Information for Artists and Practitioners working for us…

Application Procedure
All of Arts for Health Cornwall’s (AFHC’s) vacancies for artists / practitioners are
advertised on our website (www.artsforhealthcornwall.org.uk) in the ‘Opportunities’ section
and are sent out automatically to all artists and practitioners who are registered on our
database. Registration is simple and just involves filling in a short form, which is available
to download from our website. You will however need to remember to inform us if your
e mail address or any other details change.

Each opportunity listed will include an artist brief and person specification, along with
details of how to apply and the deadline for applying. There will also be an application
form to download from our website.

We usually ask applicants to complete a short form with your details and respond to a few
questions relating to the brief. You can also attach a CV to your application form. We do
not consider any other information as part of the short-listing process unless otherwise
stated, so there is no need to write a cover letter or attach photographs or CDs to your
application.

Project Fees
We always state the total project fee payable with all of our vacancy advertisements. The
details of how this fee will be paid to you will be set out in your contract; this may be in one
or more instalments depending on the project size and/ or duration.
You will need to invoice AFHC for each instalment before we can process payment.

All artists working for Arts for Health Cornwall do so on a freelance/ self-employed basis.
This means that the artist is responsible for paying his or her own tax and national
insurance out of the project fee allocated to them.

Public Liability Insurance


Artists must hold their own public liability insurance to the value of £2 million. This covers
your legal liability to pay damages to members of the public for any injury or damages
which occur as a result of your activities.

Companies that can provide this very reasonably include the Artist’s Newsletter (A.N.),
who now include public liability insurance for artists as part of their AIR subscription
package. This starts at £28 per year. See www.a-n.co.uk for more information. This cover
is not suitable for some types of creative activity…other companies offering more specific
insurance cover include Equity (for performance artists) – see www.equity.org.uk and the
musicians union – see www.musiciansunion.org.uk. We can provide you with a list of
insurance providers if you contact us.

We will need to see proof of your public liability insurance once you have been selected for
a project, and will keep a copy on file.

If you are working for AFHC in a voluntary capacity, you will be covered by our own public
liability insurance.

Criminal Record Bureau Checks


In certain instances (when the artist or practitioner will be working with children or
vulnerable adults), we will require you to undergo a CRB check. If you have an original
copy of a CRB certificate for a check that was carried out within the last year, it may be
sufficient for AFHC to keep a copy on file…otherwise we may need you to bring in certain
documents to our office so that we can process a CRB check…depending on the type and
length of the project you may be asked to cover the expenses incurred.
Please bear in mind that a check can take up to 8 weeks to come through, so early
application is essential.

Health and Safety


Workshop/ activity leaders are obliged to take all reasonable precautions to ensure the
health and safety of those taking part in their activity. This ranges from ensuring any
chairs are stacked safely to awareness of any potentially hazardous substances that your
creative activity may involve the use of. More information about potentially hazardous
substances can be found at www.hse.gov.uk/coshh.

We ask all practitioners to carry out a short risk assessment for the activities they will be
leading. We can guide and support you in this process if you are unfamiliar with risk
assessments, and we also have a template that you can use and adapt to your activity.

Media Consent forms


We have a large archive of photographs taken on our projects, which we often select
photos from for promotional purposes. This is a very useful marketing tool for AFHC, and
helps us to attract further funding for our projects. It is therefore much appreciated if
artists/ practitioners take some photographs during their activities and forward these on to
us (digital copies are best).

In order for AFHC to be able to use any of these photographs, we need the written
permission of any participants being photographed. When the participants are under 18
years of age, or do not have capacity to consent for other reasons, then a parent, guardian
or family member is asked to sign on their behalf. Sometimes it may be inappropriate to
take photographs of a group activity, and we would discuss this with you in those
instances.

In most instances, you will be given a ‘Media Consent’ form, which you will need to ask all
participants of your activity to sign. The completed form will then need to be sent back to
our office. If a participant is reluctant to give their consent, please do not forward
photographs they are included in to us, or alter the name of that photograph to include ‘no
consent given’.

Expenses
AFHC project fees now include an allowance for travel to and from the place of work.
When an artist or practitioner is employed to work in an area over 30 miles from their
home, they may claim back mileage (at 30p per mile) for those additional miles using
AFHC’s travel claim form. For contractors travelling by public transport any expenses
incurred over £18 per return journey are refundable (please attach original tickets to the
travel claim form).

Materials expenses may or may not be included in the project fee – this will be specified in
the vacancy description. Where materials expenses are not included, the artist/
practitioner must keep all relevant receipts and attach these to a completed Materials
claim form.

Scrapstore

We are members of the Scrapstore; a useful resource for materials. If you are contracted
to work on a project we can lend you a membership card for the duration of the
project to go and use the stores (branches are in Liskeard, St Austell and Pool). For
further information call 01726 821161. Check with them first, as their opening times
are limited.
