What to do

All participants need to be informed in advance that signed consent


of the Recording Release Agreement will be required, and completed
original forms will need to be retained on file. Internal staff and
students are required to sign the Recording Release Agreement as
well as external contributors. We recommend you organise for
signed consent on the day of recording.

Recording Release Agreement

This form is to be signed by internal staff and all external


participants of audio and video recordings, including students.
Complete the highlighted sections of the form to reflect the detail of
the event.
This form will apply to most recording situations such as Public
Lectures, Corporate Events, interviews and other promotional
recordings that do not feature any third party content (i.e. content
not owned by the University: artwork, music, film clips etc).
Third party material will require a separate copyright agreement
that will broadly reflect the rights and restrictions third parties
request in advance; please consult with Legal Services in all
instances relating to third party material.

Public filming poster

For large events, our recommendation is to offer people the


opportunity to opt-out of being included in any video content rather
than needing to opt-in. When filming at a public event you should
put up posters in visible locations stating if someone does not want
to be filmed please contact the crew to tell them.

Consent to use Recorded Lecture Material

This form will apply to obtaining retrospective consent from


participants of lecture-based material, that may originally have
been recorded for internal purposes only (i.e. publication on
Blackboard). Signed consent will need to be obtained from all
speakers at any lecture or seminar before the material can be
published across web platforms.
For all planned lecture recordings, we recommend a sign is used to
make the audience aware in advance that the event is being filmed.

Off site Location Release Agreement

This form will apply to any planned off-site filming, sound recording
or photography that the University undertakes. Complete the
highlighted sections of the form to reflect the detail of the event.
This form will need to be completed in advance of any planned
recording activity.
