Email Guidelines

1. SOMTU use of E-mail


School of Management Tribhuvan University (SOMTU) makes WebMail accounts available to
regular employees and students to aid the instructional, research, guidance, community service, and
administrative purposes of the college.
- All official communications to students from SOMTU will only be distributed
to @somtu.edu.np e-mail addresses.
- All use of the Internet e-mail system at the college should reflect this intent and consider the
public nature of this resource.
- Official e-mail communications from SOMTU are intended to meet the academic and
administrative needs of the college community.
- The purpose of this platform is to create a common communication channel for every groups,
department, faculty including the faculty members and students. This way, the use of technology
for the information sharing is easier, flexible, portable and reliable.

2. Assignment of student email


- All regular SOMTU students in good standing who are currently enrolled for college credit
classes are eligible for an e-mail account.
- After the completion of the course of student in SOMTU, email will be automatically deactivated
after one month without prior notice.
To ensure the access of email, students must contact administration for further procedure or contact
through email support@somtu.edu.np
The address are all of the form [First Name][Last Name][#]@somtu.edu.np (e.g.,
Johndoe@somtu.edu.np, doejohn@somtu.edu.np, doe.john@somtu.edu.np etc.)
It is recommended to follow the following structure for the mail address and fill up the form
(Registration Form) with this structure. If any case, the requested mail address overlaps with the
already registered mail, support team will contact you through your mail to ensure your choices.

3. Redirecting of Student email


A student may choose to redirect SOMTU college email to another email addresses (e.g, Outlook,
Yahoo) at his or her own risk. SOMTU will not be responsible for the handling of e-mail by outside
vendors. Having e-mail redirected does not absolve a student from the responsibilities associated with
communication sent to his or her official SOMTU College e-mail address.

4. Expectation about student use of email

Students are expected to check their email on a frequent and consistent basis in order to stay current
college-related communications. The College will communicate with students through the College
email account, even when the enquiry is sent from an external email account.

4.1.1 Educational Use of email


Students are requested to use the email for educational purpose only.
- The assumptions are made by faculty members that all students shall get the course materials and
helpful information using email groups.
- Students can apply for third party features provided to them. E.g., Researchgate.com, Google
Scholar, GitHub Education, Harvard Business School and other study purpose.
- Students are recommended to use the features provided with the account.
- Other use than educational purpose shall be strictly prohibited for the students. Like, Individual
emails.

5. Restrictions

Users are not allowed to attempt to gain administrator rights, unauthorized access, misleading messages,
open malwares/ spams leading to system attacks. Doing so can result in a loss of this privilege.

- Commercial use of email accounts (Student/Employee) is strictly prohibited.


- E-mail accounts are to be used only by the account holder.
- E-mail is to be maintained regularly. Users who allow e-mail to accumulate can cause
unintentional problems for other users and the administration of the system.

6. Compliance with Rules


The user agrees to adhere to the College approved policies and procedures as outlined in this document.
Notice of any changes will be made by the system administrator.
