Board Meeting Minutes


July 9, 11:30 a.m. Brown county High School Band room
Present: Abbie Curtis, Rhett Fagg, Kevin Fleming, Phyllis
Sindlinger, Steve Shroyer, David Richardson, Austin Vogt, Band
Director
Absent: Mel Chance, Cheryl Owen, Bill Schnackel
The meeting was called to order by Kevin Fleming, board
president. The first order of business was appointing a person, in
Cheryls absence, to record the meeting. Phyllis volunteered.
The Secretarys report from the June meeting was waived in
Cheryls absence.
The Treasurers report was waived because the treasurer was not
present.
There was a three-part discussion led by Kevin of the Bands
financial condition and practices. Kevin had procured financial
reports from Fifth Third Band with information dating from January
2016, and Appropriation Balances to Date as of 7/1/16 obtained
from the treasurer. The Band has two accounts at the bank:
Checking and Savings.
1. The initial matter for the boards consideration was status
of the sheet music account. Music purchases for the Labor
Day concert exceeded the sheet music account balance.
The account is a sub account of the Directors
Discretionary account which is sufficient to absorb the sub
account deficit and no appropriations adjustment was
deemed necessary. Kevin suggested a mindset regarding
finances that the band is neither poor nor well-funded and
expenditures should be made only after due deliberation.
2. Kevin provide the board the July 2014 and July 2016
statements of the savings account which indicated the
account had grown from $4,478.87 to $4,480.20 and
earned less than $2 interest. Kevin also reported that it

had taken several months for Fifth Third Bank to get the
names corrected on our bank accounts and that the
customer service was terrible. He urged moving to a
different bank and looking for a better return on our
investment.
3. Kevin suggested that the boards priority had needed to
be recruiting, then finding a new director this spring, and
now recruiting again. But in the not too distant future
finances would have to be a higher priority.
Austin stated that most of the music expense for the year is
needed for fall events. Christmas music can be garnered from
what is already in our library.
There was much discussion about living within our means, but
much of this will be revisited when our treasurer, Bill, can clarify
parts. All of this will be valuable for developing a budget for 2017
by the end of this year.
The tentative plan for gathering ads for the Anniversary Concert
was presented by Phyllis. She and Bill will meet to finalize all of
this and present the plan to the Band during rehearsal on July 21.
(See attached report) If any board member has Ads which should
be included, they have been asked to let Phyllis or Bill know as
soon as possible.
Kevin presented an idea concerning a special theme for the
Anniversary Concert: Homecoming where all past band
members would be invited to participate. David Richardson said
he had been talking to the school choir director about performing
with us at the Anniversary Concert. No definitive decision on
either idea was made.
Directors Comments: Austin is working on plans for the Labor
Day concert and will get permission to play on the courthouse
plaza from the Commissioners at their August meeting. There will
be a need to bring chairs & stands. Parking will need to be
addressed.
Labor Day concert: September 3? Time? Rain date?

Anniversary Concert: Austin has been trying to contact Dr.


Laura Godfrey
about a date for this event. It was decided
that evening times are best. This allows merchants to attend,
and Friday and Saturday are the days most
desired.
Christmas Concert: December 9 with December 10 as rain
date. (?)
Austin stated the need for Drum set player, Tuba player and
Woodwinds in the band.
Austin was appointed by Kevin to fulfill Curtiss term as co-web
administrator with Abby.
As new business, Phyllis suggested we consider obtaining new
shirts for the band. She also stated the need for an updated
Roster and Abby agrees and will work on the present one. Copies
will be made available to band members at the next rehearsals.
Kevin called for a motion to adjourn. Phyllis made the motion and
Rhett seconded it.
Next meeting will (probably) be before rehearsal on August 4,
6:00 p.m.
