We, the undersigned, offer to provide the mobile action game development services for
development of five mobile action games in accordance with your Request for Proposal dated
8th October, 2017 and our Proposal. We are hereby submitting our Proposal, which includes
the Technical Proposal, and the Financial Proposal sealed under two separate envelopes.

If negotiations are held during the period of validity of the Proposal, i.e., before the date
indicated in Clause Reference 41 & 42 of the ITC, we undertake to negotiate on the basis of
the proposed staff. Our Proposal is binding upon us and subject to the modifications resulting
from Contract negotiations.

We undertake, if our Proposal is accepted, to initiate the mobile application


development services related to the assignment not later than the date indicated in
Clause Reference 51.1 of the Proposal Data Sheet.

We also confirm that the Government of Bangladesh has not declared us, or any sub Bidders
for any part of the Contract, ineligible on charges of engaging in corrupt, fraudulent, collusive
or coercive practices. We furthermore, pledge not to indulge in such practices in competing
for or in executing the Contract, and we are aware of the relevant provisions of the Proposal
Document (ITC Clause 4).

2.1 INTRODUCTION

Bitec Software is extremely excited about the opportunity to respond to the ICT’s Request
for Proposal for Mobile Action Games Development (LOT G3D-1C) program. With
updated methodologies, technical expertise and a highly qualified skilled team of dedicated
professionals to deal with various distinct forthcoming challenges that we might face in
building the action games, we believe Bitec Software is well-suited to perform the
requirements requested in the RFP for Mobile Action Games Development.

We are a fast growing mobile game & app developer, on a mission of designing fun,
challenging, unique games & apps in iOS, Android and Windows devices. Bitec Software has
been designing, developing and delivering digital games for mobile platforms for quite some
time. Equipped with state-of-the-art infrastructure and powered by the best of brains in the
industry, Bitec Software has built a commendable portfolio of expertise in game development
with top names in the corporate scene like ''Judge Multimedia'' as our client. At Bitec Software,
not only do we perform collaborative development with our clients for existing games that they
may have but also develop games right from scratch. Our gaming aces have the potential to
transform a simple game idea into a complete, marketable game.

Our in depth expertise in diverse fields allows us to undertake a variety of different projects.
We develop games, perform 2D as well as 3D game engine programming and modification,
game designing for both core and casual games, Game assets and theme designing,
Simulation game development, integrating advanced features, game porting, games involving
artificial intelligence, scientific animations or physics among others. Social media integration
with games and applications for quality assurance and high end developed application and
games is our specialization.

2.2 WORK EXPERIENCE:

Bitec Software has entered into the gaming scene of Bangladesh with it very first game - "FLY".
It is a thrilling game filled with obstacles and chaos. The purpose of the game was to ensure
action based game format with the aspect of providing the players adrenaline rush. The
fundamental priority of the game was to keep the design of the game compelling with higher
degree of impact to the players. As a first game FLY has more attention than expected. Our
movie-based game The Detective was even more impactful as it was the first movie-based game
in Bangladesh. It created a diversity in in our movie business with its unique ideas and concept
being the first movie based game. As a game development company, we have the experience of
collaborating with the people of movies and producing games that are more impactful, which is
one of our major features. Our next game Zingy was another fun filled game with remarkable
graphics and exciting gameplay. All these games have received more stature than the
contemporary developed games of Bangladesh.

Our employees have won the the First BRACathon in 2015. It was a yearly competition arranged
by BRAC It, with huge participants nationwide. We also have the winners BRACathon 2017 with
us working on our unique game ideas and development. Our game development team also
became the runners up of IUT 9th ICT FEST 2017.

Our game development section is highly equipped with up-to-date devices and components. With
high end desktop and laptops, we conduct our development procedure. Our game studio is
equipped with MacBook and Mac PCS. Bitec Software provides its game developers with all these
high end devices to work as seamlessly as possible. And all the employees of game development
section are provided personalized devices.

Narrative description of Project: Mohim Babu, the central charachter of the game, is a
detective, who found a mysterious person with secrets and unsolved problems. And so,
he starts chasing this unknown man who tries to escape. Players Run, jump and slide to
save themselves from bumping into obstacles. They collect as much coins as possible
to place your name on the throne. Friends and other players can be challenged to
secure a top-spot in the leader board. This game is fun,exciting and provides an
engaging gameplay experience.

beautiful graphics to kill all of those boring time of yours. Gamers can drive through the
charming suburb, along the beautiful marine drive, in the rich neighborhood with your
favorite cars and of course with a 'Drunken' driver.
There is no complex control. One has to simply tap the screen anywhere to change
direction through the busy road of marine drive in zigzag 'zingy' way. Gamers score more

3.1 PROVIDED FACILITIES:

For the employer’s safety and health there are some facilities provided by Bitec Software
Company. All the employees are provided welfare facilities along with healthy and safe working
environment. Welfare facilities like toilets and hand basins, with soap and towels or a hand-dryer
are provided. Hygienic homemade food, drinking water, snacks, tea and coffee are available all
the time. For healthy working environment- good ventilation system, reasonable working
temperature, suitable lighting, enough room space and suitable workstations and seating and
cleaned workplace with appropriate waste containers are all provided. Employees are given the
advantage to work over time. They are offered a good amount of salary for their respective works.
For the entertainment purpose our office has a table tennis board.

