Event Plan Games in the Park

Purpose of Event
To kick off the beginning of National Chiropractic Health Month by inviting the
friends and family of current and prospective patients to spend a day playing
games in the park with Dr. Faro and the staff. With the event, we hope to
reinforce the idea that chiropractic care is for the entire family and create
stronger bonds with Dr. Faro and the young families of the Lake Wales area.
Type of Event
Games in the Park will be a combination of event formats, but it can be most
likened to a field day. The event will have elements of an open house (attendees
can interact with Dr. Faro and his staff in a casual setting), will have a speech
given by Dr. Faro, will have food and have numerous contests and challenges to
help participants find areas in which they are strong and areas in which they are
weak. By finding these areas, we hope to be able to find our current and
prospective patients solutions with chiropractic care.
Date Saturday, October 6, 2012. The event will begin at 11 a.m. and end around
2 p.m.
Budget - $500
Contact Persons Amber Richards, Public Relations Coordinator; Deborah
Brewner, office coordinator.
Site Lake Wales Park, located off of South Lake Shore Blvd. The site offers
large fields and covered pavilions for games and eating..
Schedule
10 a.m. Arrive at the site and set up lunch, games and information
stands.

11 a.m. 12 p.m. Serve lunch and socialize with current and prospective
patients.
12:15 12:30 p.m. Speech offered by Dr. Faro. Conclude with an
opportunity for those with questions to approach after the speech is
completed.
12:30 2 p.m. Games in the park! Stations will be set up so everyone has
the opportunity to play at the same time.

2:15 2:30 p.m. End of day salutations


2:30 3:30 p.m. Clean up the picnic area and head home
Presenters/Speakers Dr. Faro will be giving a pre-written speech after lunch
and before the games begin.
Target publics Current and prospective patients, especially those with young
families.
Media
News releases will be sent out prior to the event. Any reporters for the Ledger are
welcome to photograph and write about our event and Chiropractic Health
Month.
Communication Materials
Fliers with more information about the Alternative Care Wellness Center will be
prepared. Information about the rest of the awareness month will be included as
well as an invitation to receive a free consultation from Dr. Faro. Brochures titled
How Can Chiropractic Care Benefit Your Family? will be handed out with every
adults plate during lunch.

Planned Publicity
A news release will be sent to local publications early the month before and then
again a week before the event. The blog that is maintained by our public relations
coordinator will have information regarding prepping for the event and
reminders of when and where it will be held. The centers Facebook page will
have similar updates and an event page to which people can RSVP to ensure they
have a plate for each member of their family.
Contingency
Should our event have a strong possibility of getting rained out, a new location
will be posted on the events Facebook page, the blog and the website. Office
coordinator Deborah Brewner has offered the community area of her church, the
First Baptist Church of Lake Wales. There will be a back-up plan of indoorfriendly games created, and the event will continue as scheduled, but in this new
location.
Tasks
Xx/xx/12 Confirm availability of Lake Wales Park for the event and make the
required reservations.
Xx/xx/12 Confirm availability of the First Baptist Church of Lake Wales as a
back up location for Games in the Park.
Xx/xx/12 Create Facebook event page for Games in the Park. Do not release
until press release has been sent.
Xx/xx/12 Write press release.
Xx/xx/12 Send out first wave of press release to the Ledger and other local
papers/magazines.
Xx/xx/12 Send out second and final wave of press release to the Ledger and
other local papers/magazines.
Xx/xx/12 Write speech for Dr. Faro to give at the Games in the Park event.
Xx/xx/12 Brainstorm what games will be offered during the event.
Xx/xx/12 Create menu for Games in the Park guests.

Xx/xx/12 Confirm approximate number of guests for event. Order the correct
number of food items from Publix/local restaurant.
xx/xx/12 Buy/gather non-perishable supplies for the games: spoons, mats,
water balloons, soccer ball, etc.
10/4/12 Buy perishable supplies for the games: eggs, etc.
10/5/12 Confirm that the weather will permit the Games in the Park event
tomorrow. If it does not, alert attendees of the change of location by 3:00 p.m.
10/6/12 Arrive at the park by 10 a.m. to set up food and games.
