Written answer question guidance


The following written questions use a range of “instructional words” such as “identify” or “explain”, which tell
you how you should answer the question. Use the definitions below to assist you to provide the type of
response expected.
Note that the following guidance is the minimum level of response required.

Analyse – when a question asks you to analyse something, you should do so in detail, and identify
important points and key features. Generally, you are expected to write a response one or two paragraphs
long.

Compare – when a question asks you to compare something, you will need to show how two or more things
are similar, ensuring that you also indicate the relevance of the consequences. Generally, you are expected

Contrast – when a question asks you to contrast something, you will need to show how two or more things
are different, ensuring you indicate the relevance or the consequences. Generally, you are expected to write
a response one or two paragraphs long.

Discuss – when a question asks you to discuss something, you are required to point out important issues or
features and express some form of critical judgement. Generally, you are expected to write a response one
or two paragraphs long.

Describe – when a question asks you to describe something, you should state the most noticeable qualities
or features. Generally, you are expected to write a response two or three sentences long.

Evaluate – when a question asks you to evaluate something, you should put forward arguments for and
against something. Generally, you are expected to write a response one or two paragraphs long.

Examine – when a question asks you to examine something, this is similar to “analyse”, where you should
provide a detailed response with key points and features and provide critical analysis. Generally, you are
expected to write a response one or two paragraphs long.

Explain – when a question asks you to explain something, you should make clear how or why something
happened or the way it is. Generally, you are expected to write a response two or three sentences long.

Identify – when a question asks you to identify something, this means that you are asked to briefly describe
the required information. Generally, you are expected to write a response two or three sentences long.

List – when a question asks you to list something, this means that you are asked to briefly state information
in a list format.

Outline – when a question asks you to outline something, this means giving only the main points, Generally,
you are expected to write a response a few sentences long.

Summarise – when a question asks you to summarise something, this means (like “outline”) only giving the
main points. Generally, you are expected to write a response a few sentences long.

Provide answers to all of the questions below:

1. Explain how researching technology fits into the business planning process for a
company considering hardware solutions to support its strategic goals. Also explain
what the research process should entail.

An organization’s technology environment must be aligned with its long-term strategic plan, goals and
objectives. An organization’s management and governance board must recognize the critical role of
technology in laying the foundation for and enabling its strategic direction and operational goals. 
For this reason, technology governance is ultimately the responsibility of the board and executive
management. This is a piece that is often overlooked. Yet, it is essential to implementing a successful long-
term technology plan.  Strategic thinking about technology has never been more critical for aging services
providers that are seeking to define their role in the face of a shifting reimbursement landscape, increasing
demand for doing more for less, rising consumer expectations for quality, and an increasing need to
demonstrate excellence through objective data.

2. Identity and outline two business needs that can be satisfied by the provision of
information and communications technology (ICT) products and services.
Information and Communication Technology (ICT) is becoming increasingly useful within business
organisations around the globe. As technology advances and more efficient communications solutions are
introduced to the labour force, companies are finding that production levels are significantly increased,
employee satisfaction is at an all-time high and overall, business efficiency is benefiting from the speed at
which communications can take place. From customer satisfaction to improved communications between
staffers and management, ICT is accelerating the rate of growth in businesses large and small.

3. Assume you have been asked to prepare a report on ICT solutions. Identify three best
practices that you would use to prepare your report.

Making sustainability a central focus: With so many sustainability challenges top-of-mind for


governments, ICT companies can afford to place identification of sustainability solutions at the centre of
their business strategy for enterprise markets.
Co-innovating with customers: Product development, sales and marketing, and sustainability functions
within ICT companies should be collaborating much more closely with purchasing, information technology,
and sustainability functions in their largest enterprise and government customers in a much more
deliberate effort to co-create sustainability solutions.
Moving from reports to action: The ICT industry has done an excellent job raising the profile of its role and
measuring the potential impact. The opportunity now is to systematically identify and implement
opportunities to generate new revenues by helping enterprise customers save emissions.

4. Identify and outline three current industry and technology information sources

1-Primary sources are original materials on which other research is based, including:

o original written works – poems, diaries, court records, interviews, surveys, and original
research/fieldwork, and
o research published in scholarly/academic journals.

2-Secondary sources are those that describe or analyze primary sources, including:

o reference materials – dictionaries, encyclopedias, textbooks, and


o books and articles that interpret, review, or synthesize original research/fieldwork.

3-Tertiary sources are those used to organize and locate secondary and primary sources.

o Indexes – provide citations that fully identify a work with information such as author, titles
of a book, artile, and/or journal, publisher and publication date, volume and issue number and
page numbers.
o Abstracts – summarize the primary or secondary sources,
o Databases – are online indexes that usually include abstracts for each primary or
secondary resource, and may also include a digital copy of the resource.

5. Discuss the purpose of equipment performance benchmarking


Benchmarking is the way of discovering what is the best performance being achieved – whether in a
particular company, by a competitor or by an entirely different industry. This information can then be used
to identify gaps in an organization's processes in order to achieve a competitive advantage.

6. Identify and briefly describe each of the following:

ICT Networks sector, which is one component of the Information and Communications
Technology (ICT) industry. The ICT Networks sector encompasses a variety of businesses that
implement, administer, support and provide security for information technology (IT) networks
and servers.

7. Identify two information gathering techniques that could be used to research technology
options.
Cost and time proved to be the two most important factors when determining which method was to be
used. Many methods were used in supplement of each other. User observation was followed by
interviewing, questionnaires, or analysing documents. As was prototyping, they cannot be used as a
method on their own.

8. Discuss the importance of implementing quality assurance processes and requirements.


Provide at least two examples of quality assurance processes and requirements to
support your answer.
Quality assurance helps a company meet its clients’ demands and expectations. High quality builds
trust with your customers, which, in turn, makes you competitive in the market. It saves costs and fixes
issues before problems become larger, and it helps to set and maintain quality standards by preventing
problems to begin with. Investing in quality assurance is indispensable in many industries today. It is
most effective when it’s in place from the start. When quality assurance is done right, it provides
confidence, tests the product and lets companies market their products with few worries.

9. Explain the application of cost benefit analysis to project quality assurance.


Cost-benefit analysis is a simple technique for comparing the business value a project will produce with the
cost of producing it. Project managers use cost-benefit analysis in the project initiation phase to show the
value of doing a project. During project initiation, the sponsor and project manager must justify the project
to get the organization’s approval to spend the money. The cost-benefit analysis compares the project’s
costs to the business value it will deliver. Few organizations want to go ahead with projects that will cost
more than the value they will produce. So project managers conduct the cost-benefit analysis by
gathering data on the value of the benefits and the cost of the project.

10. Identify two up to date technologies for protecting information security

infrastructure are authenticated and authorised prior to entrance. Once authorised, trusted devices are
given unique, temporary cryptographic connections. Until then, the infrastructure being protected by an
SDP is ‘black’.

Gartner predicts that by the end of 2017, at least 10 per cent of enterprises will be using SDP technology.

11. Identify the key features of next generation networks


Next Generation Networks are packet-switched and use IP at the network layer. The centre of the network
is the IP multimedia service (IMS). This provides an independent platform through which access services
such as 4G can use the network. The principle idea is to have seamless communication; people can be
connected anywhere and anytime
The implementation of LTE or WiMAX works towards adoption of NGNs. The reason for this is simple. LTE
and WiMAX were built from the start to use an all IP core network. LTE does not have a native voice service
(though several are proposed). The assumption for WiMAX and LTE is simple: voice traffic is data.

12. What features would you expect of a cable modem-router-switch for a small office
network.

13. Identify and describe current wireless standards and briefly discuss the future of these
standards:
The wireless networking equipment available supports varying levels of industry communication
standards. At present, the IEEE 802.11b/g standard is widely accepted throughout the industry and
provides the necessary balance of range, network throughput, and support for device mobility to
effectively serve most needs of the University community. As newer standards emerge, such as IEEE
802.11 enhancements they will be evaluated and deployed should they offer security and throughput
improvements over 802.11b/g.

Carefully read the following:

Grow Management Consultants specialises in leadership consultancy. It has been operational for five years.
The company offers a range of services to assist companies to assess leadership behaviour of existing
managers against performance metrics. They also design and implement customized leadership programs
based on the assessment. Services are offered Australia-wide.

The company has a small office where five staff work, the CEO, Operations Manager, the Principal
Consultant and an Administration Officer. Much of the hands-on work has been done by consultants in the
past, but the company has decided to hire four of the best consultants to work with the team out of the
office.

Grow Management Consultants has developed a Strategic Business Plan that sets out the company’s
strategic goals for the organisation over the next two years.

As the company’s Operations Manager, you are responsible for the organisation’s technology needs. Today
you will be meeting with the CEO, who wants to discuss the organisation’s technology needs for the
upcoming years with you.

Complete the following activities:

1. Prepare for a meeting with the CEO.


Review the case study information and the company’s Strategic Business Plan.

At the meeting you are required to ask questions about the organisation’s technology needs and
the selection criteria that should be used for purchasing new technology.
Make notes on questions that you will be asking of the company’s CEO.

Technology has important effects on business operations. No matter the size of your


enterprise, technology has both tangible and intangible benefits that will help you make money and
produce the results your customers demand. Technological infrastructure affects the culture, efficiency,
and relationships of business.

In order to provide the organisation with the best technology needs, the criteria that should be used for
purchasing new technology can be stated as below:
1-CRM Software (Customer Relationship Manager): Will automatically organize the customer interactions,
sales, data, services and a wide range of other information.
2-Business phone system (Virtual PBX): Will have advantage of VoIP (Voice over IP) technology to provide
the services of the highest quality.
3-Modern accounting system: Will serve tracking customer payment histories and helping collecting
payments on time.
4-Credit card payment processing software: Will provide the customers with more convenient choices in
terms of payment.

