MARKETING INFORMATION SYSTEM

KIT’S IMER 17
Shivaji University, Kolhapur

The marketing function of an organization is concerned

with the planning promotion and sale of products/services in the
existing as well as new markets. Marketing information systems
provide information outputs that support major component of the
marketing information system separately.

A firm need sales and marketing information for product planning,

pricing decision, devising advertising and other promotional
campaigns, forecasting market potential for new and existing
products, and determining channel of distribution. Information
system play major role in the marketing functions in many ways,
some of which are given below:

 For monitoring the efficiency and effectiveness of the

distribution of their products and services, sales manager
need information to plan and monitor the sales force.

 Management needs information on the performance of

specific products, products lines, or brands.

 Price, revenue, cost and growth information can be used for

pricing decision, for evaluating the performance of current
products, and for predicting the performance of future
products.

Sales Management:

KIT’S IMER 18
Shivaji University, Kolhapur

Computer-based system can be used to generate sales

analysis report that analyze sales by product, product line,
customer, salesperson, and sales territory. With the help of such
reports, marketing managers can monitor the sales performance of
product and sales people, and develop support programs to
improve sales results.

To plan and control the performance of specific products,

product lines and brands, revenue, cost and growth information for
the existing as well as new products. In general, such system is
used to evaluate the performance of current products and the
prospects of proposed product.

Marketing mangers need up to date report of current

sales. Armed with laptop, palmtop, and cellular phones, sales
representatives have immediate access to the product and pricing
information and, as result, can convince customers and place
instant orders through the internet with immediate feedback and
sales reports. On the basis of the sales force, can understand the
effect of a certain pricing strategy, reduce piling up of slow moving
products in the warehouses, understand consumer preferences, and
at the same time, empower the sales force with the latest product
and pricing decision.

Interactive marketing:

KIT’S IMER 19
Shivaji University, Kolhapur

This is a type of marketing that establishes a two-way

interaction between a business and its customers/potential
customers. This is made possible by using computer network.
Consequently, these customers become partners and indirectly
contribute towards creation, purchase and improvement of the
company’s products and services.

Sales force automation:

Sales force automation makes the sales force of a

company highly productive by providing them with portable
computers and necessary sales contact management software. This
dramatically speeds up the capture and analysis of sales data from
the field and their transmission to marketing mangers at the
company headquarters. In return, it allows the marketing and sales
management to improve the delivery of information and the
support they provide to their sales people. The sales force
automation system, which is part of the bigger ERP system, has
helped the company to track secondary sales from distributors and
retailers, rather than just primary sales, which is the sale from the
depot to the distributor.

Advertising & Promotions:

KIT’S IMER 20
Shivaji University, Kolhapur

Marketing information system use information from

market research and models of promotion to
1. Select appropriate media and promotional methods,
2. Allocate financial resources
3. Evaluate result of various advertising and promotional
Campaigns
They not only help marketing managers to reduce costs of
advertising and promotion, but also improve sales.

Market research and forecasting:

Information system that support market research

activities provide marketing intelligence to help managers make
better marketing forecasts and maintaining an enormous amount of
information on a variety of market variables that are ever changing
is made easy with such system. Various statistical software tools
help managers analyze market research data and forecast sales and

MARKETING FUNCTION

Human Resource Information System

In any organization, the human resources management

function deals with the recruitment, placement, evaluation,
compensation and development of employees. Its main objective is
the effective and efficient use of the human resources of the
company. HRIS is fast becoming a necessary component of HR
because of the increasingly global prospective of business. The
new technology and the subsequent loss of physical boundaries
require comprehensive HR system that can maintain one database
while incorporating a diversity of additional system and
capabilities. The potential for efficiency presented by an HRIS is
significant. Because an HRIS automates the bulk of transactional
work, HR staff have increased and knowledge based HR system
which enables an employee to become self sufficient and have
direct communication with the concerned authority, and improves
vertical and horizontal communication within an organization.
Information System is a key enabler for management and
development of people.

Human resource information system supports activities like

personnel planning, training and development of existing
employees, performance appraisals, etc. Some of these systems are
described below

KIT’S IMER 23
Shivaji University, Kolhapur

Recruitment:

An essential function of any personnel department is recruitment.

Recording details of recruitment activity such as the cost and
method of recruitment, and the time taken to fill the position can be
used to provide a picture of the cost of recruitment in term of time
as well as rupee value.

There are three areas of selection where information system seems

to play a major role:

1. Resume scanning applications

2. Online testing and assessment tool
3. Initial interviewing

HRIS are competency and skills profiles can be searched to

find potential candidates for a new position or project, or to
identify an appropriate position for an employee or candidate,
and more effective career and succession planning helps align
business needs with employee aspiration and ensure that key
position are not left vacant.

KIT’S IMER 24
Shivaji University, Kolhapur

Performance appraisal:
Business success depends upon how well an organization’s talent
pool synergizes with its business objective. A performance
management system builds a bridge between enterprise strategies
and employee execution, and creates a synergy between business
strategy and employee action, reducing cost at the same time.
The information system should record individual employee
performance appraisal data such as the data of the appraisal, scores
for each performance criteria, potential for promotion, and other
information to from a comprehensive overview of each employee.
The textual data relating to appraisals can be retained in paper from
and can be combined with the overview obtained from the Human
Resource Information System for training, transfer & promotion
process. It define clear performance target at the beginning of the
performance period so that manger can provide iterative feedback,
coaching, and development training to employee s throughout the
performance period.

Training and Development:

Information system enables HR managers to plan and monitor

employee recruitment, training, and development programs by
analyzing the success history of the current programs. They also
analyze the career development status of each employee to
determine whether development method such as training programs
and periodic performance appraisals should be recommended.

KIT’S IMER 25
Shivaji University, Kolhapur

Staffing:

Information System that support staffing must record, and

track human resources within the organization. For example, a
personnel record-keeping system keeps track of additions,
deletions, and any other changes made to record in personnel
database. Changes in job assignment and compensation, or hiring
and termination would require constant updating. Another
application that can improve the efficiency of staffing is personnel
requirement forecasting. It provides forecasts of the number of
personnel required for each job category or for new projects being
planned by the management.

Compensation analysis:

The range and distribution of employee compensation (like,

wages, salaries, incentives and fringe benefits) can be analyzed
with the help of information system. This helps the company to
make comparisons with industry standards and other economic
indicators. This information can be useful for planning changes in
compensation.
