A. Frequently Asked Questions-Leave Module

Q 1. I am getting the “Error: This person is not eligible for the element associated with this absence type”
A 1. Employee has to send an email to hrms.oracle@mphasis.com with the screen shot of the error message.

Q 2. Leave Balance link is not working. When clicked on leave balance link, it is giving the message
‘Installing Components..oajinit.exe’
A 2. This is due to the problem with ‘J-Initiator’ software. The employee is advised to follow the below mentioned
steps:

1. Uninstall any version of J-initiator if installed in your system.

2. Navigate to C:\Program Files\Oracle and delete the folder J-Initiator 1.3.1.26 (if present).

3. Enable all the Components in IE __Internet options _ Security tab _ Internet _Custom Level.

4. Login to oracle, click on Leave balance.

5. This will initiate J-initiator installation (Wait for a while to get the installation page).

6. After the installation a security page will appear in which you have to click on “GRANT ALWAYS” button.

Note: when you click on Leave balance link new window will pop-up; ensure pop-ups are not disabled.

Q 3. I am getting the error: FRM-92050: Failed to connect to the Server: mars.corp.mphasis.com:9000 when
I clicked ‘Leave Balance’ Link:
A 3. This error will come due to either the proxy is not bypassed OR the server is not mapped at the client machine.
Employees getting this error have to do the following:

1. Mapping entry is to be made in the file C:\WINDOWS\System 32\Drivers\etc\hosts for the Oracle Applications
Server machine (IP Address of mars server: 125.16.130.12) and

2. Following entry is to be made under the white text box titled "Do not Proxy server for domains beginning
with:"(IE>Tools>Internet options>Connections >LAN Settings> Advanced)

Q 4. I am unable to access Leave Balance link. My IE crashes when I click on Leave Balance Link.
A 4. Employees getting this error need to perform the below steps:

1. Tools _Manage Add-ons _ Enable or Disable Add-ons


2. In Show option select “Add-ons that have been used by Internet Explorer" Select from the list and check for
Name "Windows ...." e.g. "Windows Live Messenger", "Windows Live Sing-in Helper" etc.
3. Select "Disable" option
4. Close all the Internet explorer browser sessions. Restart the machine.
5. Retest the issue.
Note: Employees can access ‘Leave of Absence’ link for adding leave request even through the internet. But ‘Leave
Balance’ link may not work due to problem with the J-Initiator/ Browser settings/ the server is not mapped at the
client machine. Hence we have provided an alternate link (given below) to view the leave balance. Login credentials
are same as that of HRMS for this link also.

Q 5. I applied the leave in HRMS. But my manager has not received the notification of my request.
A 5.
1. Notification may have gone to different manager due to non-updation of supervisor name in HRMS. While
creating the leave request itself, employee has to observe the approver name. If it is displaying the approver name
other than his manager, employee has to write a mail to HR SPOC for updating his manager name in HRMS.

2. Manager may not receive the notification some times due to workflow error.
In this case employee has to write a mail to hrms.oracle@mphasis.com.

Q 6. I am getting the error ‘java.sql.SQLException: ORA-20001: Unable to build the Supervisor Hierarchy’
while applying for leave in HRMS.
A 6. This error comes when the supervisor assigned to the employee becomes an ex-employee. Employees getting
this error have to write a mail to HRSPOC for updating the supervisor details in HRMS.

Q 7. My manager has approved my leave. But the status is still showing ‘Pending Approval’
A 7. This may be due to workflow error. In this case employees have to write a mail to hrms.oracle@mphasis.com
to resolve the issue.

Q 8. My leave request has been submitted to my previous manager. How do I transfer my request to the
current manger.
A 8. Employee will need to write to the previous manager to reassign the notification to the current manager. If the
previous manager has left the company, then employee can write a mail to hrms.oracle@mphasis.com.

Q 9. I am getting the “Warning: This Absence Overlaps another absence for this Employee...” while creating
the leave request in HRMS.
A 9. This warning message will display for the employees who earlier submitted the absence request without
entering the ‘End Date’ filed in the absence request. Please writer to hrms.oracle@mphasis.com with screen shot.

Employees have to enter ‘End Date’ while applying for leave even if it is for one day to avoid this warning
message.

B. Frequently Asked Questions – LTA Exemption

Q 1: Am I eligible for LTA?

A 1: Refer to salary break-up. If LTA is a component of salary structure, employee is eligible to claim LTA.
Employees can also refer to the LTA Policy.

Q 2: When can I claim LTA for tax exemption?

A 1: LTA can be claimed twice in a block of 4 years as per prevalent IT rules. At Mphasis, LTA proofs maybe
submitted along with other proof of investments during Dec. – Feb. of the current year.

Q 3: I’m resigning from Mphasis. How do I claim for LTA exemption?

A 3: Proofs may be submitted along with claim form (even at the time of separation) to Payroll Team (F&F-POI):

Q 4: What are the expenses I can claim towards LTA?

A 4: Refer to the LTA Policy.

Q 5: If I travel on weekends and on holidays, am I eligible to claim LTA exemption?

A 5: No, leave has to be availed for minimum 3 working days and this is exclusive of holidays and weekends.

Q 6: What if I want to avail Paternity Leave/Maternity Leave/Adoption leave/any medical illnesses? Can I
claim LTA?

A 6: Eligible employees availing Paternity Leave/Maternity Leave/Adoption leave/any medical illnesses can claim
LTA. However, when applying leave, respective employees must make sure that they first apply minimum 3 days
of annual leave first and then the respective leave.
Q 7: Can my dependants travel without me and can I claim LTA on the same?

A 7: No, it is mandatory for the employee to travel along with dependants to claim LTA exemption.

Q 8: If I travel internationally, can I claim for LTA exemption?

A 8: No, refer to LTA policy.

Q 9: If I travel 2 times in the same year, can I claim for LTA exemption?

A 9: No, only one to and fro journey can be claimed in 1 year.

Q 10: I have submitted proofs for Rs. 40,000. However, my eligibility is Rs. 36,000. Can I claim LTA
exemption for the amount I had spent?

A 10: No, maximum exemption is restricted to the eligibility amount.

Q11: I have joined in the month of Oct, and I have spent an amount of Rs. 40,000 Can I get exemption for
Rs. 36,000 which is annual eligibility?

A 11: Since employee joined in middle of the year, proportionate of eligible amount paid from Oct i.e. Rs. 3000
per month and till March LTA amount paid will be Rs.18000 and Rs.18000 will be exempted even though the bills
produced for Rs.40,000.