Bitec Software also has a game development studio where around 13 desktop computers, 15
gaming laptops and other essential equipment are present.

The technical resources that are available to employees on this suite of courses include:

 games development suite;

3.1.1 GAMES DEVELOPMENT SUITE:

The games development suite is equipped with high end desktops and laptops with very powerful
processors and Graphics processing unit with better RAM and Hard disk. For faster data fetching
all the computers have SDD. For the development purpose we are using Unity, an ultimate game
development platform. It is used for building high quality 2D and 3D games, deploy them across
mobile, desktop, VR/AR, consoles etc. the programming and code analysis sections are done in
this suite. For the work of file server, an internal server (Mac pro 2TB) is used centrally. For version
control we use Unity Colab.

Sony PlayStation Portable developer kits (PSP). Students will be able to develop for this platform
under an academic development agreement with Sony. In addition, students have access to
Xboxes and Microsoft XNA Game Studio developer software. A number of other consoles are
also available including Wiis and Sony PlayStation 4. The lab is equipped with 3D graphics
software such as Maya. You also have access to a body modelling suit.

3.1.2 MEDIA TECHNOLOGY LABS:

A multimedia and graphics studio that houses 10 Mac PCs all with DVD writers and our full
graphics software which includes Maya complete, Adobe Production Studio, Premiere Pro,
Photoshop, Cinemation, Final Cut Pro X, Illustrator, After Effects, Encore, Audition, Flash,
Dreamweaver, Fireworks and Combustion.

3.1.3 DIGITAL MEDIA WORKSHOPS:

The digital media workshops provide a wide range of software and specialist technical support in
the key areas of CAD, 2D and 3D design, digital imaging and processing, high-quality
photographic printing, audio and video production, mono and colour printing (up to A3+), and
large format plotting (up to B0+). All 13 computers in the digital media workshop are set up as
dual boot workstations. This means that both the Windows XP and Macintosh OS X platforms are
available on each machine. Developers are therefore able to choose the platform (PC or Mac)
that they want to work with at any given time. For character designing Z brush is used. For
graphics Photoshop, Blender, 3DS Max are used.

3.1.4 POST-PRODUCTION SUITE:

The post-production suite comprises 6 top-of-the range Macintosh computers, the majority of
which are running the Intel CPU. All kinds of marketing sessions are held in this suite. For better
marketing and management of the game and also the testing sessions of the games are held
here. For testing purpose there are approximately 28 mobile phones available.

3.1.5 ANIMATION SUITE:

This suite consists of networked G5 Macintosh Power PCs with Dual 2.3 GHz processors, 32
Gigabytes RAM and a GeForce 6600 Graphics Card or a Radeon 9600XT graphics card running
the industry-standard version of Maya. For the animation purpose iClone, Quixel, Mixamo are
used.

3.1.6 SOUND RECORDING STUDIO:

This area comprises a control room and an audio booth with talkback and video monitoring
facilities. There is an extensive sound FX library and high-quality transducers suitable for high-
quality voice and/or sound track recording. The studio is able to cater for both post- and pre-
production sound to image work and runs with Final Cut Pro/Soundtrack Pro as its central engine.
Also IMIKE is used for this purpose.

4.1 APPROACH
For game development, Bitec Software’s game development team follows a structure to conduct
the development phase. Following a structured framework consisting of well detailed plan of
development and maintenance, we provide quality output that meets the specified requirements.

Equipped with the latest technology, our game development team has extensive experience in
developing various categories of games like, 2D games, 3D games portraying 3D graphics,
Multiplayer games, Action games, Shooter games, Adventure games, Educational and Puzzle
games. Bitec software has several Programmers, graphics designers, analysts and testers for
cross platform applications. For a manageable work scheme, content creators, project lead,
quality assurance staff and project manager are assigned to manage the development of each
game produced by Bitec Software.

The game development life cycle that we follow covers the criteria for a good quality game
development, such as, the steps needed to develop game, considered quality criteria of each step
and finally creating a good quality game. It helps to eradicate all the complications of the project.
The basic principles of our game development section are,

 Considering the above mentioned facts in game development and keeping the relevancy
of the general game development life cycle phases.
 Ensuring the flexibility of game development in a way so that changes can be easily made
at different steps.
 Addressing the quality criteria of each prototype stage in order to maintain the quality of
the final product.

