What is the focus of Document Exchange (DEX) to suppliers?
 “Document Exchange” process makes sure that our suppliers have valid (updated) series documents (including
norms/standards) and that they confirm the new documents respectively give active feedback about the
documents
 Documents are exchanged:

1) After an initial samples (PPAP) order before SOP (complete Bill-of-Material (BoM) is exchanged: BoM itself
and all documents listed)
2) After an Engineering/Process Change (EC) is released (changed documents only)
3) On demand of supplier (please contact your responsible buyer if you need Bosch documents outside of
regular process 1) or 2) ) or Bosch purchasing employee

 Document exchange during sample phases (before series delivery, no confirmation needed) via SupplyOn
Sourcing does not belong to Document Exchange process
 Who within Bosch is responsible and who is carrying out the Document Exchange?
 Commercial Purchasing (CP/ABxy) is the main contact person for supplier for Document Exchange and responsible for the Document
Exchange
 SO/OPM4 (India) is carrying out Document Exchange to suppliers for all worldwide Bosch Automotive plants/divisions as a
service provider

What is meant by “Documents”:
 Technical documents in Bill-of-Material (officially released in SAP)
Which documents are exchanged with official Document Exchange process:

 BoM document, drawing, check instruction, order instruction, RB norms…
Which documents are not exchanged:

 Engineering Change document, Supplier definition (doc type “HF”), external norms (DIN EN ISO, …)
Not focus of official Document Exchange:

 Quality documents (VQP, PPAP checklist, …)

“When are the new documents I received valid and new parts must be delivered to Bosch?“
 Please refer to the Bill-of-Material which contains plant specific validity (or sometimes a validity date in the far
future e.g. 3333 which means that logistics will define the introduction date later on, e.g. after stock is used up)
 You are only receiving documents which are released meaning the Engineering Change was released and the
documents are released in SAP (ERP system)
 If any doubt, please contact the responsible PPx colleague
If a part number is delivered to several Bosch plants there might be several

different series introduction dates!

What is meant by “Exchange”:
 Focus on series production only
 Supplier receives valid documents and responds electronically via SupO DMS
 Supplier to ask sub-suppliers for confirmation of documents if relevant
 Supplier makes old document(s) invalid

 When the supplier receives the documents via SupplyOn, he has to accept

 When an EC is processed, SO/OPM4 sends the BOSCH-BoM to the supplier:
EC number
 The latest EC number is on the right, with the matching date below
 Successive ECs numbers and forwarded documents are available for the supplier

 Abbreviations in the BoM
• DRW: Drawing
• NOR/BST: Norm
• PRV: Check instruction
• FHW: Process instruction
• BV: Order specification
• WB: Heat treatment instruction
• TSS: Nameplate lettering
• PAG: Packaging instruction
• DRF: Fixture drawing
• LPC: Circuit Board container
• DB: Data sheet
• DRQ: Quality drawing

 The following documents are internal to BOSCH and will not be exchanged:
• HF: Supplier definition

• AEN: Engineering Change
• AGZ: Customer offer drawing
• TKU: Technical customer documents
• BUG: Authority documents
• EWS: Development BoM
• PAP: Check instruction
• EP: Initial Sampling Report
• FGL: Supply release note

Who to contact after Document Exchange
 After receiving DEX Package, if you require any additional documents:

• Related to the exchanged part: contact SO/OPM4
• Related to other parts: contact your Commercial Purchaser
 Contact your PPx for the following FAQs:

• BoM not clear
• Change number not clear
• What has been changed
• Reason of exchange
• Introduction date of EC is not clear
• Revision / Version differences

 Supplier receives the documents (change letter, reminder letter…) in his SupO
DMS inbox:
 Supplier downloads the documents

 Once the documents are accepted and “Change Letter” is accepted, supplier must
send it back to Bosch:

Supplier to accept all the documents & also at package level: package level acceptance means
acceptance of all the documents

DEX Contact Person
 Indicate your Bosch CP/ABx Commercial Purchaser the contact details of the person who should receive the
document exchange at your company
 Intimate your Bosch CP/ABx Commercial Purchaser and SO/OPM4 if there is any change in the DEX
contact person to avoid loss of important communication
DEX contact person is responsible for the reception of Technical documents from Bosch and to
provide mandatory feedback

 The DEX process is essential - If the documents are not correctly exchanged and on time, risks of:
 Misalignment between Supplier and Bosch version in force
 Wrong deliveries
 Production stoppages
 Supplier feedback is compulsory to ensure the good running of the DEX-Process
 Reminder letter will be automatically triggered by SupplyOn if supplier has not replied two weeks after
reception of DEX package
Feedback to the DEX packages is mandatory
