Purpose

Use Vision's Project Budget Worksheet to establish and manage both labor budgets and expense budgets for your projects. You can set up budgets for individual labor codes and expense accounts, at both cost and billing rates. The estimate-to-complete numbers that you enter should be the project managers estimate of the number of hours and/or the monetary amount required to complete a component of the project. We recommend that you periodically enter percent completes to reflect the projects' current level of completion. That way you can monitor each project's cost in relation to its overall progress. You can also use the worksheet to experiment with project budgeting scenarios, before posting them to your database. Vision calculates new totals and percentages based on the latest data that you entered. With the Project Budget Worksheet, you can:

Set up budgets for individual labor codes and expense accounts, at both cost and billing rates. Copy the budget from one project to another, then modify it. Periodically update percent completes for labor codes and expense accounts. Periodically update estimate-to-complete amounts for labor codes and expense accounts. Enter your expected amount of compensation, consultant fees, and reimbursable expenses. Have Vision calculate values for these fields, available on the Budget Summary dialog: Labor and Direct, Total Budget, Overall % Complete, Profit on Services, Profit %, and Overall % Complete.

Budgets remain in effect until you enter new amounts that overwrite them. 1.1.1.2 Related Information

The job-to-date hours and spent amounts on the Project Budget Worksheet are based on the actual labor and expense postings that you make once the project is underway. If job-to-date hours and amounts have been posted to the project via timesheets, they appear on the Project Budget Worksheet even if the budget has not been entered. 1.1.1.4 When Vision Automatically Calculates Fees and Compensation Amounts

If the Project fee entering method option on the General tab of Accounting System Settings is set to At lowest level only (system will automatically update at higher levels), then any changes you make to the following fields on the Summary tabs of the Project Budget Worksheet cause Vision to recalculate values for all elements that are higher up in the work breakdown structure:

For example, if you are entering fee amounts for tasks in the Consultant Fee field on the Billing Summary tab, Vision calculates the consultant fees for the phases and projects to which the tasks summarize data.

Once you create a project budget, you may want to use it as the basis for other budgets. To do this, simply copy the budget, rename it, and edit its details accordingly.

To make it easier to keep track of the various levels of whatever work breakdown structure (WBS) you are budgeting, you should consider "pinning" the graphical WBS tree to the screen so that it is displayed side-by-side with the main budgeting form.

3.1.1.1 1. 2. 3. To create a project budget, complete the following steps: Display the Project Budget Worksheet. How? To search for a project, click beside the Find field to display the Project Lookup dialog.

Highlight a project and click Select. Vision displays a blank Project Budget Worksheet, where you can begin entering data. You can select multiple projects . If you do so, each project's data appears on a separate page and you can use the page fields at the top to move between project records:

If your system administrator has enabled reporting at burdened rates, Vision changes the names on the Labor Costs and Expense Costs tabs to Labor Burden and Expense Burden. If you cannot edit fields that you need to change, check with your system administrator to make sure that the Project Budget Worksheet option in Security Configuration is set correctly. See Accounting tab of Security Configuration for more information. 5. It is possible to pin the WBS tree when you see this WBS dropdown icon . You pin the WBS tree to keep it displayed on the screen, which makes it easier for you to navigate between the WBS elements (phases and tasks) that you are working on. 5. Click Save on the toolbar when you are finished. Vision saves all changes you made to the worksheet since it was opened or since it was last saved. The database is updated with all modifications. 5. Click Print to print the Budget Worksheet report.

Show job-to-date amounts Job-to-date amounts are how much money has been spent to date since the project began. Show estimate-to-complete amounts Estimate-to-complete amounts are how much additional money must be spent from today through the end of the project to complete the work. Show estimate-at-completion amounts Estimate-at-completion amounts are how much total money you expect to have spent at the end of the project. This is calculated as the job-to-date costs plus the estimate-to-complete costs.
