MicrosoftWordandhowtowritedocuments,butwevereceivedquestionsaboutworking
withlongdocuments.Whatwevelearnedthroughsurveysandinspeakingwithusersis
thattheses,researchpapers,ordissertationscanbeverylengthyandmanyusersarenot
familiarwithhowtomanagetheformattingandorganizationofmanypagesinWord.This
lessonplanfocusesaroundfeaturestoeffectivelyandefficientlywritelongdocuments.Itis
criticalforTraineesasfutureTCstobeconfidentinthesefeaturesinWordinordertohelp
userstothebestoftheirabilityinthelabs.Itsalsoimportantforstudentstobeableto
masterthesetoolstostreamlinewritingtheirownpapers.

ATLabshasjustupgradedalloftheunitsinourlabstotheMicrosoftOffice2013Suite
whichincludesWord2013.Someofwhatwellbecoveringshowsthedifferencesbetween
previousversionsofWordandthecurrentversion,butmostofwhatwellbecoveringis
focusedonhowtousethepowerfulfeaturesinWordsoyoucanbemostproductive.

AlthoughtheStylesGallerywasaddedinWord2007,mostpeopleareunfamiliarwithStyles.Stylesare
themostimportantfeatureweregoingtodiscussinthislessonplanandmanyfeaturesinWorddepend
onacorrectlystyleddocumenttofunctioncorrectly.MakesureyouapplyalltheStylechangeswithin
thisfirstsectionbecauseeverythinginthefollowingsectionsneedscorrectStylesforeachfeaturetowork.

AStyleistheformattingassignedtoaspecificsectionofyourdocument.Anexampleofthesesections
canbenormaltext,chaptertitles,headings(orsections),andsubheadings(subsections),buttheycan
alsorefertospecialsectionsthatneedtheirownformatting,likebulletedlistsorfooters.Theformatting
isntjustimportantbecauseitkeepstheappearanceuniformthroughoutyourdocument,italsomakes
surethateachsectionbehavescorrectlywhenyoureeditingit.

ByusingStyles,wecanavoidtechnicalandformattingproblemswemightrunintowithlonger
documents.

Thisfileisanexampleofalongdocumentthatyoumightcomeincontactwithinthe
future.Thisisanoldversionofourinternalpoliciesmanual,orthePPM.Itlookslike
itsstyledcorrectly,butletslookalittledeepertoseesomehowsomeseriousproblems
withthisdocumentsstructuremakeitconfusing.

2. NavigatetotheHometabintheRibbon.Clickthesquarebuttonatthebottom
rightoftheStylesgrouptoopentheStylespane.


3. Clickanddragthestylespanetotheleftsideofthemaineditingwindow.

bebeneficialtoremovetheStylesfromyourdocumentthatyouarentusing.

ThiswillrevertanysectioninyourdocumenttotheoriginalBuiltInformatting.Even
thoughyoucreatedyourownStyleintheprevioussection,thatStylewasbasedonaBuiltIn
one.Byreverting,WordwillkeepthesamebehavioroftheStyle,butchangetheappearance.
Keepinmind,BuiltInordefaultStylesinWordcantberemoved.Onlyyourcustomized
Stylescanbedeleted,soyoudonthavetoworryaboutmessingupanyStylesforfuture
documents.

SinceStylesarethekeytohavinganicelyformattedandorganizeddocument,Wordmakesiteasyto
create,define,andmodifytheStyleoptionsforeachsectionofyourdocument.Ifyoustartwith

AStyleSetisthecollectionofformattingthatyoucanapplytothesectionsyoudefinedearlierinyour
document.WordhasmanybuiltinStylesthatcanmakeyourtextlookgreatandkeepinorder.

1. NavigatetotheDesigntabontheRibbonandhoverovereachentryintheStyleSet
gallery.

NavigatingthroughLongDocuments
Often,longdocumentscanbedifficulttonavigate,butWord2013hasseveralwaysnavigatethatare
muchmorequicklythanscrollingmultiplepages.Weregoingtolearnabouttwowaysthatarethemost
efficientwaytonavigatethroughtheselongdocuments.

Forbothofthesemethods,yourdocumentneedstohaveStylescorrectlysetuptousenavigationtools
correctly.ThisisonlythefirstthingwellbedoinginWordthatrequiresthecorrectStyles.Makesure
yoursaresetcorrectlybeforemovingon.

InsertingPageNumbers
Forstarters,theeasiestwaytokeeporganizedistoapplypagenumberstoyourpages.Theseareincluded
whenyouprintyourdocumentandaretheeasiestwaytokeepyourpagesinorderafterprinting.

1. NavigatetotheInserttabintheribbonandclickonthePageNumberbuttonin
theHeader&Footergroup.Fromthere,selectPlainNumber1fromtheTopof
Pagecontextmenu.


Afterinsertingthepagenumber,youcanformattheheaderinanywayyoudlike.

