reach out to off campus employers before the part-time job fair to inform them of the program. This would be a good way to educate local organizations about this program. Reach out to Financial Aid to see if we can at the very least get an information sheet regarding Federal Work Study to provide to students who have questions. Reach out to International Student Services to see if they would like to attend the fair to provide information to international students on

working part-time. Or if they can provide an info/fact sheet. We would even be willing to design a fact sheet for them if they would just provide some basic information that we would need when fielding questions from international students. KU Army ROTC registered but ended up having the National Guard staff their booth. In the future we will need to know who is staffing the booth (if it is going to be KU affiliate or not) because if it is not a KU affiliate we will need to charge them the off-campus representative fee. Make sure when we request Hawk Week guides, we specify we need outgoing people to pull students into the fair. Next year include the survey in employer packets and then follow up with employers with the online survey who did not fill out the paper survey. Make sure we educate representatives on how to use the parking passes correctly. We had a few people who indicated that the parking passes didnt work for them. This year we had our marketing team design our handout and it was great! Instead of handing two sheets to students and possibly overloading students with information, we kept the handout brief. Continue the employer folders. It is an organized way to get the information to them. It also created less stress the morning of the event because the folders were labeled, alphabetized and had the maps of the tables on the outside. Because the lobby area is a public space, putting out materials on the tables prior to the employers arrival is not practical. Request a Coke grant again, asking for more cases of water. This year we had 10 cases of water, 5 of coke, 5 of diet coke and 2 of sprite. The Office of First Year Experience offered us Hawk Week Guide volunteers. We had 4 to 5 students throughout the day assisting us with distributing the fair map, taking water and refreshments around to the employers and distributing the box lunches at noon. They were a great help at the fair and provided us with more bodies to assist and direct students into the fair. We hope have this group again next year. We didnt contact the LJWorld Blog this year to run any information, we should make sure to contact them next year.
