What is to be conveyed
What is the scope
What action / result is expected

Opening paragraph
Middle or body
Conclusion

There are 2 approaches followed in business


writing:
Direct Approach:
Big Idea First
Detail follow subsequently
No unnecessary details

Advantages:
Saves

time

Focus

on a central idea

Disadvantages:
Directness

may seem insensitive

Indirect Approach:
Big Idea Little Later
Opening paragraph is a buffer / shock absorber
From the buffer the main message flows
Proper reasoning, logic are used to present the

message
The message must be courteous, though bad

news/criticism is being conveyed


The letter must end on an optimistic note

Report Writing:
A good business report has the following
attributes:
Factual
Objective
Orderly / structured
Comprehensive
Logical
Coherent

Routine/periodic/progress reports
Informational report
Justification reports with recommendations
Situational reports
Feasibility reports
Research reports
Business plan / proposal
