Access provider-independent information and booking services for flights, hotels, car rental and rail

Consideration of agreements made with travel service providers

Consideration of travelers' personal preferences

<b>Travel expenses :</b>

Input of trip facts (central/decentralized)

Settlement and booking of trips

Payment of travel expenses via Financial Accounting (FI), Payroll (HR) or via data medium exchange with banks
(DME)

<b>Calling Travel Management :</b>

You can call R/3 Travel Management from the SAP Easy Access menu as follows:

<b>Travel Planning Master Data :</b>

Travel Planning is the set of rules made up of the travel policy of enterprise and the individual Trip preferences of the
travelers.

This data is stored as person-related master data in infotypes.

The special infotypes in R/3 Travel planning use the same logic as the infotypes in R/3 HR.

<b>Trip preferences :</b>

The individual preferences of the traveler are also taken into consideration in Travel planning.

The travel planning-specific infotypes 0470-0475 represent the personnel preferences of the individual employee.

<b>Travel Management Infotypes :</b>


Flight preferences (0471) : This infotype contains information specific to a flight, such as a meals,seat position and
preferred departure airport.

Hotel preferences (0472) : This infotype contains information about the preferred room and hotel category. The
infotype hotel preference is made up of entries about : Room preferences ( Such as no smoking room ) & Hotel
preferences ( Such as a preferred hotel chain )

Car rental preferences (0473) : This infotype contains information such as the preferred car and air conditioning. The
infotype car rental preference is made up of entries about :Vehicle preferences ( Such as automatic ) & Provider
preferences ( Such as preferred car rental company)

Train preferences (0474) : The preferences of a traveler for journeys using the Deutsche Bahn (German Railroad
Company) in IT0474.

The infotype Train preference is made up of entries about :

Smoker/non-smoker

Compartment type

Seat Position

Customer Program (0475) : This infotype is related to all the provider categories. Here we can store the information
about Special car rental or Hotel customer programs.

The infotype Customer Program is made up of entries about :

Travel service provider category

Travel service Provider

Customer Program

Customer Number

<b>Employee Trip :</b>

An employee trip is a business trip taken by an employee. A business trip is an employee’s change of location,
including the trip to and from another location, due to the temporary external activity.

An employee trip consists of the following parts

Travel expense assignments

Trip status

Travel Manager : TRIP

Travel Expense Manager : PR05

Travel calendar : PR02

Weekly report : PR04

IT0017 – Travel Privileges

IT0105 – Communication – Credit card number subtype 11

Transfer to HR Payroll System :

If the Travel Management is integrated with Payroll system.

Payroll Program : RPRPAY00

Data Structures in Travel Expenses :

Travel Expense data is stored in database PCL1 and in the tables PTRV_HEAD and PTRV_PERIO.
