EAM Property Loc To EAM Asset External
Objective
The purpose of this demonstration script is to describe the process of exporting property
locations and importing these locations into EAM as Asset Numbers. With R10 enhancements to
this process, the user can now edit/update the attributes during import to EAM.
What's New?
With R10, the process to populate EAM Assets from Property Locations is a two-step process.
First the locations are Exported from Property. These locations can then be updated before
Importing to create EAM Assets.

You may want to familiarize yourself with the existing assets and hierarchy that was
imported from Property to EAM. The script will use additional locations within this same
parent location.

The Asset page will be displayed where you can perform simple or advanced search.
You may search using any criteria that you prefer, but the script will address the
building Westlake, as this is the building populated in Property and partially imported to
EAM.

Select Asset Number Hierarchy
The hierarchy page will be displayed with the Asset selected in the collapsed view.
The hierarchy will be displayed. Notice that floors 1-10 have been imported.
Note that floor 10 will be under Floor 1 in the display. This is the only floor with
children at the time of deployment.
Click on Node (+) to expand the tenth floor to see the child locations.

In the script, we will use locations from Westlake Building, specifically Floor 2. You
may choose any location or range of locations that have not already been imported. A
single example has been provided in the script for simplicity.
The only method to drill to the associated Property Location is via forms interface. This
will be provided in the script, once the new location is imported to EAM.
If Pre Demo Steps complete, goto task #3. Otherwise, goto task #1.
Begin Demo
You may select a range or a single location to export from Property Management. A given
location can only be exported one time for import into EAM. You will need to determine
which EAM Organization that these will be imported.
There have already been several locations imported into EAM from the same building that
we will reference in this script. Within the EAM Organization, FAC- Facility Operations,
Westlake Building and ten floors (1-10) have been imported. Also, Floor 10 has had several
of the offices imported.

You will be selected seeded locations for export. If you created your own locations, you
may substitute these variables.

Location Codes can be exported in ranges or a single location. The script has
referenced a single location, but feel free to export a range. Keep in mind that when
"scrubbing" this content, it is a single record at a time within a folder.
The Location Type can be selected from the LOV. In this case it is an office location
that we are exporting.
The Default Organization is the EAM Organization where you will create the Asset
Number. The location selected in the script already has its parent location exported to
the FAC-Facility Operations organization.
The Asset Group is selected from the LOV. In this case we are assigning a general
group, office.

The next step will be to review the Pending transactions, and scrub the content as
desired.
Now we will change responsibilities to EAM and "scrub" the content before importing into
EAM and create the Asset Number.
7. Change Responsibility

Before the transactions are processed to create the EAM Asset Number, the content can be
updated and additional attributes added.

You may search using any criteria. Select the Batch Name that you entered in the
Export Concurrent process in the earlier step.

Caution: if you have multiple batches, be sure to perform the desired updated prior to
submitting. Although you are viewing a single batch, submit will process all pending
batches.
9. Edit Records
This is a shared form, so not all columns are used. You can edit/update desired columns.
Several have been listed below as suggestions.

With R10, the Asset Number can be changed before import to EAM. We have
suggested a nomenclature consistent with the naming conventions in this organization
for other offices.
The description will become the EAM Asset Number description. This is free form and
user defined - a suggestion has been made for consistency.
Select an appropriate Asset Category for the location along with default Accounting and
Area for the Asset Number.
(I) Save
You can save your work for access later. This can be performed up until you Submit the
batch. Once the batch is submitted, any changes would then be made by accessing the
Asset Number within EAM.
Using the Property location/s exported and updated, we will create new Asset Numbers in
EAM by processing the pending transactions.
(B) Submit
When submitting the batch, the locations exported and in this pending folder will be
imported into EAM and the Asset Number/s will be created.

The batch find form will be displayed. We will return to the navigator to query the asset
created.

13. Search for the Asset Created from the Property Location
(I) Find
The Asset Number Find form will be displayed. You can use any search criteria.

In the Parent region of the Main Tab, the parent for this asset is populated.
The hierarchy for the asset numbers is retained from property locations when imported
to EAM.
The linked property location is also displayed on the EAM Asset Number.

Note that the Property Location number is similar, but does not have to be the same as
the EAM Asset Number. With R10, the integration to EAM from Property is a two-step
process (Property Export and EAM Import), allowing adjustment of various elements
prior to import. The script recommended that the Asset Number be changed to illustrate
this flexibility.
From the EAM Asset you can drill into Property Management to review more information
about the property location, such as Assignment.

You can summarize by discussing the flexible integration between the modules.
Property Locations that are maintained internally or using contracted maintenance
services can be populated within EAM and can be edited in the process, to match
naming conventions and practices that may differ between the departments.
