Cooking is like love; it should always be larger than what you think you need. If someone
was quite passionate about the cooking stuff than this was an opportunity for that person.
Department of Youth Capital under the aegis of Division of Student Welfare presented for the
first time in LPU's history, a cooking show. That was LPU's Kitchen King.

This was an event which was organised by the Division of Student Welfare and was held
inside the campus of Lovely Professional University. It was a cooking competition which
gave contestants an opportunity to showcase their cooking and presentation skills.

Contestants were given all the necessary things to make the best recipe and present it to the
judges and the best made recipe would win the show.

There was a total of 6 contestants. The department of Hotel Management had provided them
the important ingredients which would help them to showcase their cooking presentation.
DETAILS OF TEAM:

There were one more people who worked with me in this event. One was subarna and the
other one was Anupam. They were equally responsible for the event as I was. We were in the
department of Control and Co-ordination . We worked in the setting up of the event and in
the good co-ordination of the event.

This event was organised by the Division of Student Welfare. The venue of the event was
inside the campus only. There were many co-ordinators who were from this organisation only
and under those co-ordinators only we had to work.

I worked under Mr. Aman who was a co-ordinator in the Kitchen King event. He has been
working for Division of Youth Welfare from last 3 years.

The co-ordinators were quite healthy in number who were working for the event. There were
total 6 departments under which I was in Control and Co-ordination which was the 4 team for
the event.
WORK LOCATION:

Kitchen King was the event which took place inside the campus of the Lovely Professional
University. As this was a cooking event so the department of Hotel Management showed
some good support for this event.

The venue of this event was the department of Hotel Management which is inside the Uni-
Mall (Block 15). This was a well-suited venue for this event due to a number for reasons.
Firstly, this was a cooking competition and the department of Hotel Management is the
department which deals with cooking. Secondly, they found their basic necessities in that
department only, in the main kitchen. Finally, The Division of Youth Welfare hadn’t to
install and equipment anywhere in the campus because all the important cooking stuff was
available in the department of Hotel Management only.

In balance I would say that this was a very good step that was taken by the Division of
Student Welfare in setting up the Venue of the event because all the necessities of the event
were present in the department of Hotel Management only.
DETAILS OF WORK DONE:

There were certain departments under which students had to work. They were from
registration to the control of the event. A total of 6 departments were there and I was given
the department of Control and Co-ordination. This department was responsible for the co-
ordination of the event and for the overall control when some problem occurred.

Any complex operation requires a system for management. Coordination and control is a
system that provides the oversight for all of the event management functions. The roles and
responsibilities of a coordination and control centre include:

1. Planning.

2. Maintenance of inventories.

3. Activation of the disaster response plan.

5. Surveillance.

6. Information management.

7. Coordination of activities of the event.

8. Decision-making.

9. Priority setting.

10. Defining overarching goal and objectives for interventions.

Initially we started with the setting of the venue in the Block 15 and later we ended up by
surveillance the overall activities of the event. We had to check the speaker for the
microphone, the cleaning and the maintenance of the kitchen was an issue so I made that
thing clear and ensured its cleanliness. The camera work was an important factor of this event
for the publicity and media purpose so our team ensured the correct working of the cameras
and we tried to enhance the lights over there so that more light comes in for the better picture
and video quality. In case some emergency happened, we had arranged some fire
extinguishers to avoid certain emergencies. Since it was a cooking show so the role of knives
was high and in case of some injury happened to any of the contestant, we had arranged the
first aid kits for them and we had also arranged the ambulance facility for them.
PROS OF THE EVENT

1. We learned how real event management works.

2. We came to know about the team management importance in event management.

3. I came to know about the importance of initial planning of the event.

4. I met some interesting people who were quite experienced in event management.

CONS OF THE EVENT

1. Long working hours which can affect the personal life.

2. Stressful work can sometimes become unmanageable which can reduce the capability to
work at times and can reduce the motivation also.

3. Lack of stability.

4. High stress in managing the event.

CHALLENGES

1. Working with different people who were really difficult to manage.

2. Being an unexperienced and working with experienced people.

3. The hot weather factor was such a challenge.

4. Executing the plan perfectly.


LEARNINGS

Event management skills, essentially, require an individual to work within the given budget,
following a certain schedule, and dealing with vendors in order to create and develop the best
possible events requested by the clients. Along with project management skills, it requires the
use of organizational as well as business management skills to envision, plan, and finally
execute any such event.A professional event planning & management company entails the
intricate details of managing any event down to the bone. All the imagined ideas are
conceptualized and then written down on some paperwork. The absence of a well laid out
event plan could mar the happening of the event and thus, might pose several unwelcome
hurdles.

From a business perspective, event management is of great importance. Creating events


occasionally provide an incredible opportunity to promote one’s business. The more popular
a brand is, the lesser hesitant people will be for trying out new products launched by that
brand.

How a successful event is held and what are its important factors that ensure the success of an
event, I learned all this in the Kitchen King event.
CONCLUSION

Kitchen King was a cooking competition which was organised by the Division of Student
Welfare. Its venue was in the block 15 which is the Department of Hotel Management. I was
appointed as the control and co-ordinator there. We had already done a lot of planning
regarding the event so to ensure the smooth execution of the plan, our team was there. A
proper team work was needed to carry the activities. From the start only the organisation was
ready to tackle the problems because a good planning done by the team members in advance

Time management should be there in consideration during the event ongoing. The more time
is saved the more activities can be performed.

Event management skills are, therefore, necessary for the company to get the required
exposure and build a positive image of the overall company as well as any brand in
particular. They not only serve as a chance for a well-established company to regain its
importance by attracting an increasing number of prospective customers but also enable a
budding company to cultivate a sense of interest in the common people about the products
and services they offer. Event Management is an extra component used to characterize a
procedure that causes use mechanization to oversee event to wind up noticeably more
compelling and proficient.