Our development process is different from a traditional software development engineering


process. For producing a quality game, Bitec Software follows some essential phases. Different
tasks like, planning the game concept, the story of the game, characters build up, content creation,
producing prototypes, testing the game features; are all divided in different phases to make the

game development easier for the creators. Creation of any game involves cross-functional teams
including designers, software developers, musicians, script writers, and many others.

4.2 METHODOLOGY

The phases of our proposed method are:

4.2.1 INITIATION

The preliminary work of any game development is creating the concept of the game. Our content
creators create the concept based on the specified requirements adding educational features to
it. In this phase we will also come up with the simple game descriptions and initial rough ideas on
the characters of it. The prime concern in this phase is to make the game as informative as
possible for the mass people so that they can use it as a useful educative tool.

4.2.2 PRE-PRODUCTION

Pre-production is one of the initial stages in the production cycle. In this phase Bitec Software
assigns individual content creators and project lead to all the 5 games; a project manager to the
whole game. This way every game can be developed simultaneously without any hindrance. This
phase involves the creation and the revision of educational game design i.e. game genre,
gameplay, mechanics, storyline, characters, challenges, fun factors, educational aspects and
technical aspects. The prototype creation and documentation of the game design are also
contemplated in this phase.

To enhance the educational aspects of the games, we consult educational researcher and child
learning experts. Before creating the contents and developing different levels of these games, we
take their opinions. With the help of these expert level viewpoints, the scalability of educational
details is enhanced. The prospects of educational exposure are confirmed by consulting child
education researchers. What kind of contents, subject matter can be of best help to increase the
educational purpose are all taken care of in this phase of pre-production.

The specific tasks we will cover in this phase are:

 Analyzing the concept and improving its educational aspects

 Designing the gameplay (core gameplay, mini games, etc)

 Defining the art, style, and assets

 Choosing the game engine and target platform

 Building prototype design

 Create documentation: Art Design Document, Technical Design Document, Game Design
Document (GDD)

 Time Schedule planning

After creating game Design Document (GDD), a form of prototype will be made to assess the
game design and the whole idea. The prototypes will be created considering iterative approach,
so that in every iteration it can be further refined. In the first iteration of production cycle, we will
create two prototypes, foundations and structure; and in later iterations these prototypes will be
refined with formal details and revision.

Foundation, the first prototype, is related to fun quality criteria. Foundation is used to show the
mock-up of core gameplay and game capabilities. The fun quality criterion in foundation is tested
via questionnaire or discussion.

Structure, the refinement over Foundation, and related to fun and functional quality criteria. The
main characteristic of structure is showing both the core gameplay of the game and its related
core mechanics such as arithmetic, logic, and game rules.

Questionnaire and discussion is used to test the fun quality criteria. The functional quality criteria
is tested via play testing, where the testers are given some task and goals to achieve according
to the testing scenario.

Our Pre-production will end with approving the revision or changes of game design and its
documentation in the GDD.

4.2.3 PRODUCTION

One of our major phases, production is the core process which deals with assets creation, source
codes creation, and the integration of both elements. The related prototypes in these phases are
formal details and refinement.

Formal Details is a refined structure with more complete mechanics and assets. The production
activities which are related to the creation and the refinement of formal details are balancing the
game (related to balanced quality criteria), adding new educational features, improving overall
performance, and fixing the bug (related to functional and internally complete quality criteria).
Game balancing will be focused upon adjustments related to game difficulty and instructional
facet to make the game’s difficulty fit just right.

Refinement is a complete prototype which is the subject of game polishing. The related quality
criteria are fun and accessible. The activities during the refinement are directed to make the game
more fun, challenging, educational and easier to understand. We will only allow minor changes in
this phase.

4.2.4 TESTING

Test Phases: Bitec’s Testing Phase usually follow the following basic structure:

1. Pre-production
2. Kickoff
3. Alpha
4. Beta
5. First-release

Like the plot of a suspense thriller, each sequence occurs more rapidly, and with much more
heightened excitement (and stress), than the next.

The following sections examine each phase in order to understand why it is vital to the project
and distinct from the other phases.

4.2.4.1 PRE-PRODUCTION:

Depending on your role on the team and when you were brought into the project, you may think
that testing begins sometime after a good portion of the game is developed. In reality, testing
begins when the project begins. There may not be people called "testers" involved at the
beginning, but project scope, design, and assets are being produced from the start that need to
be evaluated, critiqued, and corrected.

