This unit describes the skills and knowledge required to create systems and process to organise
information and prioritise tasks. It applies to individuals working in managerial positions who have
excellent organisational skills. The work ethic of individuals in this role has a significant impact on the
work culture and patterns of behaviour of others as managers at this level are role models in their
work environment.

ASSESSMENT 1: MANAGE PERSONAL WORK PRIORITIES

Performance objective

The candidate will demonstrate the ability to establish personal work goals. The candidate will also
demonstrate the ability to set and meet work priorities.

Assessment description

Using a position description, you will set work goals and prioritise work goals. You will then develop
two work plans to achieve two work goals. You are required to keep a journal containing your
reflections on and explanation of the process of managing work priorities.

Procedure

1. Review your job description and your organization’s business plans, business goals,
policies and procedures.
In your journal, provide a list of the organization’s policies, procedures and plans that
will inform team and personal goal setting.

My job currently is a chef at the Union Hotel.

Company’s goal is that of a multi-faceted success. Our first responsibility is to
the financial well being of the restaurant.

impact that our business practices and choices will have on the environment, and
3) the high quality of attitude, fairness, understanding, and generosity between
management, staff, customers, and vendors. Awareness of all these factors and
the responsible actions that result will give our efforts a sense of purpose and
meaning beyond our basic financial goals.
The company was incorporated in September of 1995 and elected sub-
chapter S. The founders are Jack Morton and Wilma Mason. Jack is the President

and Wilma the Vice President. There is a total of 10,000 shares of common stock
issued. Wilma and Jack each own 3,000 and the remainder are retained by the
company for future distribution. In addition they have loaned the company
$25,000 of their own money for research and start-up costs. A suitable site for the
first restaurant was found last month and lease negotiations are in the final stages.
The location will be on Deacon Street, just outside Harvard Square and close to
a dense population of the target market. When the lease is signed there will be
three months of free rent for construction and in that time the balance of the start-
up funds must be raised. With that phase completed, Abonda Restaurant can then
open and the operations phase of the project can begin.

If the business is meeting its projections by month nine, we will start scouting
for a second location and develop plans for the next unit. Our five year goal is to
have 3 restaurants in the greater Boston area with a combined annual profit of
between $500,000 and $1,000,000.

2. Based on your job description (and following your organization’s business plans, goals,
and applicable policies and procedures), establish four to five goals (including both
personal and team goals).
In your journal, describe how and why you established goals. Explain the value of
personal and team goal-setting in an organization.

3. Develop KPIs to measure performance related to work goals.

The KPIs must relate directly to the organization's stated goals. These are
the metrics against which the organization will be driven to perform in order
to measure its success over time. For example, if your organization's primary
goals are to have the field engineer arrive at the customer site as quickly as
possible, complete the repair within the contracted time, and leave the
customer completely satisfied, then you will probably be looking at KPIs
reflecting Average Time to Respond (AVR), Mean Time to Repair (MTTR),
and various other customer satisfaction metrics and indices.

How you will maintain performance under varying conditions and


contingencies. Give specific examples. When we work at Fri & Sat day
night, we try to speak loud voice and I ask my colleagues to speak slowly.

When we got some problems, such as customer complains. For example,


one customer ordered one fish & chips. The special order from that customer
was no chill, but one front staff didn’t mention it to us. So we served it
normally than the customer complained it. We told the staff who got that
order to apology to the customer. We offered one soup to the customer
during waiting new fish & chips. As result of that the customer accepted our
prompted acts.

How, given your own personal strengths and weaknesses, you will capitalise
on or minimise the effect of these personal traits in your work plans. My
strengths is that I am hard working person so my head chef give me more
working hours. So I can set up my plan to keep more. My weakness is
langue. I am not native speaker English. Sometime I get trouble because of
misunderstanding. To reduce my mistake, when I make prep list, try to write
more concretely .Furthermore when we have free time I try t talk with my
friends, and read an English books.

4. Consider a range of activities to advance work goals. Prioritise possible activities.
Choose two work goals to develop work plans for.
In your journal, describe the process you undertook to prioritise activities. Describe
competing demands and how you plan to manage these to achieve goals.

Often in organizations with a larger number of employees and in some


smaller companies with employees that work as a collective, It is important
to keep each other (colleagues) informed about your progress so that they
can plan and priorities their workloads around you. If someone is relying on
a piece of work from you to complete their own tasks then it is important to
keep people informed of where you are. By doing this you can also gain
information on timescales, when this work needs to be completed. If you are
unable to complete something by the time requested then your colleagues
will have to re-prioritize their own workloads to fit around you and by
keeping people informed of your progress you can show that you are on
track with your work.

