RECRUITMENT PROCESS FOR VACANT STAFF POSITIONS 1.

Hiring manager should complete an Authorization to Fill Vacant Position Form and submit to Human Resources. Human Resources will send a job description to be re iewed and updated. !he senior administrator will send a noti"ication o" the intent to "ill the acanc# to the Planning $ %udget &ommittee 'P%&( "or the P%& to determine i" discussion is necessar# based on the t#pe o" position to be "illed 'budgeted ersus non) budgeted* etc.(. Human Resources will obtain senior le el appro al to proceed with the recruitment process. ,pon appro al* Human Resources will wor- with the hiring manager to create an ad ertisement "or the open position. !he current job description will be used in design o" the position ad ertisement. Human Resources will post all jobs internall# and place ad ertisements as directed. All resumes should be mailed directl# to Human Resources to be recorded and ac-nowledged upon receipt. Resumes will be "orwarded to the appropriate manager "or re iew. 0anagers will ma-e selections on candidates to inter iew and will noti"# Human Resources when the inter iews are being scheduled. &andidates must be scheduled to meet with Human Resources to complete an emplo#ment application and re iew bene"its. Human Resources will re iew the application "or completeness and accurac#. ,pon completion o" the application* the candidate can be escorted b# Human Resources to the appropriate department or the designated escort can meet the candidate at Human Resources. A cop# o" the application can be gi en to the super isor to assist in the inter iew process. 0anagers should -eep Human Resources abreast o" the inter iew process. 3hen the search "or a candidate has been narrowed down* pro"essional re"erence chec-ing is essential. Re"erence chec-ing must be done prior to a job o""er being e4tended. 0anagers should obtain at least +* pre"erabl# .* pro"essional re"erences. All re"erence notes must be maintained and sent to Human Resources. Human Resources will -eep all notes with the application "or one #ear. A"ter care"ul consideration o" all rele ant data* the hiring manager should noti"# Human Resources with a "inal hiring decision. A"ter consultation with Human Resources* erbal o""ers o" emplo#ment can be made b# the hiring manager. 6nce an o""er is accepted* a written commitment letter will be sent "rom Human Resources with a cop# to the manager. !he manager or Human Resources should erball# contact or send written notice to all inter iewed candidates that the position has been "illed. All resumes8applications should be returned to Human Resources "or proper retention.