Much of what happens at the early stages of the project will set the tone for how well testing will
go later on. This means both how good the software stands up to testing, and how well the tests
themselves are organized and executed. The bottom line is that both the development and test
teams can go home earlier at night if more effort and skill is applied to testing activities at the
beginning of the project rather than trying to fix things later on by throwing more testers (and more
overtime work) at it.

You can't test quality into a game. The quality of the game is established by the code, graphics,
and sounds that are produced and compiled into the game code. All testing can do is tell the
development team what is wrong with the code. Testing better earlier can get problems fixed
sooner and cheaper.

If you received a coupon in the mail at the beginning of your project that said "send in this coupon
to save 20% or more on your project," would you send it in? When you save testing for the end
of the project it's like having that coupon but not sending it in because you didn't want to pay for
the postage to mail it.

4.2.4.2 PLANNING TASKS

Almost as soon as a project is conceived, planning for test begins. Test planning includes the
tasks outlined in the following sections.

Determine the Scope of Testing the Project Will Require

The design document, TDD, and project schedule are reviewed by our test manager in order to
formulate a "scope of test" document that outlines how much testing resources ‚ that is, time,
people, and money ‚ he will need to get the game tested thoroughly for release ").

For instance, in single player games a significant amount of QA time will be spent testing the
new campaign. Because the story mode of these missions will be highly script-dependent, testers
will be tasked with breaking those scripts to ensure the user will have a seamless, immersive
gameplay experience.

Because the developer has not designed cheats in the game, and because our experience with
the original game was such that saved games could not reliably be brought forward from prior
builds, campaign mode will take up the majority of test time.

In cases of multiplayer testing the thrust will be to:

1. Ensure correct implementation of new units and the new tile set,
2. Debug new maps,
3. Debug "interface streamlining" (new functionality described in design doc),
4. Stress test game size,
5. Stress test army size,
6. Stress test game length, and (as time permits)

4.2.4.3 BALANCE TESTING

Because the expansion pack introduces 12 new units, we will be concerned only with high-level
balance testing ‚ if one of the new units gives its clan an overwhelming advantage (or
disadvantage), we would bug it out. We do not have the resources available to re-evaluate each
of the more than 50 existing units against the new units. We will count on the developer's design
team (and user feedback compiled since the release of the original game) to fine-tune the balance
of the expansion pack.

4.2.4.4 TEST MATRICES

Because this a product for the PC and not a console, there will not be first-party TRC component
to the testing. However, we will provide a similar standards-based level of final release testing
based on a number of PC standards developed from our own experience as well as standards
used at other PC game publishers.

We will run the following standard matrices on the game:

1) Install/Uninstall matrix (with an emphasis on interoperability with the previous product)


a) Publisher Standards matrix
b) Multiplayer connectivity matrix

We will also produce and run the unit matrix developed while testing the original game on each
new unit in the expansion pack.

4.2.4.5 COMPATIBILITY

Because the minimum system requirements will not change from the original game, we do not
anticipate needing the services of a third-party hardware compatibility lab for compatibility testing.
If any machine-specific bugs on the varied hardware in our internal lab crop up during the normal
course of testing, we will evaluate at that point whether a full compatibility sweep is warranted.

4.2.4.6 OVERTIME

Because this product has only modest upside for the company, QA will work with Production to
make best efforts to contain overtime costs. At this point we anticipate working overtime only on
such occasions that failure to do so will make the product late.

4.2.4.7 ASSIGNMENTS OF A LEAD TESTER

Our lead tester's experience, temperament, and skill set will have a tremendous influence over
the conduct of the testing cycle. A lead tester will be

 able to motivate the test team and keep them focused and productive
 able to recognize the role test plays as part of the larger project team
 able to gather and to present information clearly and concisely
 able to manage conflicts as they arise (and they will arise)

The test manager, or the lead tester, should then appoint a "vice lead tester," often called a
primary/lead tester. There will be multiple primary/lead testers in our each leading specific
sub-teams (for example, multiplayer, career mode, and so on).

4.2.4.8 DETERMINE PHASE ACCEPTANCE CRITERIA

The lead tester should take whatever materials are available and write a specification for the
Alpha, Beta, and Gold (release) versions of the game. By establishing clear and unambiguous
entry acceptance criteria for each phase of testing, we can avoid conflicts later in the project when
we may feel pressure from various parts of the organization to begin, say, Beta testing on a build
that is not truly Beta. Once the test manager has approved these criteria, they should be
disseminated to all senior members of the project team.

Three elements are required in the certification planning for each test phase:

 Entry criteria: The set of tests that a build must pass before entering a given test phase.
The game won't be considered "at Alpha" until the code passes the Alpha Entry test

 Exit criteria: The set of tests that a build must pass before completing a test phase.
 Target date: The date both the development and test teams are working toward for a
specific phase to launch.