Aside from common courtesy, it is possible that separate activities and tasks
or further work may depend on you completing or fulfilling yours so the
necessity to notify your colleagues of any changes that are being made. The
realities of scheduling mean that some things need to be planned in advance,
and may rely on what you do or don't do. It also forms part of good business
ethics and is good practice to keep people up to date at all times when things
change or need to be changed. Failing to do so can result in other peoples
work plans being out of sync. It can also cause a bit of tension within the
workplace and lack of respect for letting down the team. 2) Team Goals

A. The to-do list. Don’t keep it on different post-it notes or in your head —
at the beginning of each day or week, write on a sheet of paper what you
want to get done and by when. Rank tasks according to importance or
urgency to plan your day and focus your mind. B. Review your workload
regularly. Is there one task that always ends up at the bottom of the pile? If
you find you’re avoiding it, can somebody else do it? Consider delegating
whole projects that you don’t need to be involved in or allocate a specific
time when you only do your admin, for example. C. Remember the 80:20

rule of workloads. It’s very simple — 80 per cent of our work contributes to
less than 20 per cent of its value. Concentrate on the most crucial 20 per cent
of your workload, because performance would still be strong. D. Set realistic
deadlines for your tasks. Look at your to-do list and estimate the time each
task needs to be completed but don’t be overoptimistic. Be honest of what
you can achieve in a working day or week so that you don’t feel
overwhelmed from the start. E. Allow time for interruptions. If you need to
finish a certain task at a certain time, only deal with urgent queries during
this time. You can then quickly pick up again where you left off. F. Structure
your workload. Avoid picking up a job, doing a bit and then putting it back
on the pile. Deal with them one at a time and finish each one before starting
another. Your mind will be clear and ready for the next one. G. Don’t let
your inbox drive your workload. If you get 50 mails per day, this means 50
interruptions to your day. Don’t check your inbox every time a message
arrives. Switch off instant alerts if necessary and allocate a time when you
will check your inbox. H. Fun, fun, fun. Ticking items off your to-do list is
great, but are you concentrating on the quick-and-easy ones? Tackling more
challenging projects first might mean more time, but also that a major task
is completed and a weight off your shoulders. I. Keep multitasking to a
minimum. Starting a number of jobs simultaneously means most of them
won’t get your undivided attention. Think of multitasking as dealing with
more than one task during a day, not at the same time. That way you focus
on the project in hand. J. Keep a log of your workload. If you’re unsure how
long things take, how often your focus shifts or how many times you get
interrupted, keep a log of your working week. This will help you plan your
week in future.

5. Referring to the template provided in Appendix 1 as an example, use Microsoft Word to


develop two work plans to achieve the two goals you have prioritised.

family and friends, and colleagues. If others know of your stress, they can
assist where fit or avoid adding to it with unnecessary demands. Avoid
alcohol and other harmful substances. These may seem like a cure for
stress at the time, but can act as a crutch or enabler later down the track.
Breathe. A few deep, calm breaths can be a good way to collect your
thoughts, calm down and re-enter the work with greater clarity.

COMPETENCE

Performance objective

The candidate will demonstrate the skills and knowledge required to develop and maintain
professional competence.

Assessment description

You will develop a professional development plan with career objectives and an action plan. To assist
in the development of your plan, you are required to seek feedback on your professional competency.
You are required to keep a journal containing your refection on, and explanation of, the process of
planning professional development.

Procedure

1. Assess your personal knowledge and skills against competency standards such as
enterprise specific competencies or nationally endorsed units of competency.
In your journal, describe the process you undertook to assess your professional
competency.

Many organizations have a set of standards of competence in their workplace. It


is essential to develop and maintain professional competence. This requires
measuring your personal knowledge, skills and attributes against competency
standards to determine the developmental needs and priorities necessary to
achieve competency and goal achievement.
Managers need to be fully aware of the competency standards required by their
organization. They need to have the knowledge and skills so that they are
competent to accomplish teams and organization’s goals.
Maintaining professional competence
First, you need to conduct a job analysis to identify the knowledge, skills and
attributes required to perform your job. A job analysis will also tell you the
qualifications, experience and competencies you require to achieve your goals
and successfully perform your job.
Secondly, the results of the analysis may identify gaps which you will have to

address to ensure you meet the competency standards.
Thirdly, you are now ready to plan how and when you will achieve the identified

You can gain knowledge from: the organization’s business or strategic plan;
policies and procedures; annual reports; and attending management meetings.
Other sources of information for enhancing your managerial role include:
legislation; laws; and keeping abreast with changes in the organization and the
global market.

2. Meet with two people who are familiar with your work and can assess aspects of your
professional competency, such as employees, colleagues, clients or supervisors to seek
feedback on your work performance. Take notes to submit as evidence of your meeting.
In your journal, describe the meeting, and the questioning and active listening techniques you
used to elicit the feedback.
3. Using the template provided in Appendix 1, or one from your workplace, develop a professional
development plan. You should include:
