Handout: Library Circulation


Library circulation is the process of checking out and checking in books. Before we start, you
need to be aware of some basic rules

 The information you see in the circulation program is private. It is against the Federal
Privacy of Information Act for you to tell anyone any personal information you see.
 You are in a trusted position. Do not use the circulation computer for any other purpose
than what you are trained for. Do not explore, open other programs, or go into student
accounts other than to check out or check in books.

Checking Out Books

 Students must have ID’s to check out books unless they are here with a class and
checkout books required for their class project. Teachers do not have ID’s.
 Click on the Check Out tab on the left side of the screen (if not already there).
 Scan the barcode on the ID or type in the patron’s last name and press return.
o Sometimes a window will appear with several similar names. Ask the patron their
birth date, and locate them in the list. Double click on their name.
 Scan the barcode of the book(s).
 Place the Due Date card into the book pocket.
 Say “Thank you… your due date is on the Due Date card”

Checking In Books

 Click on the Check In button on the left side of the screen.


 Scan the book, the title and copy ID number will be listed in the window
 Wait to be sure each book is checked in. A pop-window may appear if there is
an issue:
o If the book(s) is overdue a window will pop up:
 If you are checking in books from the bin or the patron who checked out
the book is not at the desk, click on the Pay Later button.
 If the patron is at the desk, tell them the book is overdue, how much the
fine is, and would they like to pay now or later.
 If they choose to pay now, get Mr. Lee to assist you. You cannot
collect fines.
 If they choose to pay later, click on the Pay Later button.
o If the book has not been checked out, a pop up, saying “In library use count
incremented by 1” will appear. Click OK.

Remember, this is a quick overview of the procedure. If anything appears in the program
that you are not familiar with, don’t proceed to do anything. Go to Mr. Lee for
assistance