4.2.4.9 PARTICIPATE IN GAME DESIGN REVIEWS

As mentioned in earlier chapters, all stakeholders benefit from test playing an active role from the
beginning of a project. The lead tester or primary tester should participate regularly in design
reviews. Their role is not to design the game, but rather to stay abreast of the latest design
changes, as well as to advise the project manager of any technical challenges or testing
complications that may arise from any anticipated feature revision. Changes in the scope and
design of the game will dictate changes in the scope and flow of the testing; forewarned is
forearmed.

4.2.4.10 SET UP THE DEFECT TRACKING DATABASE

This is a critical step, in that a poorly designed database can waste precious seconds every time
someone uses it, and those seconds add up quickly to man-hours toward the end a project ‚ man-
hours you will wish you had back! Figure 7.2 shows a typical entry in a bug database ‚ note that
the bug type "Unexpected Result" is too general. Aren't all bugs unexpected?

The lead tester and project manager should mutually agree on appropriate permissions ‚ that is,
which team members have edit rights to which fields. The lead tester should also ask the project
manager for a list of development team members to whom bugs will be assigned. The "assigned
to" field allows the lead tester, project manager, or anyone else so entrusted to review new bugs
and assign them to the right member of the development team to be investigated and fixed.
Programmers and artists then search the database for bugs assigned to them. Once they've
resolved the bug, they can assign the bug back to the lead tester so that the fix can be verified
on the next build.

Whether the bug database is going to sit on an internal server or be accessible over the Internet,
it's a good idea at this point to populate the bug database with a few dummy records and double-
check all passwords and permissions, both locally and remotely. Every person who will have
access to the bug base should be assigned an individual password, and the lead tester can allow
or block edit rights to individual fields based on the role that person will play on the project team .

4.2.4.11 DRAFT TEST PLAN AND DESIGN TESTS

Having current and detailed knowledge of the game design is critical as the lead tester begins to
draft the test documents. Begin drafting an overall test plan that defines what types of tests will
be done and what the individual suites and matrices will look like This is the point in the project
where we can put the methods described before into action. Our motto is: Prior planning
prevents poor performance.

4.2.4.12 TEST PLAN

Our test plan acts as the playbook for the test team. It identifies the test team's goals along with
the resources (staff, time, tools, and equipment) and methods that are necessary to achieve them.
Test goals are typically defined in terms of time and scope. They may also be tied to dependencies

on other groups. The testing timeline often includes intermediate goals for one or more milestones
that occur prior to the final release of the game. Any risks that could affect the ability to meet the
test goals are identified in the test plan along with information about how to manage those risks if
they occur. The scope of a test plan can be limited to a single subsystem of the game or it can
span many game features and releases. If the game is being developed at multiple sites, the test
plan helps define what test responsibilities are allocated to each team.

A defect tracking database (or bug database or "bug base") that is editable by only the lead tester
is not very useful ‚ these tend to be very static and incapable of conveying up-to-the minute
information about the state of the project. Neither is a bug base in which every member of the
team can edit every field ‚ these are chaotic and ultimately useless.

In designing the bug base, the lead tester must balance the need for members of the project team
to communicate with each other about a particular defect with the equally important need to
control the flow of information to all members of the project team. Programmers need to be able
to comment on or ask questions about a defect in the Developer Comments or Notes field, but
they can't be allowed to close the defect arbitrarily by changing the Status field to "closed." Testers
need to be able to describe the bug in the Brief Description and Full Description fields, but they
may not be qualified to judge who should own the bug in the Assigned To field.

Here are some techniques that we employ:

 Status should be editable by the lead tester only. The default value for this field should be
"New," so that as testers enter bugs, they can be reviewed and refined by the lead tester
before the status is changed to "Open" and is assigned to a member of the development
team.
 Severity should be editable by the lead tester or primary testers. Remember that the
severity of a defect is not the same as its "fix priority." Testers tend, rightly, to be
passionate about the defects they find. It is the job of the test team leaders to check
against this and assign a severity in an objective manner.
 Category Fields should be input by the testers and editable by the lead or primary tester.
These fields include such specifics as Game Type, Level, Bug Type, Reproduction Rate,
and any other field that includes specific information about the bug.
 Brief/Full Description should be input by the testers and editable by the lead or primary
tester.
 Assigned to is a field that should be editable by the lead tester and any member of the
development team. The lead tester will typically assign new bugs to the project manager,
who will then review the bug and assign it to a specific programmer or artist to be fixed.
Once the bug is fixed, that person can either assign it back to the project manager for
further review, or back to the lead tester so that the fix can be verified in the next build and
the bug can be closed.
 Developer Comments should be editable by the project manager and any member of the
development team.
 Priority should be editable by the project manager and senior members of the
development team. This field is primarily a tool to help the project manager prioritize the
flow of work to members of the development team.

