EVENT GOAL AND OBJECTIVES

The main idea to move forward with was to set realistic and achievable goals. The following
were our main goals:

The core objective of course was to raise money for the kids of Nirmaan. The team felt it would
be an ideal opportunity to connect with donors and supporters. Indeed, it could provide the
opportunity to specifically thank them for their support and to update them on priorities.

One of the key difficulties with the raising money occasion is that it's basic that the expenses of
running the occasion are kept low while opening up chances to create salary.

We trust one of the way's to accomplishing this is through building associations with
neighborhood providers. This is actually what we concentrated on here.

To try to make a difference in the life of Nirmaan Kids.

A smooth execution of the event was our end goal.

DESCRIPTION OF THE EVENT AND ITS EXECUTION:

EVENT NAME – Musical Housie


We wanted a name that would attract more and more people to have a fun evening.

DATE – 20th November, 2019

VENUE –T3 classroom, IMNU

TIME - Reporting time was 5:15 PM; Opening was 5:45 PM. This was done to provide enough
time for the audience to settle and get comfortable. Also, to ensure everyone was present as they
could not join in between of the game.

OVERVIEW - The overall idea was to have an enjoyable event. The amount generated through
auction was to be donated to the kids later.

RULES – The participants had to buy a housie ticket of INR 20.

The participants were provided with a song list with numbers, housie ticket and toothpick.

The participants had to identify the song based on the tune and cut the number on their ticket.

The person who calls first was considered.

The prize categories were as follows:

1. Four corners
2. Early 5
3. First line
4. Second line
5. Third line
6. 2 full houses
The participants who won any of the first 5 categories had to play for full house directly and
could not claim prizes for any of the first five categories again.

ON SPOT IMPROVISATION

Expected - A neat and tidy classroom


Reality - we had to clean the classroom just 15 minutes prior to the event as the classroom was
occupied till 5:05pm.

Expected - it was expected to start housie immediately.


Reality - due to certain unavoidable circumstances the housie had to be delayed.

Expected – The speakers to work properly in classroom.


Reality – Speakers had to be arranged due to bad quality of classroom speakers.

Post event, we made sure the classroom was neat and tidy, projector and lights turned off.

EVENT MARKETING/INVITATION-

Mostly, we marketed our event with word of mouth publicity. We tried to include all possible
students of different sections.

We mailed for the event and sent messages on personal chats and WhatsApp group

EVENT COORDINATION AND RESOURCES

Resources used: Classroom, laptop, projector, toothpick, Stationery, speaker, housie ticket and
song list.

and Script word of mouth

We separately handled above departments and made sure that follow up will be given to each
member of the group so that his/ her work doesn’t get affected.

Due to coordination, support and timely arrangements by all three helped us in management and
execution of an event.

COMPLIANCE and PROTOCOL PROCEDURE

Permission to conduct the event were taken from concerned faculty and admin department.

A personal conversation with the representatives of Nirmaan club to make them understand the
event.

Proper follow up with regards to donating the money has been taken care of.

All the rules and regulations outlined by the admin and college has been followed.

Classroom was given back in proper condition with the used resources returned on time.

We were able to organize the event in planned budgeted manner and we equally shared the total
expenses incurred.

CONCLUSION

In short the event:

Raised Rs. through the event.

Connected with 29 supporters.

Gained more charity post the auction from 3 more supporters

A photo gallery of the event was published on mail.
