Kitsilano Neighbourhood House Front Desk Administration Worker Full Time Position 35 hours per week / Monday- Friday 9:00-5:00 Pay Rate: $15.07/hour Job Purpose: The Front Desk Administration Worker is the front line of interacting with and engaging the public. This is a wide-reaching but flexible position that covers three main areas: administration, communications, and light accounting. Please note that this is a FRONT DESK position. Duties and Responsibilities: Administration Creating a warm and welcoming environment Front line reception, which includes: answering phones, providing information and referrals, directing calls to appropriate staff, greeting people coming in the door, handling email inquiries General office support, which includes: mail distribution, faxing, photocopying, filing, records/data management, maintaining an organized and professional work environment, coordinating facilities maintenance/repairs, coordinating courier service, maintaining up-to-date poster boards, etc. Training and supervising volunteers working in administration and facilities maintenance roles Working directly with program leads and providing front line program registration Community relations; networking with other non-profits Participating in and helping with set up of all House-wide events, staff workshops, and meetings as requested even if these times are outside of the regular working schedule Office technology troubleshooting fax, copier, phone maintenance Oversee the direct operation of a free income tax clinic and computer access computers Other admin duties as requested by the Operations Manager and/or Executive Director Communications Creating and disseminating program advertisements and brochures Tracking clients contact inquiries for monthly MCFD reports Creating and distributing reports, and other communications to various stakeholders such as board members, staff, volunteers and community members Ensuring that promotional tools are within the branding guidelines Accounting Accepting fees for services and/or programs, issuing receipts Managing petty cash and doing weekly accounting that involves cashing out Entering financial data into accounting software Qualifications Minimum of 2 years office experience Excellent verbal and written skills with highly developed interpersonal skills; tact, diplomacy, and flexibility in dealing a diverse population. Intermediate level proficiency in Microsoft Office, especially Outlook, Word, Excel, Publisher and Access; Proficiency in Adobe InDesign and Photoshop an asset Experience in handling financial transactions

Prior database management experience Demonstrated initiative to manage multiple priorities with ease and have an increased attention to detail Ability to problem solve and react quickly to situations and inquiries Ability to create and maintain meaningful relationships with community members, and partnering agencies 2nd language and/or experience working in a multicultural environment Ability to work occasional evenings and weekends