4.2.4.13 TEST CASE

Our test case describes an individual test that is to be performed by a tester or testers. Each test
case has a distinct objective, which is part of the test case description. A test case also describes
what operations to perform in order to meet its objective. Each individual operation within a test
case is a test step. The level of detail in the test case can vary based on the standards of a
particular test organization. Test cases are conceived and documented by each tester who is
assigned a set of responsibilities in the test plan. The total set of test cases produced by a tester
should fully cover his or her assigned responsibilities.

4.2.4.14 TEST SUITE

Our test suite is a collection of related test cases that are described in further detail. The test suite
gives step-by-step instructions about what operations to perform on the game and what details to
check for as a result of each step. These instructions should be sufficient for manual execution of
the test or for writing code to automate the test. Depending on how the detailed tests are written,
they may or may not depend on the steps that were taken in a previous test. Ideally, each test in
the suite will be individually identified and executed independently of the other tests in the suite.

Testing before Testing Begins

We soon begin to get proto-builds in bits and pieces, with requests from the development team
to do very directed testing of certain narrow features in order to help them build the code. This
sub-phase namely modular testing will test "modules" of code, not a complete build. At this stage
of development, it is entirely likely that as code becomes functional and modules are tested, the
design of the game may be revised significantly "on the fly." During modular testing, it is premature
to begin writing bugs beyond the narrow scope of the module's test case. True defect testing won't
begin until the game is accepted for Alpha testing.

Finally, the lead tester should begin to recruit or hire additional team members as necessary
according to his or her resource plan. Once the team is in place, test kickoffs can begin.

4.2.5 GAME RELEASE

Once a game ships, the maintenance phase for the video game begins. Games developed for
video game consoles have had almost no maintenance period in the past. The shipped game
would forever house as many bugs and features as when released. Programmers wait for a period
to get as many bug reports as possible. Once the developer thinks they've obtained enough
feedback, the programmers start working on a patch. The patch may take weeks or months to
develop, but it's intended to fix most accounted bugs and problems with the game that were
overlooked past code release, or in rare cases, fix unintended problems caused by previous
patches. Occasionally a patch may include extra features or content or may even alter gameplay.

4.3 WORK PLAN:

The basic work plan of this project is designed based on the phases of the game development
methodology. Activities are scheduled in away so that we can get the expected output as
efficiently as possible. Tasks have been designed to deliver in a timely manner which ensures the
development of the project in a feasible way. After following the task list in every phases of our

proposed methodology, we will submit the deliverables on time. The important documents like
requirement specifications, project management plan, design specifications, game Testing
specification, prototype with source code will be well documented.

4.3.1 ACTIVITIES & SCHEDULE

The Activities and Schedule section details all phases and their associated tasks. Also details the
costs associated with each phase and the resources that Bitec Software will require to complete
the project.

4.3.3.3 OVERVIEW OF RISK MITIGATION, MONITORING, AND MANAGEMENT


(RMMM)

Risk mitigation, monitoring, and management helps us pre-determine any possible major risks
that may occur during development of this software. The Requirements Specification and the
System Specification will be reviewed and analysed to determine the major risks of developing
this software. Each major risk found will be further analysed to determine its overall impact upon
the system. These risks will be recorded and a method will be devised to determine the best
course of action if the risk should occur. Certain risks will have preventative measures devised
for them. This is to reduce the possibility of more severe risks from occurring. All risks that could
occur will have a specified method to handle the risk. This is to ensure that if a risk does occur,
there is predetermined path to follow when attempting to manage the risk. More of this is detailed
in the Project Management & Control Section

4.3.3.4 PROJECT MANAGEMENT AND CONTROL

With any project, plans must be managed, maintained, and assessed. Outlined in this section are
the various objectives, assumptions, and risks related to the project.

4.3.3.5 PROJECT MANAGEMENT OBJECTIVES AND PRIORITIES

Bitec Software’s vision for this project is to replicate the ease-of-use associated with domain-
specific private sector search applications in a public services search application. The key to this
ease-of-use is masking and abstracting complex functionality with a simple interface. This
apparent simplicity can be a trap for development teams; one that Bitec Software will avoid
through regular meetings with stakeholders, and careful documentation processes.

Team Meetings: The team of an individual game will meet every day morning at 10 am to ensure
all the workflow going right for that day. All the members of development, graphics and testing
will meet. The programmers will attend it every day as it is mandatory for them. This meeting will
provide an opportunity for the team to work collaboratively on the project

Project Meeting: The team will meet twice weekly, once on Fridays (3:30pm – 5:30pm) and once
on Saturdays (12:00pm – 3:00pm). The Friday meeting will focus on planning and strategy, while
the Saturday meeting will provide an opportunity for the team to work collaboratively on the
project. The team lead will prepare an agenda for each Friday meeting, and a member of the team
will take meeting minutes. Any key decisions made in these meetings (or any other meeting) will
be recorded in the project’s DTM. The team will conduct and record technical reviews of
deliverable documents at this meeting.