2. Meet with the CEO (your assessor).


The objective of the meeting is to ensure that you understand the company’s organisational
needs and how they relate to its strategic goals.

Discuss the company’s hardware technology needs with the CEO, taking notes when
necessary.

During the meeting, you are required to demonstrate effective communication skills including:
 Speaking clearly and concisely
 Using non-verbal communication to assist with understanding
 Asking questions to identify required information
 Responding to questions as required
 Using active listening techniques to confirm understanding

Here are five hardware products you need when starting the business:

1- A Desktop or Laptop Computer: Weigh whether you want a desktop or laptop computer. You’ll need
products that will last for several years and hardware that will require minimal upkeep or maintenance.
Luckily, there are plenty of quality computer and great laptop options available on the market.
2- External Hard Drive: Some computers in your network may need an external hard drive to store certain
types of information and help you stay organized. An external hard drive can be a wise investment for start
up businesses that don’t want to store information in the Cloud or on their computers’ hard drives.
3-Network Server Solution: If your business will need any type of network to support your database, email
applications, and other files, you’ll need to set up a network server. You can choose from several server
solutions based on the amount of storage you need, security requirements, and backup options.
4-Wireless Router: A strong wireless connection can ensure high-speed connectivity to all linked
computers and mobile devices. If you have a small space, keep in mind that working wirelessly will reduce
the need for extra cables running in and around your office.
5-A Quality Printer: Minimize printing costs by encouraging your employees to work as a paperless office
whenever possible.

3. Review existing hardware technology.


You are required to assess the capabilities of four of the company’s stand-alone computers.
You should assess each computer on the following:

Make notes on your findings.

4. Write a Hardware Technology Report


Develop a report for the company’s CEO that sets out the following:
 Strategic goals of organisation as set out in business plan and discussed at the
meeting, and their relevance to ICT.
 A summary of your assessment of the existing physical infrastructure.
 A summary of the company’s technology needs as discussed at the meeting.
 What the industry standards are for the needed hardware and technology.
 Suggested changes and additions to the existing physical infrastructure. This
should include an evaluation of what each staff member’s computer will need in terms of:
o Processor and speed
o Hard Drive Memory
o RAM
o Monitor
o Network card
o Operating System
o Programs and applications
 Give approximate prices for your suggestions.
 If a server is required, what Operating System, storage space, etc.

Also think about emerging technology needs and the new system that you have planned will
meet these.

5. Send an email to the CEO (your assessor).


The text of the email should be in grammatically correct English, written in an appropriate (polite,
business-like) style.
It should mention the meeting that you had and summarise the contents of the attachment. The
email text should seek their feedback and approval to move forward with the project.
Attach your Hardware Technology Report to the email.

Write an Implementation Report


When you have received approval for your report from the CEO, you are required to research
products, vendors, and suppliers.

Summarise the hardware and technology that you have received approval for.

Review and test the technology. Do this by looking up reviews on the hardware and technology
described above and reporting on the results. Provide links to reviews and test results.

Your report should identify at least two vendors (those who buy the systems from the
manufacturer and sell on) and at least two suppliers (i.e. direct from the supplier) that could be
used to purchase the necessary hardware.
For each, summarise:
 The services that they offer
 The price of the hardware technology when bought through them
 A link to the relevant websites
 An assessment of the vendor information against emerging standards.

You will also be required to assess the risks involved with implementing this project. This will
involve summarising at least three potential risks, describing how they could affect the project’s
outcomes and suggesting what could be done to mitigate them.

Use the Implementation Report Template to guide your work.

Answer:
Vendors or suppliers are one of the most important part of a successful venture be it online or
offline. If the products that you are selling through your shop or e-shop are of good quality and
procured at the right prices,  you have a higher probability of  making a profit and creating a
loyal customer base than you do otherwise. Delivering this customer delight and earning
profits is possible only when you have the right vendor.

1. Analysing Your Requirements: Before you select a vendor or even start the selection
process, take a step back, define and document your technical and business requirements in
detail. 
2. Shortlist Vendors: After getting a clear idea of your business needs, you should conduct
extensive research to identify potential vendors, and basis this research, shortlist 10 – 20
vendors that meet your  requirements.
3. Meeting the Vendors: This is the most critical step and an opportunity to separate the right
business fit from the not exactly what we’re looking for candidates.
Quality – The quality of service/product is very important for any business. So, ensure that only
those vendors known for quality are being considered.
Service – Along with quality products/service, the vendor’s capability to deliver the product or
service should also be considered and checked to ensure smooth functioning of your business
activities.
Price – The cost at which you procure the service/product also impacts your final offer price
and the bottom-line of your company.

6. Send an email to the CEO (your assessor).


The text of the email should be in grammatically correct English, written in an appropriate (polite,
business-like) style.

It should mention the meeting that you had, the approval that you received for your Hardware
Technology Report and summarise the contents of the attachment.