2. TypeyourlastnamebeforethePageNumber.Doubleclickonthetextbodyto
returntotheregulareditingview.

UsingtheNavigationPaneandThumbnails
AfteryouhaveyourStylessetup,Wordmakesnavigationasnapwithlongdocuments.Before,wemight
havehaddozensorhundredsofpagesinourdocumentanditwasdifficulttokeepeverythinginorder.

TheOutlineviewisjustoneofmanywaystodothisinWord,butitsalsousefultomoveentiresections.

2. DoubleclickontheplussigntotheleftoftheOriginofNamesectiontocollapse
thetextbody.


Thisviewisagreatwaytoreducesomeclutterwhenlookingcloselyatthetext.Bydouble

onspecificpartsofourdocumentwithineachheadingandsubheadingandminimizeother

sectionyouwanttoedit.

NowthatwecanquicklynavigatethroughWordwiththesedifferentviews,wecanmoveontomore
featuresthatarefinetunedforlongdocuments.Embeddingfilesandimages,orobjectsintoreportsisa
greatfeaturethatcanbeusefulwhenwritingthesetypesofpapers.

InsertingObjectsandImages
Longdocumentsoftenhaveimagesorotherobjectsthatareusedasreferencesordiagrams.Theycanalso
beusedtobreakuphugesectionsoftextwithavisualaidtomakethetextmoreinteresting.

Therearemanydifferentobjectswecaninsertintoourdocuments,andweregoingtotalkabout
insertingpicturesandexternalfilessuchasspreadsheetsandPowerPointpresentations.Also,Wordhasa
featurecalledEmbeddingwhichallowstheobjectstobecomedynamic.Dynamicfilescanbeaccessedand
editedwithinyourpagewithoutopeningthefilesinanexternalprogram.

Wellgooverthedynamiclinksfurtheroninthesection,butfornowwellstartwithinsertingand
displayingsimplepictures.

Inserting,Cropping,andFormattingImages
Sinceourfirstpageofourdocumentisonlytext,weshouldbrightenitupwithapicturesoreaderscan
pictureKingArthurwhentheyrereadingabouthim.Wordmakesiteasytoinserttheseimages.

1. ScrolltothefirstpageoftheKingArthurreportandclickonthewhitespacebetweenthe
titleandthebeginningofthereporttext.
2. NavigatetotheInserttabontheRibbonandselectPictureswithintheIllustrations
group.


3. Inthepopupwindow,locateKingArthur.jpginsidetheexercisefolderandclick

6. Repositiontheimageonthepagetotherightsideofthesecondparagraphandresizeit
tolookmorevisuallyappealing.


Letscroptheimagetoremovetheborder.
7. ClickonceontheimageofArthursrobestoselectit.IntheRibbon,clickonthe
Formattab.ClicktheCropbuttonwithintheSizegroup.

8. Movethehandlestocropouttheborderoftheimage.


Whenyouveselectedtheregionyouwanttokeep,clicktheCropbuttonagain.Youcanalso
clickoutsideofthecrophandlestoresettothemainview.
Keepinmind,Wordpreservestheoriginalimageaftercropping.Thismeansthatyoucangoback
laterandrecropyourimagewithoutlosingtheoriginalimageorlosingquality.Asyoucan
imagine,sinceWordsavesthecroppedinformation,yourfilesizecangrowverylarge.
9. Selectanypicturewithinyourdocument.Then,navigatetotheFormattabonthe
RibbonandclickontheCompressPicturebox.


10. Inthepopupwindow,unchecktheboxnexttoApplyonlytothispictureandthen
selectUsedocumentresolution.Then,clickOK.

Byusingourdocumentsoriginalresolution,wecanpreservethequalityofourimagesinany
formincludingprintordigital.
Thismaytakeaminute,butnowtheimagesinyourdocumenthavebeenoptimizedandyoucan
decreaseyourfilesize.

Sinceweveremovedtheoriginalsquigglylineborderwhenwecroppedtheimage,letsadda
straightonewithinWord.

EmbeddingandLinkingExternalFiles
Ifyourdocumentreferencesotherdocuments,images,orvideofilesputtingthesefilesintoyour
documentcanbemuchmoreusefulthanjustreferringtothem.Althoughanimageisuseful,Word
allowsyoutoinsertinteractiveobjectsthataremuchmoreaccessibletoreadersthanastaticpicture.

Inthissection,weregoingtobetalkingaboutinsertingtheseobjectsandhowtousesomefeaturesto
makethisprocessmoreefficient.First,opentheObjectdialogboxfromtheRibbon.

1. NavigatetotheInserttabontheRibbonandclickontheObjectbuttonwithin
theTextgroup.


Now,weregoingtogooverafewoftheoptionswithinthispopupwindow.

2. NavigatetotheCreateNewtab.


ThiswindowshowsthebuiltinpresetsthatWordcaninsertintoyourdocument.Theseare
handyifyouwanttoincludeaformorothertypeofnewdocumentthatyourreaderscanfill
outandreturntoyou.Whenanyoneeditsthenewembeddedfileandsavesyourdocument,
thechangeswillbepreserved.
CheckingtheboxforDisplayasiconwillreplacethethumbnailofthecontentsofthefile
withastaticimageoftheicon.