At each Friday meeting, the team will create a 2-week WBS after assessing the previous WBS.
The team will assess any slippage that has occurred and, in case of slippage, will update the
project’s baseline schedule. All assignments will be recorded in the minutes as “New
Assignments”, and will appear as “Last Week’s Assignments” on the next Friday’s meeting
agenda. The work to be done at Saturday meetings will be determined during the Friday meeting.
No agenda or minutes will be prepared for Saturday meetings, as they should result in tangible
artefacts evidencing work completed.

Client Meetings. The team will interact with the sponsor at least once a week. Any necessary
additional meetings will be scheduled at that time. The team lead will prepare an agenda for that
meeting based on the outcomes of the previous Friday’s team meeting. One member of the team
will record the minutes of each sponsor meeting, and the team lead will use those minutes to
prepare a report for the sponsor. The team will submit supervisor approved deliverables to the
sponsor, and receive change requests from the sponsor, at this meeting.

Meeting with Domain Expert. Every Thursday, the team will meet briefly with their supervisor
and the child education expert for analysing the effectiveness in techniques of educational
materials to aid mental health and develop supporting teaching tools for the players of the
developed games(6:55 – 7:15). The team lead will prepare an agenda for this meeting. The team
will give a brief oral report of their progress over the last week, and solicit advisement on upcoming
work. The team will submit any documents requiring the faculty advisor’s approval at these
meetings.

Project Log. The team will collect certain management documents in a project log that will serve
as a paper trail for the activities of the team over the life of the project. The project log is meant
to aid the team in evaluating their progress, tracking key decisions, and meeting scheduled

This section describes the assumptions, dependencies, and constraints that this project is based
upon. These assumptions are derived from the Project Charter:

and scalability of deployment.
 Client is aware of time constraints and will regularly dedicate time on a weekly basis for
collaboration and requirements elicitation throughout the process.
 The system will allow for future expansion to cover additional geographic user base
beyond our country.

Risk Management. The goal of risk management is to identify and mitigate potential sources of
expense or delay. Some risks are common to every project phase, and some risks are closely
associated with a particular project phase.

4.3.3.6.1 COMMON RISKS


4.3.3.6.1.1 TEAM MEMBER UNAVAILABILITY

During the course of a project, it is almost certain that some members of the team will be
unavailable for certain project activities due to illness or emergency.

Probability: Low

Impact: High

Prevention: Team members should alert the team lead at the first opportunity regarding potential
absences, and coordinate with other members of the team to cover their responsibilities for the
duration of the absence.

Correction: Excessive (or unannounced) unavailability will trigger a team discussion. Continued
unavailability will trigger discussion with faculty advisors and potential removal from the team.

The project sponsor has a large number of responsibilities and will not always be available.

Probability: Low

Impact: Medium

Prevention: Client meetings are on a standing schedule, at a time decided by the client to ensure
maximum availability. Communication channels are available for the sponsor to notify the team
of potential unavailability. The team will never assume sponsor availability without confirmation.

Correction: If circumstances dictate that the client is unavailable to a degree that will negatively
impact the project, the team asks that the client appoints a representative.

4.3.3.6.1.3 MISCOMMUNICATION

The volume of communication regarding this project almost guarantees that miscommunications
will occur.

Probability: Medium

Impact: Medium

Prevention: The primary method of avoiding miscommunication is to document and verify verbal
communications. For this project, the documentation and verification process will consist of
meeting agendas, minutes and reports. Key decisions will be documented in the DTM. To avoid
internal miscommunication, weekly team meetings will include time for informal socializing to help
build relationships between team members, and provide a forum for airing grievances or
concerns.

Correction: If miscommunications are occurring regularly, the client and team will reassess the
documentation and verification process.

4.3.3.6.1.4 CHANGES TO PROJECT SCOPE

Changes to project scope are a common request, but can derail project timelines.

Probability: Low

Impact: High

Prevention: The Project Charter and this document define processes for handling change
requests in a responsible manner.

Correction: The defined processes for change requests specify deadlines for such changes.
Those deadlines will be honoured to mitigate the risk of disruptive scope change.

There are many questions to be answered about how and why people search for public services
on the web.

Prevention: The team plans to conduct extensive research on this topic, including interviewing
relevant stakeholders. The team will also use client meetings and discussions to verify
conceptions of the problem domain.

Correction: While work is in progress, the sponsor is expected to correct team


misunderstandings when such misunderstandings are presented. If submitted work contains such
misunderstandings, the sponsor is encouraged to submit a change request.

