PROTOCOL FOR APPOINTMENTS TO JOB SHARING POSITIONS:
Registrars preparing for Part 1 FRACP Examination

DEFINITION
• ‘Job sharing’ in this context means that registrars are in pairs and each pair functions as one person for the
purposes of run allocation and roster commitments

• The usual arrangement is that each registrar works one week on, one week off, however the priority is for continuity
of care for patients and where necessary, alternative arrangements may be made to meet service requirements.

• The ‘off’ week is classified as medical education leave, annual leave or leave without pay, for Payroll purposes. This
means that although it is referred to as a ‘job share’, each person is still a 1FTE full time employee. To ensure the
success of these job shares, the leave abutting weekend clause does not apply if you are rostered on a weekend.

• A reminder that you can only use a maximum of 6 weeks medical education leave per annum; this 6 weeks is
included in your maximum entitlement of 12 weeks medical education leave per vocational training programme
during employment as an RMO in New Zealand.

FINANCIAL ISSUES
Employing higher than normally budgeted ‘head count’ has a financial impact. This means job shares are limited. In the
weeks after the February exam, you and your job share partner will be required to take 3 weeks of leave (annual leave,
leave without pay etc.)

OPERATIONAL MATTERS
There will be three ‘job sharing’ positions available each year and this means that six individuals may be accommodated
with a ‘job sharing’ arrangement.
The number of job sharing positions has been to fit within the number of relief registrar positions available.
All positions may or may not be filled each year, depending on standard of applications received and service needs.
Job sharing arrangements restrict flexibility in terms of relief and therefore not all relief positions can be filled by job
sharers.
Services have already indicated in the past that it is not appropriate for other than a relief run to be used for this
arrangement, for reasons of continuity of patient care.

It is usual for the job sharing positions to be offered for a period of four months, from the commencement of the
registrar year in December, until April the following year. On occasions, however, it may be necessary to extend the job
sharing position(s) until additional staff numbers appointed to cover the arrangement can be absorbed into the usual
staff establishment.

In order to be considered for a job sharing arrangement, RMOs must have worked at Canterbury District Health Board
for at least one full calendar year before the commencement date of the proposed job share arrangement.

RMOs must be in a medical registrar position at the time of their application for a job share arrangement.

Registrars intending to make application for a job sharing arrangement must do so in line with the recruitment dates for
registrar positions for the following year.

Registrars must be enrolled with the college at the time a job share application is made.

SELECTION COMMITTEE
Will be made up of the following people:
• Chief of Medicine
• Chair of Registrar Appointments Committee
• RDST Team Leader and Coordinator
Additional committee members (including the Finance Manager) may be coopted from amongst management/senior
clinical staff, if the committee sees fit to do so

SELECTION CRITERIA
• Enrolment with the College as a trainee (documentary evidence of enrolment must be provided with application
documentation)
• New Zealand citizenship / residence
• Completion of one full calendar year with CDHB at the time the job share would commence
• Run assessment reports / referee reports (demonstrated work ethic and aptitude, including commitment to this
organisation and our patients)
• Training intentions have been discussed with Director of Basic Physician Training
• Priority will be given to those who have not previously had an opportunity to job share

Where the selection committee cannot rank the applicants using the above criteria (i.e. dead heats), priority will be
decided by lot.

SELECTION PROCESS
• Registrars will make application in line with the recruitment dates for registrar positions for the following year
• Applications will be on the appropriate application form
• Applications will be considered and a decision made in line with the recruitment and selection timetable for
registrars for the following year.
• Decisions on appointments and notification of the successful applicants are usually made at the end of August each
year.

IMPORTANT NOTES FOR APPLICATIONS


Canterbury DHB is pleased to support registrars undertaking the FRACP examination, by providing the opportunity for
job sharing arrangements. Registrars should be aware of the following points:

• Registrars who have been appointed to a job sharing position are expected to complete their
studies and undertake the examination for which they have been preparing. Any registrar who is
appointed to such a position and subsequently decides to withdraw from the examination must
advise the RDST immediately. In such instances, the job sharing arrangement will be terminated
as soon as possible and the registrar will return to regular work arrangements.

• Registrars who accept the opportunity for a job sharing arrangement are expected, having completed their
examinations, to remain with Canterbury DHB at least until the end of the year in which they take the examination.

• Job sharing arrangements are not available prior to the clinical examination.