4.3.3.6.2 SOFTWARE DESIGN RISKS:


4.3.3.6.2.1 INCORRECT DESIGN

Design is the foundation of implementation, and errors in design can create a cascade of defects.

Prevention: Design documents must be approved by the client, and by the faculty advisor.
Design documents will first face internal review within Bitec Software, where documents must be
approved by their creator, and at least one other team member.

Correction: Errors in design will be corrected via revisions to design documents. Under no
circumstances will design errors be fixed in implementation without design documents being
revised to reflect corrections.

4.3.3.6.3.1 LACK OF EXPERIENCE WITH RELEVANT TECHNOLOGIES

Bitec Software’s members have varying degrees of experience with the various technologies to
be used in this project.

Prevention: Work will be assigned according to experience with the relevant technology. Team
members are encouraged to ask questions when faced with something they don’t understand.
Team members with experience are expected to assist less experienced members. Team
members are expected to independently research technologies during the summer break.

Correction: If a team member is repeatedly unable to meet deadlines due to lack of experience,
the team will reassess the division of responsibilities.

4.3.3.6.3.2 INCONSISTENCY WITH DESIGN

The time pressures of the implementation phase often encourage shortcuts that deviate from the
software design.

Probability: Medium

Impact: Medium

Prevention: This risk is greatly mitigated by a successful design phase. The team will keep design
resources in view during implementation to attempt to stay focused on the design.

Correction: If the team struggles to stay consistent to the design during implementation, the team
will discuss updating the design to more accurately model a feasible implementation.

4.3.3.6.3.3 INCOMPLETE DATA SOURCES

The data source for this Project is under development by the client organization.

Prevention: Bitec Software has already offered some assistance in the design of the data source
application. The probability of this risk is low the sponsor organization has already implemented

Correction: If the data source application is not completed before. This Project is due for client

automated functional testing will also be conducted. Correction: During development, new tests
will be written to cover any uncovered defects detected in non-automated testing.

4.3.3.6.5 SOFTWARE DELIVERY RISKS:


4.3.3.6.5.1 CHANGE MANAGEMENT

This section breaks down the process the team will use to manage changes to the project.

A change request must be submitted each time the client needs a change that will impact the
project schedule. A change being defined as: any new requirement or change to an existing
requirement. A change request will be sent to Bitec Software through either email or the Slack
project collaboration tool. Bitec Software will acknowledge the request, assess the feasibility of
the change, and discuss the priority of the change with the sponsor.

If the team decides to not implement the change, the sponsor will be notified, and the team and
sponsor will sign the change request, indicating both parties’ agreement that no change is to be
made. If the team does decide to implement the change, documents that reference updated
requirements will be modified to reflect the change, and both parties will sign the change request,
indicating their agreement to the change.

Each change request will be documented internally in the project’s DTM. This document will detail
the team decision regarding the request, and the date the team reached this decision.

4.3.3.6.5.2 SCHEDULE CONTROL

This section explains the process for how the team will approach scheduling.

A number of factors can change when the requirements of a project are completed. Therefore,
the schedule is an estimate of when requirements will be finished. Overall the project involves a
serial life cycle to establish project requirements and then evolves into iterations during the later
design, implementation, and testing phases. All iterations will be approximately 2 weeks each,
depending on the involvement of the task. Iterations will be broken down into subtasks to be
divided among team members. The team as a whole will evaluate the required time for specific
tasks, and the team leader will decide a due date based on the team's estimate. Estimates will
become more concrete as the project moves forward.

4.3.3.6.5.3 ISSUE RESOLUTION

This section explains how issues between the sponsor and the team will be resolved.

Issues between the team and the sponsor will arise as the project evolves. Most issues that arise
can be handled through informal discussion either in person or through electronic messaging. For
more complex or conflicting issues, the team will document the issue for further review.
Documentation will be done through the Issue Report form. When a solution is found, the solution
will be added to the original issue document. Should such issues arise, the team will do whatever
is necessary, within reason, to find a mutually satisfactory resolution.

4.3.4 ORGANIZATION & STAFFING

According to the company disciplines, each project will be handed to individual team leads, who
will be instructing the graphics group, developer group and quality assurance group. All the team
leads will report to the project manager who is supervised by the supervisor. Every game will be
developed by its assigned team. Bitec software will assign a total of 51 employees on the whole
project with 13 dedicated people in each. Lead Graphics Designer and Lead QA & Testing will be
shared among some games. The list of people assigned to a single game is given on the picture
below.

The duties and responsibilities of software engineers and documenter will be shared. In each
software engineering group there will be a software engineer and a documenter who will maintain
the archive of the whole project.

Testers will be associated with the programmers so that every component testing is done by them.

A few software engineers and programmers will be hired within a very short time before starting
the project.
